Hi Wayne, I think the most important advice I can give you, is not to use Netmeeting. The H.323 implementation is really terrible. If you are looking for a free softphone, take a look at PacPhone or at a commercial softphone like Polycom PVX, Mirial Softphone or VCON vPoint.
How to get a centrally updated directory into the softphone depends very much on which product you decide choose. Some support H.350 directories or generic LDAP, but it can be rather difficult.
