A Project Office can support a number of projects in a region, function,
etc, or support a single, large programme or project. A Project Office acts
as the centre of best practice for project and programme management.
Challenges:
· Ensuring programme standards are applied consistently across the
region.
· Ensuring objective, timely and accurate project information is
received by stakeholders.
· Achieving optimal project resourcing.
Description:
· Provision of support and guidance on project management processes,
procedures, tools and techniques to programme and project managers and their
teams.
· Advises on the available standards, procedures, methods, tools and
techniques.
· Contributes to reviews and audits of project and programme
management to ensure conformance to standards.
· Manages and maintains Programme information management
repositories
· Incorporates Communications management within the PMO function
*MAIN ACCOUNTABILITIES*
- Provides effective programme administrative support to the project
managers
- Ensures availability of and assistance in the compilation of project(s)
progress reports to senior management.
- Monitors and reports exceptions, slippage and issues of priority, and
initiates extra activities wherever gaps in the project(s) are identified.
- Reviews and audits the management of projects and programmes to ensure
conformance to organisation and programme governance standards.
- Develop and reviews supporting project management standards, processes,
procedures, tools and techniques.
- Administrates programme management governance processes, procedures,
tools and techniques
- Provides regular and accurate communications and reports to Programme
Management Office as appropriate
- Ensures timely collection and consolidation of project and programme
performance metric data and estimating models
- Manages updates, reviews and distribution of Global and Regional Risks
and Issues extracts.
- Contributes to the assessment/mitigation and resolution of Programme
Risks and Issues
- Engages with Regional PID Leads and Third Party PMO to ensure Risks and
Issues Process operating effectively
- Engages with Third Party PMO’s to ensure adherence to and improvement
of programme governance processes
- Manages updates, reviews and collates resource utilisation reports for
the transformation programme
- Liaises with PID Leads and Project Managers to develops and gather
communication requirements for the region in support of the Global
Transformation Change Managers Plan
- Engages with Global Transformation Change Manager to provide Regional
communication requirements and support the creation, development and
distribution of Communication material across the region
- Interfaces with Global PMO to ensure alignment with Global Programme
Principles and Governing processes
- General administrative support to the Regional Lead for Travel, meeting
set ups and programme administrative requirements

Relevant Experience
· Principles, methods, techniques and tools for the
effective management of projects from initiation through to implementation.
Example: PRINCE.
· Automated tools to assist in the project management
process, by automating mechanical tasks such as scheduling, resource
balancing, and time recording.
Examples: PMW, Microsoft PROJECT.
· Methods and techniques associated with planning and
monitoring progress of projects.
Examples: product/work breakdown structures, critical path analysis, earned
value, resource analysis, conflict resolution.
*Essential:*
- Has project management experience with substantial exposure to IT
project developments and has received comprehensive training in IT project
development methodology and terminology.
- Is familiar with the project development life-cycle and typical
problems associated with the implementation of IT projects. Has practical
knowledge of project management methodologies, tools and techniques with in
depth knowledge of at least one methodology.
