I think rons idea would work like this, we keep the drink machine stocked,
but powered off. The drinks can stay there.
We could then keep a few cases of diffrent variety in/by the fridge. Keep
diffrent amounts of each in the fridge, depending on popularity. As far as
restocking the fridge we could just ask that when you buy one you stick
another of the same type in. This wouldn't be a peftect system, but would
reduce restock work.

When we have an event we could plug the drink machine, and top it up if
needed. Would probably want to get it running the night before the event(or
the morning of if it starts at night)

Another thing we may want to look at is how much power Our fridge/freezer
uses. Compare it with currently available ones and see if ours is using a
large amount of power more. If this is the case it may be cost effective to
buy a new one. Depending on how inefficient the current ones are. Some it
might be so little that we wouldn't see ROI for years, some might be so
great that we pay for the fridge in just a few bills.

I also think it might be a good idea to put up a sheet by the machine with
a check box for diffrent types of drinks, and just get people to check off
what they buy. After a few weeks we could have an idea as to how much of
what sells, and if it is worth it to run the machine day to day. This would
be harder to track during events, and would probably just have to use
manual stock counting before/after the event.

The most important thing is though is that while analysis and observation
are great, knowing how much energy we use vs profit we make doesn't do us
much good if we never do anything about it. But we could easily take some
simple steps to figure out how to reduce costs.
