For those who aren't on yapc-plan, this may be of interest.  I
plan to reply to this with something about how we're going to put in
a bid for next year, hopefully by YAPC this year. Does that sound
good to people?

This just in... Sarah Burcham puts forth the first official proposal
for YAPC North America 2002, in St. Louis.  Looks pretty solid.  No
dining area yet, but everything else looks good.  boojum++

It'd be great to announce by the end of December, but that may
not be enough time to get the two other expected proposals
(Philadelphia and Boston) to maturity.  But it certainly is
good to have this here; I was thinking we'd be back at CMU
next year :) which I'd be happy to do, in any event.

This proposal is based on the YAPC venue requirements document
version 0.5_1 (http://yapc.org/venue-reqs.txt).  Any additional
requirements are outside the scope of this proposal and as such
are not addressed.  I have added new sections where needed.

Execute Summary.

Having never organized a conference before, I believe that
Washington University in Saint Louis is a feasible venue for
hosting YAPC::America::North in 2002.  Saint Louis is centrally
located in the United States with good airfare and Amtrak rates.
It is, however, a small university which leads to creative
solutions for arranging a conference of this size.  This may
mean separate campus sites for meeting rooms, terminal, room,
dining setup, etc.  Worst case would be no location for dinner.
The flipside is that the campus is not that large, so everything
will still be reasonably close. One last thing that it would
be an oversight not to mention is that typical Saint Louis
summers tend to be very hot in Saint Louis.  Expect 90F
temperatures.

General.

   350 Conference Capacity.

Community Support.

   Washington University.  Support from the Computer Science
   department.  As a current student and former employee of the
   university, I have many advocates both in the faculty and the
   staff of computer administrators.  I have already sought
   out a faculty advisor within the CS department to lend
   dignity to my resource requests and inquiry.

   ACM. Washington University Chapter.

   Perl Mongers. Saint Louis.

   #perlers. Boojum, beeer, and jambe.

   Yes means Yes.
   NYI means Not Yet Identified.
   MC  means Multiple Choices available.


Facilities.

   Yes  Auditorium. A large lecture-hall style room, with seating,
        capable of holding the full assembly.

        * 352 maximum.

   Yes  Meeting rooms. Three additional rooms with a total capacity
        approximately equal to that of the full assembly.

        * Potential meeting rooms and auditorium in same vicinity.

   NYI  Dining Area. A dining area capable of seating the full assembly
        for dinner.  The area should have a public-address system, although
        Yet Another Society may provide it.  It may be off-site, but must
        be near.

        * Doubtful, but all hope is not lost.

   MC   Common area.  A common area in which groups of attendees can
        informally meet and in which conference registration can take
        place, and a number (6 or so) tables for registration and
        information booths.

        * Common area may not be nearby meeting rooms.

   NYI  Terminal room. A room capable of holding computers, to be used as a
        terminal room.  This room must have an internet network connection
        available to host some 10-20 desktop computes and enough room for
        some 10-20 people to connect with their own laptops, as well as
        tables and chairs.  It should be secureable.

        * What if we got permission to use existing facilities?

   MC   Storage. A secure room in which to store supplies, including
        materials for all the attendees and all necessary equipment.

   Yes  All facilities should be accessible by disabled persons, and held
        in controlled temperature environments (air-conditioned or heated
        as needed).

Catering.

   Yes  Catering services. Breakfast, snacks, and a light lunch for three
        days, plus one evening reception and one sit-down dinner.  About
        25% of attendees will be vegetarian and 5% vegan; some may require
        lactose-free or low-carbohydrate meals.  While not all meals may
        be provided, the resources must be available; the amount of catering
        is influenced by the amount of sponsorship.

Accomodation.

   Yes  Nearby commercial hotels, restaurants, and social venues must
        be available.

        * Hotels are not walkable, but are only a few miles away.
        * Transportation shuttles can be arranged to run for $35/hour.
        * High-end Hotels will not be supported, if you want to
          stay at the Ritz-Carlton, rent a car.
        * Hotels would be a Red Roof Inn level of quality.
        * Walkable nightlife, restaurants, and shopping.
        * There are several Saint Louis Hooters locations (for merlyn)
          in addition to the "East Side" stripclubs and casinos.
        * The Arch.  Definite geek appeal.
        * Forest Park walkable, runable, bikeable from campus.
          A legacy from the 1904 World's Fair.  Very nice.

   Yes  Inexpensive dormitory-style accommodations for approximately half
        the assembly is desireable. If the facility does not offer
        accommodation, some nearby inexpensive accomodations, such as
        hostels and campgrounds, should be identified. Ethernet (wired or
        wireless) capabilities, and telephones, are desirable but not
        required, as are linens and towels.

        * Dorms $37/night per single.
                $32/night per double.
        * Bed & bath linens provided.
        * Wired Ethernet available.
        * Not sure about telephones
          (this seems obvious, but I need to verify.)

Equipment: A/V, Network

   Yes  Auditorium and Meeting Rooms. Public address system, data
        projectors, transparency (overhead) projectors, and both wired and
        wireless Ethernet.  Preferably wireless microphones as well
        as podium mics.

        * Wired Ethernet.
        * PA System.
        * Data and Transparency Projectors.
        * Wireless microphones.
        * Not sure about podium mics.

   NYI  The Dining area must also have a PA system.

   NYI  Terminal room. At least one Ethernet connection (ideally 100baseTX
        Fast Ethernet) and sufficient AC power to provide power to a number
        computers and monitors. Preferably, there would be working
        networked computers in place, but these may be arranged by the Yet
        Another Society.

        * Washington University has at least one T3.
        * WU has existing computer labs that may be able to be utilized
          to satisfy these requirements.
        * Hopefully beeer along with my ties to the university computer
          admins should cinch this requirement.

   NYI  Dedicated Internet addresses are not required (DHCP or NAT are both
        acceptable) but an unfiltered connection to the Internet is
        required.  Wireless access (802.11b) may be present or provided by
        Yet Another Society.

        * A limited portion of campus has wireless access.
        * YAS should plan on having to provide wireless capability.

Transportation.

   Yes  Nearby access to an Airport, preferrably a large one.  Parking
        facilities or arrangements, as appropriate.  How to arrive by
        public transport and taxi from the airport, or other major points.

        * Saint Louis has light rail from the airport to nearby campus.
        * Washington University already provides shuttles from light
          rail to campus.
        * As mentioned previously, arrangements can be made to shuttle
          between campus and hotels and also light rail and hotels at
          a rate of $35/hour.
