Jeff Job ID 32991 Job Title Collections Information Assistant Location Evanston, Illinois Department Block Museum Salary Grade NEX 12 Job Summary: The Collections Information Assistant coordinates a broad variety of administrative processes & activities such as database, appropriate filing & audit mechanisms. Hired on a part-time basis for a 1-year term, the Collections Information Assistant will work closely with the Curatorial and Registration teams to assist with the museum’s conversion to a new collections management system (The Museum System/ TMS). The Assistant will build metadata for works within TMS; consult on the museum’s cataloguing guidelines and TMS customization; review curatorial records on works in the permanent collection; and undertake research and update data as necessary. Please note: The position will need to have flexibility in scheduling weekly work hours depending on needs of the project; hours will be determined in consultation with supervisor at date of hire and ongoing. Specific Responsibilities: Documents & Databases * Based on analysis, research, &/or knowledge of subject matter, professional field &/or topic, prepares & compiles correspondence, reports, etc. * Review, proof, edit, and standardize object records in the museum’s collection database using existing data, hardcopy object files, and academic research when needed. * Creates &/or maintains complex spreadsheets &/or databases &/or reports, queries, charts, etc. based on supervisor's information objectives. * Assists with development of metadata for TMS, including controlled vocabulary and hierarchies for collection content; represent the Curatorial Department in cooperative work with the Registrar Department on the conversion. * Proof, edit, and standardize object records to ensure consistency and accuracy of interpretive content in TMS. * Organize and link curatorial media files (curatorial reports, justifications, etc.) to database records. * Performs other duties as assigned. Minimum Qualifications: * A high school diploma or equivalent required. * 5 years of administrative support or other relevant experience required. Minimum Competencies: (Skills, knowledge, and abilities.) * Excellent interpersonal, organizational, writing, proofreading, and analytical skills, with superior attention to detail. * Ability to manage multiple tasks within complex projects. * Strong written and oral communication skills. * Advanced knowledge of word processing, spreadsheet, email, and database software programs is required. Preferred Qualifications: * Master’s degree or PhD in art history or a related field of study * At least 3-5 years of experience cataloguing works of art and building museum collection database entries. * Extensive prior experience working with TMS. * Some prior experience with collections database software. Preferred Competencies: (Skills, knowledge, and abilities) * Working knowledge of Gallery Systems TMS collection management database software.
