UNIVERSITY LIBRARY

RMIT University Library is a creative partner in the achievement of RMIT 
University’s teaching, learning and research goals. It engages with other 
groups within the University to design initiatives that have a positive impact 
on the student experience including the provision of direct support, advice and 
guidance for students’ academic skill development. It provides resources, 
services and facilities to support the information needs of RMIT's large and 
globally distributed student and staff population and supplies expertise for 
the management of the University’s archives and business information.

To support the goals and operations of the RMIT-Vietnam Library is supports 4 
main functional areas: Learning; Teaching and Research; Collections; and 
Operations. The Library increasingly delivers collections and services online 
to maximize access by the RMIT user population. The Library’s programs apply 
equally to this large and widely distributed range of students.

At RMIT Vietnam, the Library supports over 8,000 students across3 locations: Ho 
Chi Minh City, Danang, and Hanoi. All the libraries are networked for wireless. 
They provide flexible spaces for individual and group study, computer equipped 
group study rooms and seminar rooms for academic and library research skills 
training. With one of the largest collections of English language materials in 
Vietnam, the Library supports all programs and degrees within RMIT. The

POSITION SUMMARY

The key focus of this role is to be the RMIT-VN Library’s key technical 
specialist on the identification and implementation of relevant metadata 
standards and procedures for description of both bibliographic and 
non-bibliographic data to support improved discoverability of the library’s 
resources. This position serves as a specialist resource to a diverse range of 
internal stakeholders on metadata issues and best practices and will monitor 
trends in resource description standards and emerging technologies, applying 
developments as appropriate to the Library’s procedures. The role will involve 
bulk data remediation and management of file loads and structures to improve 
understanding and workflows. Quality control of the library’s bibliographic 
records is also an important component of this position.

The Metadata and Applications Specialist will support in the day to day 
management of all existing Library Management System (e.g. Ex Libris) 
applications within the University Library. The role also has responsibility 
for supporting availability and delivery of applications to provide an 
excellent discovery and delivery service to the RMIT community and to support 
robust, client focussed internal workflows. Expert use of Library Management 
System analytics tools to provide relevant, accurate data to stakeholders as 
required. Intradepartmental coordination of the Library Management System 
functions and applications is also a key responsibility of this position.

Any member of the Library staff will be required to assist in other areas of 
Library operations for limited periods, at the direction of the Senior Manager. 
The role may also be required to work across the Library on projects and 
programs of work.

The position requires the ability to collaborate with an influence stakeholder 
across the University, and as such strong proficiency and communications in 
English is essential.

Although there are no direct line reports to this role you will be expected to 
be an excellent team player, highly approachable, authentic, with a passion for 
lateral thinking and continuous improvement and an advocate for coaching and 
mentoring.

KEY ACCOUNTABILITIES

• Lead and contribute to the planning of upgrades, including evaluation and 
testing of new databases and software releases for the library management 
system.

• Develop and document procedures associated with application and database 
upgrades including timing and reporting of related issues with focus on 
metadata issues and effective use of ExLibris modules.

• Identify emerging issues and trends in national and international metadata 
and application standards and procedures to facilitate continuous improvement 
of service to Library clients.

• Provide expert advice to Library staff on metadata standards and practices 
and serve as a resource for the resolution of complex metadata questions.

• Develop and design documentation of metadata standards and procedures in 
cooperation with the Collections Librarian.

• Review, analyse and test library management system features relevant to the 
creation and maintenance of descriptive metadata and related processes.

• Manage and maintain accuracy of large sets of bibliographic data to improve 
the library’s discovery services in collaboration with other Library staff, as 
needed.

• Maintain and develop professional and technical skills especially in the 
areas of descriptive metadata standards and procedures.

• Contribute to maintenance and configuration of all existing and proposed Ex 
Libris software products.

• Coordinate various ExLibris module functions between teams.

• Plan and implement integration of ExLibris products into institutional 
systems such as HR, Finance, etc.

• Liaise with the Learning Management System team to explore and maximize 
library resources within Canvas.

• Maximize efficiency of ExLibris modules to improve operational and service 
workflows within the library.

• Lead by example, coaching and mentoring other library team members to support 
both personal growth and career progression

• As a Library team member, contribute to develop and/or enhance policies, 
procedures and systems to support ‘best practice”

• Develop, lead and work on special and cross-functional projects or activities 
as requested by the Senior Manager.

KEY SELECTION CRITERIA

A degree in a relevant discipline with at least 5 years in a similar role with 
relevant experience.

• Well-developed knowledge and experience in the application and maintenance of 
Ex Libris Library applications within an academic environment. International 
experience is desirable.

• Demonstrated customer service ethic and ability to adapt to feedback to drive 
continuous improvement.

• Experience and knowledge of metadata standards relating to the Academic 
Library environment ideally including DC (Dublin Core), MARC, RDA (Resource 
Description and Access) and the ability to learn and implement new and emerging 
standards and schemas.

• Demonstrated aptitude and skills in using a range of software applications, 
the management and manipulation of large data files and strong Excel and text 
file editing skills.

• Excellent interpersonal skills, ability to work independently or as part of a 
team and with demonstrated ability to collaborate with colleagues and 
stakeholders.

• Demonstrated organisational and time-management skills with a proven record 
of flexible approach to work

• Proven record of problem solving and analytical skills to deliver customer 
focused improvements

• Outcomes focused and driven towards supporting the business in achieving 
needs.

• A mature and agile approach to working with stakeholders, with excellent 
verbal and written communication skills (exceptional English proficiency 
skills).
