For the Lenox, MA dance we've considered the possibility of aligning with the DanceFlurry organization (Albany, NY area), but for several reasons decided it didn't make sense. The one connection we do have with a more formal organization is that we purchase event insurance through CDSS. We quickly realized that if there were an incident, and someone decided to sue, it would the our group of 6 who would be named in a suit. The CDSS insurance costs us $35/event. I know that I would not have stayed with being an organizer if I had that exposure. Anyone can sue anyone else for almost any reason. We had to register as a DBA (Doing Business As...) to get a checking account, part of banks tracking money, homeland security eh!, but we have no other charter or non-profit standing. We pay our performers mostly be cash from the gate (unless the gate is down, then we end up mailing some checks, but that's infrequent). So we've got no required reporting at year-end, etc.

When I wrote about our structure, and how it came into being, I wasn't specific about tasks. These were self-selected by the way.
1- Hall liason and snacks
2- Website
3- Booking performers
4- Email list management, reminder emails, and treasurer
5- Annual solicitation for cultural council grants and utility member (will help with other needs)
6- Publicity and chairperson (setting agendas, record keeping, etc.)

All of us- We share opening and closing duties

I wouldn't want a larger group than 6, but with 6 I think the tasks are pretty well shared around so no one is at risk of burning out.

PS- I sign my contributions with the name of the dance I help with. I'd like to encourage others to do the same so I can build some sense of identity around who is contributing. Thanks.

thanks for the responses so far. i find it interesting that with the 4 (?) dances mentioned so far, none have a formal structure. no incorporation
(correct?). and presumeably no filing with government, ie 1040 for non
profit or 1099's for musician pay. ie, all is very informal, not just the
governing structure. other groups seem to find the formal structure
important. different perspective.
