Hi Mary Ellen,

Here ya go!

Original Message
I'm not Laura, but here's the answer. No, she wasn't referring to the
attachments which remain in the /KeyMail/Attachments directory even after the
e-mails containing them have been deleted. What she's referring to is the fact
that e-mails build up in the database which may not only be deleted messages
but also, and this is what I've seen most often, quoted messages of e-mails one
has never replied to or forwarded (for example, more likely than not, if you
ever choose to abandon an e-mail without sending it, the quoted message of the
e-mail you were replying to/forwarding will still be in the database, although
what you wrote and then chose to discard will not). The only headers these
"ghost messages" will contain are the "To" header and the body of the message.
Anyway, you won't see these messages when viewing them with KeyMail, so here's
what you have to do to clear them:

1) From the Main Menu, press A for the Address List.

2) Depending on what KeySoft version you have, this next step will be different
for different users. If you have v5.1, you will notice that the "Select
KeyList File", "Free Database Space", and, if you have multilingual software on
your units, "New Entry Language" options grouped under "Setup Options" of the
KeyList Menu. For those using v5 or earlier, these options will simply appear
in the KeyList Menu. Therefore, if using v5.1, hit S twice from the KeyList
Menu, but for v5 and earlier, you only need type S once.

3) You're at a "File Name?" prompt, and the offered file is the "Address
List.klt" (whose extension you won't see) database definition file, the one
which governs the Address List database. Its location is the KeyList folder of
the Flash Disk. The DDF you want to select is called "E-Mail Folders.klt" in
the KeyMail folder of the Flash Disk, which governs the e-mail database, so hit
BACKSPACE once to get to the "Folder Name?" prompt, and select the KEYMail
folder. Back at the "File Name?" prompt, select the "E-Mail Folders" file.

4) Return to the KeyList Menu, and hit L for "Lookup". You'll be told "Please
Wait", and you MUST wait. The reason for the wait is because KeyMail, which
uses this database, sorts the e-mails into folders, while KeyList displays one
field per line, so the database is being sorted by KeyList to display that one
field per line. Depending on the size of your database, this wait may be long.
DO NOT interrupt the process, perform any kind of Reset, shut off the unit, or
let your batteries go flat, as this will corrupt your database, causing any
e-mails in it to become inaccessible. Even if it seems like the unit's not
responding, don't touch anything, just let it sit there and sort out the
records of the database, so they can be displayed in the form used by KeyList.
When you re-enter KeyMail after completing this process, you will again have to
wait the same amount of time while the database is being sorted to display
records in folders as does KeyMail, and again, you MUST
 just let it do so.

5) After the wait, you'll be prompted "Selection List for E-Mail Folders", and
just hit ENTER to display all records. For each record, the first thing you'll
be prompted with is the date on which you received it. As I said, the "ghost
messages" do not contain this field, so you can simply skip through records
with [SPACE with dots 5-6], [RIGHT ARROW] until you come across a record which
doesn't have this field, meaning your Braille display will appear blank, or you
won't hear anything spoken when you land on this record. If you'd like to see
what one of these messages looks like, you can SPACE through the fields. Note
that the "Folder" field displays a number which corresponds to the appropriate
folder where the message is located, whose name and settings are not stored in
the E-Mail Folders DDF itself but rather in the KeySoft.ksd file of the
Dictionaries folder of the Flash Disk, whose info is not accessible to the
user; in other words, this number is the number given t
o the folder as defined in that file. Anyway, if you tap ENTER on the "Body"
field, you will see the message body, which will most likely be a quoted
message. When you come across a "ghost message", hit [BACKSPACE with dots
2-3-5-6], [CONTROL # 8] to delete it. Confirm deletion by typing Y at the
confirmation prompt.

6) Go through and delete all the "ghost messages" you find. When finished,
return to the KeyList Menu, and answer Y if you receive a "Confirm Changes?"
prompt.

7) While the e-mail database is selected, you might as well free database space
right from KeyList to reclaim that space lost. Again, depending on whether you
are running v5.1 or not, you might have to press S for the "Setup Options",
then F for the "Free Database Space" option within this list (for v5.1 users),
or you may just be able to hit F right from the KeyList Menu (for those using
versions earlier than v5.1) to execute this option. The "Free Database Space"
option works just like it would if you were freeing it from KeyMail or freeing
the Address List or one of your customized KeyList databases, if you have them,
from KeyList. After it's complete, you should be returned to the "Setup
Options" if using v5.1 or the KeyList Menu if using v5 or earlier.

8) If you're not at the KeyList Menu, return to it by exiting with [SPACE with
E], [ESCAPE]. Back at the KeyList Menu, repeat steps 2 and 3, but this time,
reselect the Address List database by choosing the KeyList folder of the Flash
Disk and the file called "Address List.klt" (whose extension, again, you won't
see). Actually, you can select any of your KeyList databases if you've created
any customized ones, but I'm just suggesting to select it now so as to be done
with it (although, because you've selected a database other than the default of
the Address List, you'll be prompted to select a DDF the next time you entered
KeyList, which is KeySoft's form of ensuring that you really want a database
besides the default to be selected).

9) Remember, the next time you enter KeyMail, you will have to once again wait
while the database sorts out the records to display in its format, and the same
cautions apply as in step 4. The KeyMail database will function as it did
before you deleted these "ghost messages".

The KeyMail program is a "scaled-down" version of the KeyList program, in that
it manipulates the e-mail database only, while one can select and manipulate
ALL KeyList database, including the E-Mail Folders database, from KeyList. As
for how often you need to clear these, that depends on how often you use
KeyMail and how long it's been since you started with a new database (meaning
you deleted the .cdb file which contains the records of the E-Mail Folders
database and created a blank .cdb file). Check periodically to ensure that you
don't have many of them which build up over time, as they do waste much space
in the database. Finally, FYI, what I mean by starting with a blank e-mail
database is navigating to the "E-Mail Folders.cdb" file (and you will need to
do this through File Manager>Directory because it's a "hidden" file, and the
File Manager is the only place where, upon pressing [SPACE with X], [READ with
X] at the default "List of Files" view, you will see the "Lis
t of All, Including Hidden" files), pressing [BACKSPACE with dots 1-4],
[CONTROL with I], then Y to delete it (ignore the warning that erasing it will
cause the loss of your Address List, e-mail, and Directory of Services
databases if you receive said prompt when pressing [BACKSPACE with dots 1-4],
[CONTROL with I] because, ever since v4, these three databases have,
thankfully, been separated into three different files, so deleting the "E-Mail
Folders.cdb" file will only erase the records of the e-mail database), entering
KeyMail and the "Write an E-Mail" option, and pressing Y at the prompt telling
you that a database doesn't exist and asking whether you wish to create one.

BTW, copies of all the default DDF's (the e-mail, Address List, Directory of
Services databases) are stored in the Windows folder of the KeySoft System
Disk, or the e-mail and Directory of Services DDF's are also stored in the
/KeySoft/KeyMail directory of the KeySoft System Disk, while the DDF of the
Address List is stored in the /KeySoft/KeyList directory of the KeySoft System
Disk, so if you ever find that they are not in their appropriate locations on
the Flash Disk (the Directory of Services and E-Mail Folders DDF's should be in
the KeyMail folder of the Flash Disk and the Address List DDF should be in the
KeyList folder of the Flash Disk), you can COPY (don't move) the DDF's from
those locations on the KS Disk to the appropriate locations of the Flash Disk.

One last thing: For those using the older database structure, where the three
aforementioned databases were not separated but were all governed by the
KeyList.klt DDF and whose records were all stored in the KeyList.cdb file, I'm
really not sure how it would be possible for one to clear these "ghost e-mails"
because the KeyList.klt DDF is already selected in KeyList, and the same file's
used by KeyMail (and as the databases were already separated when I got my
unit, and I now have v5 burned into ROM, I can no longer find out, if it is at
all possible in the first place), so apologies for that, but I would imagine
most on this list are using v4 or later, so they will be able to take advantage
of this.

HTH,
Maria

Subject: [Braillenote] getting rid of ghost every-mails?

subject says it all!
How do you get rid of ghost every-mails in your outbox? The instructions I had
went with hard drive 3 on the IBM T. 30.
Any help would be greatly appreciated.
Thank you!
Mary Ellen Earls
