If you are that far along, the Budget module can 'auto-estimate' based 
on previous data. Investigate and play with that feature. Even if you 
don't use it as a basis of a new budget, it can at least provide you 
with some analysis that otherwise might be more difficult to craft in a 
report as it can grab data from multiple years. (and yes, once the 
budget is made, you can run a 'Budget Report' to get the figures)

Sorry Morgan, I didn't mean to exasperate you.

What I meant by 'How would you do this on paper?', was, "Using Pen and 
Ink, How would you record this according to standard Accounting rules?"


If you can do it with pen and ink, you can likely do it with GnuCash.

So the question, for this list, is rarely, if *never*, "What should I 
do?" You should already know (or been otherwise professionally advised 
of) that answer, have already attempted to do so using GnuCash, have hit 
some sort of stumbling block, and then request assistance.


We cannot provide accounting or legal advice here. Even if some of these 
users are officially qualified to do so, in their respective 
jurisdictions, and even if their jurisdiction matches yours, this is not 
the proper forum for such advice.


But once you have that answer, we can help with the mechanics of the 
software if you can't figure it out on your own.



Your attempted goal still isn't clear. As I noted, originally in your 
first post it appeared as if *you* were changing business entities and 
wanting to transfer debt owed by customers from one entity (which you 
were closing) to a succeeding entity.


Now it appears that you want to 'sell' a debt of a customer to some 
outside entity.


How you go about these two is quite likely very different, but in any 
case, no one here can offer you that advice.


You *must* obtain that advice from professional sources and then if you 
can't figure out how to implement that advice, ask here. When you ask, 
you already need to have been advised of the accounts to be involved and 
how the money is to 'flow' with the respective transactions.

The legal position in the UK is that if I sell the debt from companyA to

sale.  CompanyB will also be liable for any returns it receives on the 
debt purchased.  So, legally, there is a double taxation issue.  Please 
can we leave the legal stuff out of this - I am a lawyer.  It's not a 
legal question.

For my use, yes but I've had it crash under duress (noob learning spree). :)

No software is perfect.

No version is perfect.

No upgrade is pefect.

With each upgrade of any software you'll get less of the old bugs and more of
the minty fresh bugs. The hope is that there will be less new bugs than (now
removed) old bugs and that they will be less devastating in nature.

That said I like my bugs minty fresh so I'm on 5.4 and will upgrade when the
upgrade comes.

Now, if you want to give it a go, make a backup of your 4.x files and then run
5.4 on what you have. Poke, prod and twiddle until you feel ok about it. Then
delete those files, copy the 4.x files back from your backup and start work in
5.4 in earnest.

And above all else, always have backups. They'll lead to less salt in your
life which, in turn, will lead to less heart problems. ;)

The 'status' can change with the wind.

GnuCash, so far, does offer you a wealth of information concerning your 
activity with each 'vendor' that is most likely useful for information 
you have *already determined* need a 1099.


That is, your question is not a GnuCash question, but a legal one.

Answer your legal question, then ask how or does GnuCash provide the 
info you need to meet that legal obligation.


You need to seek the advice of a local competent professional—first.

We can only answer the question, "Now that I know what I need to do, how 
do I do this with GnuCash?"

That bug may be a different symptom of the same problem or it may be a
different bug altogether.  Interestingly, my file does have the 
tag.

There is nothing wrong with that approach as long as you are clear on 
'what isn't wrong' and 'what isn't broken'.


Many bugs are fixed each release. Some of them are otherwise unknown 
bugs that the devs discover as they are refining the code and fixing 
other known bugs. But plenty are the result of existing bug reports on a 
previous version.


So while generally GnuCash performs well, the idea of 'not broke' is 
subjective depending on your needs and use case. And in some cases, for 
some needs, the latest and greatest fixes those bugs and thus makes the 
software that much more useful.


Of course, the question of, "Does this applies to me?", is for you alone 
to decide.

So wouldn't this be:

* you have an invoiceX from CompanyA to CompanyD
* CompanyY creates invoiceY referencing invoiceX to CompanyB
* CompanyB pays CompanyA for invoiceY thus acquiring invoiceX
* CompanyB creates invoiceZ referencing invoiceX (that it now owns) to CompanyD

End result should be CompanyA's books being balanced and CompanyD's books being
unbalanced to the tune of invoiceX and thus requiring payment from CompanyD to
balance.

The link between the invoices is kept via invoiceY and invoiceZ.

Now I'm a newb to bookkeeping so hope that's both right and makes sense. :)

and opened the files in a spreadsheet. I didn't know that was possible.

Let me clarify that I'm using the word "vendors" below in the way 
GnuCash does: someone to whom one makes a payment. The IRS does not 
(best I can tell) require that 1099s be issued  for "Payments for 
merchandise, telegrams, telephone, freight, storage, and similar items." 
(That's a quotation from the instructions here: 
https://www.irs.gov/forms-pubs/about-form-1099-nec.


I don't rent anything from anyone, so I don't have to do rent 1099s. I 
think rent amounts go on 1099-MISC


There may be times when I hire a contractor to do non-employee work 
that's over $600. In that case I think I have to issue a 1099-NEC.

[GNC] Business use: Producing 1099s for vendors

My little business sometimes has to provide 1099s to vendors and the IRS.

I was searching for how to best do that with GnuCash. I found a helpful 
tutorial here:

I am believer in the maxim 'If it ain't broke, don't fix it' but today’s world 
is quite different then yesteryears. The “on-line” world isn’t that forgiving 
and it is hard to live without it so tread wisely.

 

I still have a fully functional Windows 10 desktop running on Intel Core 2 Quad 
Q6600 that was put together back in 2008…

If you can't make your mind up, toss a coin and if you are not happy with the

Thank you. That reminds me of what I'd read. I guess it was the auto-completing 
I noticed driving folks crazy at first. I think what I'll do is close the books 
(if I get advice to do so) on the 2022 numbers, and then upgrade to 5.4 and try 
it out for the 2023 data.

The Transaction Report is excellent.

You'll need to select your accounts (you can start with selecting all of
the Expense accounts - possibly Income as well, but the real key is to go
into the Options display, go to the Sorting tab, change the Secondary key
to "Date" with a monthly subtotal.  Also go to the Display tab, scroll down
and enable the "Subtotal Table".

You will then have, at the top of the report, for each month in your
selected range, an amount by month with an average at the end.

I find this very useful.

On paper, I would take the invoice to somebodyB, copy it and staple the 
invoice to the invoice to somebodyA and then place the invoice to 
somebodyA in the paid invoices shoe box.

The legal position in the UK is that if I sell the debt from companyA to 
companyB then companyA will be liable for income tax or company tax 
(depending on whether the entity is a natural person or legal person - 
not that a natural person isn't also a legal person, but a limited 
company is only a legal person) on the returns they receive for the 
sale.  CompanyB will also be liable for any returns it receives on the 
debt purchased.  So, legally, there is a double taxation issue.  Please 
can we leave the legal stuff out of this - I am a lawyer.  It's not a 
legal question.

Your initial description appeared to be that you had two business 
entities and you were transferring old debts owed to the first entity, 
to a new one - where you control/own both.


Now it appears that you are 'selling a debt' owed by one entity, to 
another who will ultimately pay it.

#1 - (Michael) How would you do this on Pen & Paper accounting?

#2 - (David) This is a ultimately a legal question. Get that straight 
first. Then once you get official advice on how to record this, you have 
your answer, but if you are having trouble entering the transactions, we 
can help.


We cannot advise you *how* this should be recorded. We can only help 
with the mechanics in GnuCash.

'customer' to another, you would need to employ an intermediary account.


Investigate the concept of 'Allowance for Doubtful Accounts' and 'Bad

Most spreadheet programs can read the HTML saved by GC.  I know for a fact
that LibreOffice is quite happy with it.

Or, you can select all the text in a report and copy/paste into a blank
spreadsheet.

When I try to print to file from GnuCash 4.14, I only see the three 
options in the screenshot attached: PDF, PostScript, and SVG. Hmmm…

Thank you, Kalpesh. I did that yesterday (now I'm on 4.14). I don't even 
know for sure why I was on 4.13. Maybe that's where the program was when 
I finished with year-end data stuff last cycle …


I think I'll go up to 5.4 today and see what I think before I input data 
for 2023.

I am of the opinion that if you plan to stay on 4 series version then move up 
to its latest version which is 4.14.

Thank you. That reminds me of what I'd read. I guess it was the auto-completing 
I noticed driving folks crazy at first. I think what I'll do is close the books 
(if I get advice to do so) on the 2022 numbers, and then upgrade to 5.4 and try 
it out for the 2023 data.

As a post-install note, the Perl's CPAN module may not be configured sanely
or configuration initialized at all. 

Normally if the CPAN's 'prerequisites_policy' setting (configured with
'follow' option), 'build_requires_install_policy' setting (with 'yes') and
'make' settings (with fully qualified path to a make that is found by search
or compatible one) are properly set then that should have installed all
pre-requisite dependencies automatically. These are the sane defaults that
gets configures with when CPAN module is initialized.

You may want to review for future updates/upgrades.

You don't need a compiler to install Perl modules like Finance::Quote but
you do need a working "make" utility, which is normally included by default.

There is a read-only threshold, under File > Preferences but it is 
quite limited as it is a sliding-window by number of previous days. So 
you'd have to change it each and every day as the year went on. And 
that applies to all accounts, not just some.


An alternative is to create an archive folder with a copy of the book, 
and possibly the annual reports in PDF form. That way if you ever 
needed to go back to see if you inadvertently edited something, you'd 
have a backup at that state to verify changes. Having a good backup 
strategy helps too.


You can also make accounts placeholders which prevents *new* 
transactions from being entered, but that doesn't stop you from 
editing previous transactions.


Otherwise, no, you can't lock accounts from editing.
