I don't see any problem here as a Chair, so it is approved from my
perspective, subject to the comments already in this thread that
miscellaneous expenses should be spelt-out or contained in the general
buffer, and that we should of course continue to seek ways to keep
spending to a minimum, such as by borrowing items or finding cheaper
ways to rent them.
 
As this is a new line item it would be polite to ping the DPL to ask
for either agreement that this isn't a material change from the
previous DPL-approved budget, or a new approval.

Hi,

I believe the shipping costs have already been calculated into the budget. I
don't have that cost at this time, because Gaby won't have that information
until she's ready to ship it once everything's printed. I'll have that total
*hopefully* on 15 August. Regardless, that total will come out of the
*t-shirt budget.

Thanks, it's good to have this set out.

Where are you proposing to rent the screens, projectors, and speakers for
this, and what are the specifications of what is being rented?  Do we have
an actual quote for this rental?  PSU has this kind of equipment available
for rental and is probably a cheaper option than an off-site rental; we
should certainly investigate them as a provider.

How did you arrive at this $200 figure for HDMI to VGA converters?  The
*worst* price I've found for HDMI-VGA cables on Amazon is $20 apiece;
assuming one per talk room, that's  $70 including shipping, which is
nowhere near $200.

As for a miscellaneous buffer, please note that the DebConf budget currently
includes a $3000 budget for unforeseen expenses.  I don't think it makes
sense for there to be a separate buffer line item for the video team.

Note that some of these costs are also accounted for in the budget (just not
at the level apparently needed), so this wouldn't be a net $3600 increase.
Specifically, there's a $200 line item in the budget for AV shipping and
customs, and a $600 line item for shipping, where TTBOMK we don't have any
other shipping costs besides the t-shirts.  (Patty, how much is shipping on
those?)

 Just thinking that I have done this mistake with the names and formats
 before, your adapters are HDMI to VGA [1] or DVI to VGA [2]? price changes
 and the former one requires a DA converter (and power)  and the later only
 a rewiring of cables. But if you had the HDMI- required great!

I have both - Two much older DVI to VGA, and four HDMI to VGA (two of
them mini-)
