Regardless how often the committees have to report (twice a year, once a month?): most important to me seems to get clear whether a committee is still in charge. For instance, the website committee seems to be in a suspended state (that's why Jeff is our osgeo-webmaster), and also the marketing committee has a sabbatical year. Which is not a bad thing, as long as it is clear to board, LOCs, local chapters etc.

And perhaps some committee have become obsolete. That's just what happens in evolving organisations like ours!

Gert-Jan

I personally don't think that writing half a page of activities list coul
take more then 20 minutes.

This is helpful for several things:
- inform the board
- inform the community
- promote osgeo showing its activities
- report in annual general meeting
- .....

I think it worth the (minimalist) effort.

If bi-monthly would be too much of work, I would
suggest quarterly reports for the OSGeo Committee
Chairs with target committees as listed in [1] and
not individual software PSC.

Just a short report (half page) report on main activities and
issues could suffice. Communicating with the membership
could also be done through the chairs. The 4 quarterly reports
could be published in the OSgeo Journal as annual report.

Please do not feel as a board member that you have to be across all the
mailing lists.

I think we had a rough ride this last meeting with a few topics added at
the last moment without adequate communication on the mailing list. Both
topics went back to the mailing list. I know I always feel terrible as
incubation officer when I am not organized enough to present a topic to the
board - I assume other representatives are similarly motivated not to let
their "team" down.

Aside: If we are going to ask anyone to write a report I would rather do so
to communicate with the membership / outreach (as per OSGeo Journal).

Dear Broad,
I was discussing this idea with Jachym and Venka some time ago and now I
would like to make my motion to the board in the next meeting, so I want to
start this discussion.

Board members cannot be subscribed to all the existing mailing lists and
be informed on every things is going on but to take some decision a wide
overview is required. At the same time committee's chair has the role of
leading the work group and organize discussions.

So the motion I would like to do is:

"Every committee chair have to report the main activities and actions to
the board at least every two months. The non submission of two consecutive
reports is an index of committee inactivity and lead to the board
discussion on need of replacing the chair and verify if the committee has
still sense or shall be withdrawn."

Please add your comments before of the next board meeting.

Best,
Maxi
