A thought: I assume GnuCash needs admin rights to install (as many apps
do). I normally download programs as myself (and ordinary user) and install
them, providing my administrator credentials upon request. At the end of
the install, some programs ask if I want to run the program. When doing an
install as I've outlined, I always answer "no", because I'm afraid that the
installation program may still be running as the administrator or with
admin rights. Thus, I decline to run it, and run it separately as myself.

Maybe he did an update of GnuCash, and then ran it as the admin  without
realizing? Is that possible??

I'm not disagreeing.

I think there is a language barrier at play though.

It appears that 'attachments' as a skill has been resolved, so maybe 
progress is possible.

Sorry, I must have missed that message.

Since you use Thunderbird, there is a clear 'Attach' button in the top 
right of every compose window with a preceding paperclip icon. Use that 
to attach screenshots. Do NOT copy/paste images into a reply. They will 
be removed and no one will see them. ONLY use the 'Attach' button.


BTW my issues with sending attachments starts with file manage and 
specifically with gnu files, don't know why.


No one here has asked you to attach any gnucash files that I recall. 
We've only been requesting screenshots, which are images.


I don't know why you keep thinking you need to send us your personal 
data files. You do not need to do so.

Yes, good point. I use a combination of Mailwasher, a NZ originated app 
which pre-examines mails  to dump garbage, and Thunderbird for mail.

From what you've provided so far, you have 2 users on that computer:

the mess you are in. But unless you are able to break the habit of doing 
ordinary work while logged in as administrator, might recur. You also 
need to learn to give meaningful names to your data files (so you can 
find them, distinguish from files with similar names), put into a 
defined location (directory aka "file folder") and if troublesome to 
you, control the number of "backup" and:"log files" retained.


NOTE --- (going to put on my old senior analyst hat for a moment) .. 
Barry, is there any chance that you once had your "Barry" log in 
specified to have "administrator rights" and you recently, quite 
properly,  respecified "Barry" to be just an ordinary user? And then all 
of a sudden, logged in as "Barry" could no longer save? Because if you 
originally created you gnucash books while logged in as "administrator" 
but found that all worked fine while logged in as "Barry" (but "Barry" 
ALSO had administrator rights) Because in that case, what you are 
experiencing is exactly what I would expect to happen. Administrator 
rights are like a superpower, can access any user's data.

Barry, You seem to have  a number of problems, so let's address them 
separately.


"The number of GNU files" seems to be one problem making it hard for you 
to find your data file (your books) which itself became a problem only 
because you did not choose a name for this file in the first place. But 
let's just address the "number of files" (the plethora of "backup" and 
"log" files created in pairs each time you do a save.


How many are retained is YOUR choice. You do not have a multitude of 
these files except that you chose to keep a multitude.


New users should always investigate the choices available to them 
instead of just diving in with a new app. Yes I understand, you are not 
new in the sense that you have been using gnucash for a while. But 
please do go back and look at the retention choices for "log" and 
"backup" (that's "in the current session" and should NOT be understood 
in the context of your normal backup of user data). I believe you will 
find you had choices to limit how many, either by number of versions or 
age (date). When I say "you had a choice"  you need to remember that not 
choosing, accepting the default of "keep all forever" is a choice.


There also seems to be a problem more general than gnucash with regard 
to what a "user" is on computers. As far as the computer is concerned, 
you as "administrator" and you as "Barry" (or whatever name you chose as 
an ordinary user log in) as NOT the same human. As far as the computer 
is concerned, different people. That's natural since all modern computer 
OSs allow multiple people to use a single computer. If you have been 
using gnucash as two separate people (as far as the computer is 
concerned) you can expect to have problems finding "your" data (in which 
user's data area is it)

When you log into Windows on your computer.

From what you've provided so far, you have 2 users on that computer:

1. 'administrato'
2. 'Barry Mahon'

You've indicated that at least one of your GnuCash files you tried to 
use was saved in the Documents folder of the 'administrato' user.


I get a splash 
screen with Mahon Finbar (my 'official,as on cheques) name on my 
(Lenovo) PC and a password.


If you are logging into your computer as 'Barry Mahon' (you may have

trying to work in a file saved under the 'administrato' user, then THAT 
is why you do not have save permissions. The 'Barry Mahon' user does not

You need to move all of those files under the 'administrato' user 
folders to the 'Barry Mahon' user folders



Step 2
--
Make sure you've also set the 'Barry Mahon' user to be the 'owner' of 
all of those files. (that is where the 'Windows permissions' advice from 
others comes in)


Once you do that, you will not get the save error message.


Step 3
--
Then you need to clean up the multiple file problem.

And by 'file' I mean GnuCash data files only. They end in ".gnucash". 
Forget the other files for now.


Can this cleanup be done rather quickly? Possibly. That is up to you. We 
can help, but you really need to figure out how to ATTACH (not 
copy/paste) screenshots to your list replies here so we can see what you 
are working with.

Yes, you may be correct, seems likely, but, I was in the middle of a 
session on gnucash and had entered quite a number of transactions before 
the message appeared, which led to my OP.

You do know that Windows 10 has built-in screen and window capture features
(that is, you don't need any other program), right? The Window-PrtScr key
combination will save the entire screen as a file, and Alt-PrtScr will save
the currently highlighted window. These save as PNG files.

If the issue is as Adrien suggests just a matter of which user account the file
was saved under, then by logging in using the other user name your issue should
be resolved. It appears that you may have further complicated the issue in
trying to fix it. The sage advice here is before trying to fix anything make a
backup copy of everything you have before changing anything

Alternatively you can determine the file ownership and the permissions (and
change them if required) it has as described in this post from stack exchange

. These are Windows operating system issuesthough not anything to do with the
GnuCash program itself.  As noted on the wiki page the locations where the
configuration information haschanged usually with the major GnuCashversion
number changes, particularly for 2 to 3 and for 3 to 4.

Any files with other extensions (.gcm etc) are going to be meta and
configuration files used internally by gnucash but they don't contain any
accounting data. If you have saved reports though these will be located with the
configuration data as described in the wiki page

About half way down the page there is a section which has diagrams of the
locations of the configuration data by version number and OS which may be easier
to follow.

The actual data files (.gnucash) plus the various log and back up

Our ability to help is limited by our lack of knowledge your system and
installation. You will likely have specified the GnuCash version number (see
Help/About from the menu in GnuCash) and the OS version in an earlier post but
it may help to include that in new posts that go to a new thread in the mailing
list as well. This will save us having to search back through the previous posts
particularly where they are located in separate threads in the mailing list.

This is also where the requests for screenshots and/or file directory lists come
in. Without that information to work with, we are blind and any advice will
necessarily be fairly generic. We need information to help you solve your
problem.

We generally will assume you have a reasonable familiarity with your OS and the
ability to generate screenshots/textfiles from command line commands etc. Google
can usually provide you with appropriate techniques if you don't know them. 

Fairly simple techniques for getting screenshots are described here for example

Saving them in .jpg or .png formats will usually work best for attaching to
posts. You can use any image processing tool to modify the images to obscure
personal information that doesn't relate to the problem for example.

Your mail client should have a menu option to attach files to a post. Don't copy
the attachment directly into the body of the post as the mailing list  handler
will strip them off.

If you do not have a family member or friend that knows a lot about
permission issuess in Windows, go to your local library and ask them to
find someone to help you.

Ununstalling Gnucash amd startimg over will not help.

You will evrntually end up in the same pile of manure.

Never ever "run as administrator" unless you know exactly why you need to.

That is my answer.

I just needed a simple a - what is the meaning of the message? can I 'go 
back' to eliminate it? can I delete the entry? can I close down gnucash 
and restart with a new transaction, etc.

Windows after 95 had a maximum PATH length of 256 characters in Win32 apps but
after Windows 10 V1067 it is 32767 chars but use of this is apparently an option
(not a Windows user) requiring setting of the registry key
HKLM\SYSTEM\CurrentControlSet\Control\FileSystem LongPathsEnabled to a value of
1 (see post in
https://stackoverflow.com/questions/57807466/what-is-the-maximum-filename-length-in-windows-10-java-would-try-catch-would
for details)

Barry's problems seem to be more to do with Window's housekeeping than specific
GnuCash problems. I have GnuCash on a Windows 11 system my wife's) as well as
Linux Mint sharing the same data file from a dropbox server without any
difficulties. I have several sets of books (i.e. different GnuCash data files)
but I have made it a practice to keep each separate data file/set of books in
its own sub-directory/folder which keeps all the relevant backup and logfiles in
the one place. It also makes backing up the data easy as you just backup the
whole directory

Barry do you have all the gnucash data files and their associated backups and
log files in a single subdirectory/folder of your user directory. If you don't
it may be advisable to sort that out first. 

The main data files have the format 
.gnucash

the backup files
.gnucash..gnucash

and the log files
,gnucash..log

where  is replaced by the name you gave your file and  has
the format "mmddhhmmss".

My practice is to keep there in a sub-directory with the name  which
makes finding the datafiles easy and all of the  separate datafile directories
are under a directory "GnuCash_Data_Files" in my user directory which makes them
easy to find.


If you have files with a double timestamp e.g.
.gnucash..gnucash..gnucash
it usually means you have opened up one of the backup files rather than the main
datafile .gnucash at some point.

If you do a 
dir  *.* /T:C >file_creation.txt
dir *.* /T:A > file_access.txt

in command window after changing directory to the directory your gnucash
datafiles are in and then attach the file_creation.txt and file_access.txt to a
message to the list we may be able to give you more assistance in sorting out
which files are which. This will list the filenames and their creation dates.

That limit does still exist, I have just been dealing with it where a 
particular file would not open in LibreOffice Writer due to the limit 
(actually it would open if LibreOffice was open and the file was opened 
from inside LibreOffice, but it would not open if double clicked, while 
all other (shorter) files opened fine via both methods).  It also did 
strange things at the File Explorer level, such as not allowing the file 
to copied to the same folder, with a suggested name change.  So the 
issue affected both 3rd Party apps (LibreOffice) and Windows core apps 
(Explorer).  I could see the possibility of the issue affecting GnuCash.

I doubt that file save dialogs are be affected by that, since they're
part of Windows, but maybe.

May well be, as above.

Later in the same article, there is a procedure to remove that
limitation in the Windows API, if you're in Windows 10 or 11. I hesitate
to suggest that Barry try that procedure himself, because it involves
editing the Windows Registry. However, anyone who's comfortable with
Registry edits could easily follow the directions to do it for him.
Unfortunately the registry change isn't honoured by all apps.  Some have 
the newly increased limit, and some don't.


This may or may not be the issue with OP, but there is a fair chance 
that the maximum limit has been reached.

That limit was increased to 254 (or maybe 199) about 20 years ago, with
the release of Windows XP. No blame to you for not knowing, if you don't
use Windows.

I've just had a thought on a possible reason the original file could not be 
saved.  I may be barking up the wrong tree.

Does Win have a maximum length for a filename?

If Barry (OP) has been repeatedly opening and working on backups and backups 
of backups etc.., is it possible that repeated time-stamps have hit some sort 
of string-length limit (either in Win, GC, Gnome-libs or whatever layer)??

Last time I was actively using MS for anything regularly, the filename length 
limit was 8+3 ... so I'll defer to pretty much anyone's opinion on this!

I have no idea what did not go through in that prior email because it
didn't go through.
Then your next sentence confuses me too because I cannot tell if it is a
comment about the user list, about the GnuCash program. about your Email
app or about how permissions for users works in Windows.

When you say 'truncated' does that mean you cannot see the CaptureWiz
images?? I have had issues all along with Gnucash needing specific file
types to display files for messages, does that apply to gnucash-user?? For
reasons I don't understand I have never been able to copy files from Gnu in
my MS Windows10 to the 'required' format, for queries about Gnucash!!
Quite frustrating.

Ah yes, it seems to be missing from the Windows version only as it displays
ok on the MacOS and Linux Flatpak versions.

Thanks all, that contribution fits much better there and it's well
supported by the tip above it. Ultimately, private rentals are
probably common enough for it to be worthwhile supporting this
feature directly.

I'll offer a few comments for consideration. There was a fair amount of
discussion on the issue and this was only one of the options raised
incorporating comments from others. I tried using Business
Features Accounts Receivable but I hadn't used it before and, based
on Adrien's comments, I didn't feel competent to document it although
someone should. I'm also particularly interested in David Cousens' comment
that Business Features can be used with Cash Accounting being careful with
the date. I think that's effectively what other software must do with a
setting that hides a few dates on forms.

I'd prefer to see the contributed line removed from that wiki page so
people feel more comfortable improving content over time without being
concerned they are changing someone else's work. If the original
contributor is needed it's tracked in the wiki page history.

Jim commented on the entryway to the wiki for users. I've never found it
functional and normally just try a few search terms hoping for the best.
While the wiki has a lot of developer content it seems user comment is just
directing users to other good content elsewhere with the exception of
the GnuCash
FAQ and Using GnuCash pages. It's probably time to rethink the presentation
from a user's perspective (as opposed to a developer's).

Well, if list discussion on this documentation change is invited, I have 
three comments:

1. It's great to have people writing more documentation. There is a lot 
to be explained, and it's wonderful when people take the time to explain 
it. Thank you!

2. I am lukewarm on the topic, but I would not delete it because of 
that. However, I think it a bit long to be an FAQ answer. It is one of 
the longer answers in the FAQ. It would be better off on a separate wiki 
page, linked to from a 1-2 sentence answer in the FAQ. The page could be 
named "Rental Property Accounting" or something like that.

3. Is it really a "frequently asked" question?  Does it need to be 
linked from the FAQ page?  I think the FAQ page is long and unwieldy. 
Partly that is because I think we have let the FAQ page be the only 
entryway we can imagine into the wiki. Thus every topic has to be framed 
as a frequent question and linked from the FAQ page. A number of FAQ 
answers would be better off as separate wiki pages. A number of topics 
could be cut from the present FAQ page and put onto other topic pages.

I don't feel moved to make any changes based on these opinions, but 
maybe this helps encourage someone else.

Well, if list discussion on this documentation change is invited, I have 
three comments:


1. It's great to have people writing more documentation. There is a lot 
to be explained, and it's wonderful when people take the time to explain 
it. Thank you!


2. I am lukewarm on the topic, but I would not delete it because of 
that. However, I think it a bit long to be an FAQ answer. It is one of 
the longer answers in the FAQ. It would be better off on a separate wiki 
page, linked to from a 1-2 sentence answer in the FAQ. The page could be 
named "Rental Property Accounting" or something like that.


3. Is it really a "frequently asked" question?  Does it need to be 
linked from the FAQ page?  I think the FAQ page is long and unwieldy. 
Partly that is because I think we have let the FAQ page be the only 
entryway we can imagine into the wiki. Thus every topic has to be framed 
as a frequent question and linked from the FAQ page. A number of FAQ 
answers would be better off as separate wiki pages. A number of topics 
could be cut from the present FAQ page and put onto other topic pages.


I don't feel moved to make any changes based on these opinions, but 
maybe this helps encourage someone else.

Since you are saving your files on a resource that is mapped to drive G:
that adds the possibility that there may be some operating system issue
complicating things.  Is that resource nearly full?, is it slow to respond?
Can you use a different resource successfully?

Your xml file must be corrupted one way or another?
Which version of GC are you using and which platform?
I wonder if there's some debugging info that can be enabled that would 
pinpoint which part of the file does not get parsed.


If I were you, I would check the xml file using a validation tool for 
xml. Most of these tools are online, so that's probably not great for

Adrien referred to the Gnome Tweaks tool earlier. If you have it installed
or it is by default with the gnome-desktop,  it has an option in the Windows
options to Attach Modal Dialogs to the parent Window. I don't know if this
is your problem. 

It has no effect in the Cinnamon desktop in Linux Mint after restarting the
desktop  and restarting GnuCash. The popup windows still move independently
and are not locked to the parent and either can be switched to the front
with Alt-Tab. 

This option isn't available in the Windows settings  in the Linux MInt
preferences. I am not familiar enough with the Linux MInt, Ubuntu, Gnome
differences and interoperability to know if the gnome tweaks tool works
properly in Linux Mint or not. I had installed it after someone suggested
using it for another adjustment some time ago . I can't rmember if it fixed
that either.

Appreciate the problem with cats and keyboards. Mine like to wander around
the keyboard as well. Also enjoy chasing the mouse pointer and moving
objects on the screen which is how one of my monitors has an inactive stripe
down one edge after falling on the floor when he leapt at an image of a bird
flying across the screen.

My wife let me test release 4.4 on her windows 10 laptop tonight.  The
problem with the locked subwindow in the price database did not exist.  Not
sure about linux installs.

I also could not duplicate the transparency issue with account selection,
again I am not sure if it is the same in linux.

I did discover some other differences which would require More testing to
see if i need to change my procedures to get certain results, if even
possible.

registers is not related to sub window placement. It does seem strange that
I don't recall seeing that transparency issue anywhere else.

For sure I may not be using the definitive terminology as I am not a native
Linux speaker.

Since I don't know what I am doing in Gnome 3 I have stuck with default
themes except for font size in Ubuntu 20.04 with Gnome desktop.

As for the locked overlay subwindows, I think I also saw that somewhere in
Libre office Calc. That is the issue that I find most annoying because I
often have to abandon a change midstream because I can't verify the
correctness before committing the edit.

I have not solved this problem with sub windows overlaying parent windows .

One.  In addition to the case where the account selection dropdown overlays
the transaction list during an OFX  import, that same account selection
dropdown has partial transparency in a normal register window so it is
difficult to pick out the correct text from the jumble with account names
in transactions above and below.  This graphics problem may or may not be
related to the locked overlay problem.

Two.  In the Price Database Editor window, clicking on the Add button
creates a pop-up centered on the current list of prices and covering most
of the window so I cannot see what I had placed the focus on before
clicking Add.  Thus I have lost my reference point telling me whatever I
needed to remember to be sure that I was adding the correct missing datum.
Again, it is impossible to move the overlay out of the way to see what is
underneath.

This is new to me in release 3.8 with the new graphics, but I suspect it is
probably still true in release 4.4

I now have a huge red area on my forehead where I slapped myself when I had
the epiphany that I should use Super-Tab to circulate across workspaces and
Alt-Tab to circulate within the current workspace.

Now to figure out how to extricate the transaction window from under the
account selection window while matching during OFX importing.

There might be a separate UbuntuTweak still. (I think there was one for 
Unity)

remember how or where to change it. Perhaps a 3rd party customizer that 
exposes extra gnome prefs might be the solution. (I can't for the life 
of me remember the proper app names, but they should be easy to find)

the window containing the account list.  If I try to move the account
window out of the way, the transaction list scurries back under the account
list window.  I do not recall having this issue with GnuCash 3.8 in Linux
Lite or with any older GnuCash in Ubuntu 18.04 or any other previous
incarnation.  It seems that there has been a subtle change in the way
related windows behave in Ubuntu 20.04.

It also seems that Alt-Tab only circulates between windows on the current
desktop, no longer migrating to windows on other desktops.  This is a silly
problem.

Anyone here know the trick to untangle windows in Ubuntu 20.04?

Now I found the change of subject in the thread. And there is a link to the 
code there as well.
I agree with the thread poster that one should display the reversed subtotal 
amount honoring the setting and calculate the rand total with a negative sign.
I am not a coder, but I will have a look whether I understand anything.

I saw the same issues recently.

The changes you see are purposeful. In order to make the totals add up, the 
person changed the way that the transaction report handles this setting. As I 
am not a programmer, I am not able to delve in to try and find a fix for it.I

The thread from the last couple of weeks goes into more detail.

e.g.

Income account X:

Transaction A 200 EUR

Transaction B 300 EUR

Total 500 EUR



GnuCash 3.2 "reverse balanced accounts" to reverse sign on income accounts



Income account X:

Transaction A 200 EUR

Transaction B 300 EUR

Total -500 EUR





I assume it is a bug in the reporting function.

This bug seems to have appeared between version 2.6.21 and 3.2

Does anyone know the reason for this or a fix for this?
