You can still access a disabled mailbox by assigning mailbox rights to
someone else, like a manager. This is a very common scenario for
resource mailboxes, such as conference rooms and such. You want the
account to be disabled, but you still need to grant full mailbox access
within Outlook. No problem.

The method has a few benefits. First, I remove a user from all distro
lists so they don't get excess mail. Second, I disable login hours and
reset the password for security reasons. Third, the mailbox still
exists and is accessible by simply adding back logon hours. Managers
frequently want to go through the users mail, or turn on an out of
office assistant. With this method, we can give them the password and
they can go in through Web Outlook to do their deeds.

If I disable the account, you can't login, and if I delete the account,
mail bounces, so you can't do the out of office situation... Although, I
am not a fan of the out of office message for terminated people. I
prefer to give live access to the box to the manager so they can monitor
and send out notice proactively to people who continue to e-mail the
terminated user.

As long as "Self" has the "Associated external account" right in the
mailbox rights of the account, a disabled account can receive mail. Your
method sounds like a pain in the arse to me.

When you disable an account in AD you effectively "turn off" the
mailbox. Any mail sent to that box will bounce and you can't access the
mailbox.

When we have terminated employees, we remove them from distro lists,
hide them from the GAL, change the password, and change logon hours to
none. This way the account can still receive mail and the box can be
opened if necessary to be manipulated.

I never bothered to see if there is a way to allow email to go to a
disabled account, or still access the box. The above method works well.

Subject: Active Directory Disabled Accounts

We had a user who recently quit and his account was disabled in Active
Directory. Now, we want to get into his mailbox and setup his Out of
Office Assistant with a message saying "please contact such and such".

However, we can't open his mailbox. I know I saw a Technet article on
this once, referring to Exchange 2003 and Active Directory/disabling
accounts, but I can't find it now.

Thanks.

Robert
