Hello Eldon, If you are a Google Apps for Business customer, you could use the Calendar Resource API: http://code.google.com/googleapps/domain/calendar_resource/docs/1.0/calendar_resource_developers_guide_protocol.html
It will let you set your demonstration gear as resources that your users can request through the calendar web UI, like a conference room. I hope this help!
