Hi Perian, We (or I) are in a similar situation, in that we have no web team or an IT Department. Let's see if I can explain our workflow with more detail than people send stuff to me (or I beg for it) and I put it on the website. :-)
As Curator of Interactive Media, I am a member of our Collections and Exhibitions Department. I manage the HSJ website and am responsible for working with the Events, Education, PR, C&E, Development, and Membership staff to keep their areas of the website current. I created some website procedures for the departments to follow. The procedures include what information is needed to update the calendar, how to submit text (no formatting), what kind of images are acceptable, and how far in advance I need the information. It is a very simple one page sheet. We are approaching a redesign and I worked with each department to create the information architecture for the new site. I will be relying on each department to write their own content. I will work with a few other staff members to edit the content and maintain a unified voice. I hope this helps.
