Dear Susie

Thank you. Very helpful indeed.

I was trying to avoid writing on the document itself, but what you say makes sense and renders the sticking of a label on the outside relatively less important, since it can be replaced based on the document's own marked ID.

I appreciate the info.

Jeff

Hello Jeff,

There are many ways of attaching the number to the outside of the sheet
but the important place to attach the number is to the item itself.
Archivists will use a SOFT pencil and write the number / reference on the
actual item - generally on the back and where practical always in the same
position - i.e. back top left corner.

The reason for the SOFT pencil is so the material isn't damaged by
pressure from the pencil, and of course carbon pencil will not disappear
with age. SOFT pencil is the correct procedure for documents, photos etc.
For fabric items, you write on a piece of white cloth tape and sew that to
the item. For odd shaped items, you write on a tag attached with thread -
wrap the double thread around a part of the item and slip the tag through
the double thread to hold it in place.

NEVER ever use permanent ink or other forms for writing on documents,
photos etc. - stick to the soft carbon pencil.

Many people would be concerned about writing on the item itself thinking
this would damage / detract from the item but this is the procedure used
by archivists. What you are protecting against is the item being removed
from the archive sheet for some reason (copying etc.) and then not knowing
where to return it - that is a far more serious situation from an archive
point of view - the link between the File ID / Reference number and the
information about the item is lost!

Hope that makes sense.

Regards ............. Susie Z

Subject: [LegacyUG] Practical File ID question

This is a rather basic question asking for suggestions.

After a document is placed in an archival safe acid free sheet protector,
what is the best way to physically attach its assigned FileID number to
it?
Sticky labels attached to the outside of the protector tend to fall off
with
age and time. Inserted inside the protector, they tend to shift in
position.
Etc.

What do archivists do? Thank you.

Jeff
