Roger, I presume you already have the first entity at least partially setup and have started entering transactions. Go to File menu and see if ’Save’ is an option or if it is ‘grayed out’. If an active option, go ahead and save your work. If it’s grayed out, no need to do anything, as any changes you’ve made have already been saved. Now, go to File > New File This will bring back the new file wizard to walk you through setting up entity #2. When you’ve finished that and found yourself at the Chart of Accounts, save the file, this time to whatever location you want to store entity 2’s financial data. (the two files do NOT have to live in the same folder - that’s up to you) When you want to switch from one entity’s file to the other, simply open the File menu, look near the bottom and you’ll see a list of recently used Gnucash files. One will be the file you want to open. Click it. Gnucash will open that file, closing the one you were working in. When you want to switch back, repeat that last step, just choose the other file name. Matt, There might be a use case for it, but as I mentioned, it’s just too darned easy already to switch between books. With the example of the club book I manage, I have to sometimes record my own expenses in my personal books, and then in the club books as a contribution in-kind. The workflow is simple enough to click File > filename.gnucash at the bottom of the list, enter the transaction again from the club’s perspective and then switch back. If I really had a more difficult task, I’d attempt an export/import scenario. (waiting till 3.0 anyway on that count since the present importer doesn’t like Gnucash’s own exports much) It’s probably best to leave this as-is. The use case with a greater need (which is still a long way off) is multiple users editing the same file in a network environment. I’m well aware of that method. It just doesn’t produce that result for me on a Mac. I still only get one file open at a time. I had to resort to cli to force it. Note, this is just for Gnucash. Other apps let me open more than one file with the double click method. (and for the record, I use all three OSes throughout my day) I never experienced it on Linux because when I was running Gnucash on Linux I only had one file to manage. I also don’t generally double click my Gnucash file to open it for two reasons: 1 - both files I manage are buried in their own file tree deep enough to be a pain to navigate to for the purpose. (great system for filing, not so great for frequently used files) 2 - I also happen to keep Gnucash open 24/7 and only close it when testing something or updating. If I need to switch files, I just use the quick list at the bottom of the File menu. This is probably also a consequence of my heavy use of permanent workspaces for certain apps. I don’t know if Windows ever got around to implementing that idea (I don’t see it in Win7) but I use it extensively on Linux as well. I mentioned this workflow previously because of how convenient it is. It is OS specific. You Apple users don't know that ,Windoze and Linux and certain other OSes allow the user to open a data file with it's preferred program simply by double clicking the data file icon. Probably do for your businesses (tax and legal reasons - I have no idea), but don't forget that GNUCash reports are very flexible - you choose the accounts you want included. I don't use the business features though - I'm not sure whether they would be as flexible. You could have two different root accounts for each business (each with their own assets, expenses, liabilities, and income sub accounts) and go from there. Actually, more than one file can be opened simultaneously, but certain settings that apply to the program environment on the computer can be lost if they are changed while editing one file then it is not the last file closed. It is better not to open more than one file at a time. Roger, Yes. Just start a new GnuCash book file for the new entity. Create its account structure as you wish. Save the file. (probably using the name of each entity helps) Only one file at a time is allowed to be open. (the same holds for Quickbooks incidentally) Open the file corresponding to the entity you want to work on, do your work, save, then open a different book and so on. I have one book to manage my personal finances, and another to manage a club I belong to. Switching is as easy as File > Open.
