Dear Ada members,

Our first Annual General Meeting will be held on Sunday October 11,
from 4:30 till 6pm. The AGM is the official forum for the board to
account for the activities of the ADA Trust, and an opportunity to
discuss future activities and plans.

All ADA members are welcome to attend, either in person or virtually.
A member of ADA is an individual who has been subscribed to the ADA
list for at least 6 months who has identified themselves in an email
to the list, or in some other contribution to the online archive, or
in person at a previous ADA meeting.

Because the board and membership of ADA is spread around the country
we are going to try to do this in a way that is as distributed and
accessible as possible. To this end we will have four physical
locations linked via ichat with video, and we will also have an open
online chat forum for people who can't make it to one of those
locations.

The four venues are: Auckland (Starkwhite, Karangahape Road),
Wellington (The Southern Cross Hotel), Christchurch (The Physics Room)
and Dunedin (Otago Polytechnic School of Art). We will announce
details of the chat forum closer to the time.

The current board was voted by the membership at a meeting at SCANZ in
New Plymouth in 2006. Our role was to gain charitable trust status for
ADA, and to develop the role of ADA in supporting digital art in
Aotearoa New Zealand. ADA finally became a charitable trust in April
2008.

Our trust deed requires that from the first AGM the board's membership
be divided evenly between people appointed by the board itself, and
those voted by the membership of ADA. There are currently four board
members: Zita Joyce (chair), Stella Brennan (Secretary), Su Ballard
(treasurer), and Douglas Bagnall. To maintain continuity the three
office-holders will remain in place as appointed board positions, and
three positions will be opened to voting by the membership.

Nominations for those three positions may now be submitted to our
returning officer Zoe Drayton ([email protected]). A
nomination needs to be accompanied by a 50-word summary of why the
person would be a good board member, and each nomination needs a
seconder. You may nominate yourself – but you will need someone else
to second it!

Nominations close on Friday October 9th at 5pm.

The nominations will be posted to the list, and voting will be opened
after close of the AGM at 6pm on Sunday 11, until 6pm Friday 16 October.

To assist in voting for those not able to attend the AGM in person,
the minutes and other information about the structure and finances of
ADA will be posted on the ADA website within 24 hours of the close of
the AGM
