Job Summary
The Associate Service Consultant is accountable to improve the business/end user experience with a forward-looking mindset and spirit of continuous improvement. This includes:
Serving as primary Client contact point and first level of escalation for support inquiries., including activities that require multiple teams to solution.
Assisting, when needed, with the prioritization and escalation of customer inquiries.

Key Duties and Responsibilities
Customer Service Support
Respond in a friendly, professional, and customer-focused manner, ensuring First Contact Resolution.
Ensure all customer enquiries are acted on appropriately and recorded in the system as required.
Develop relationships with key customers and points of contacts.
Handle customer complaints, escalations and forward to appropriate departments for resolution as required.
Ensure that all written communication is clear and any follow up is performed in a timely manner.
Ensuring alignment on processes with cross functional teams.

Administration / Communication/ Reporting
Perform other administration tasks as requested. These tasks may include but not be limited to:
Create and update guidance and FAQ documents as required
Providing support to Change and Demand consultants.
Run & Communicate reports in various tools (example ServiceNow, Clarity, KNEAT, etc.)
Basic maintenance of team SharePoint site
Work with Operations Change Management on content for periodic Newsletters and other business critical communication.
Maintenance of Power Point and Excel documents as required.
Ensuring all administration tasks are completed in resulting in excellence in customer satisfaction.

General
Adhere to Clients internal codes of conduct and compliance processes.
Other ad hoc duties such as administrative duties, as requested.


Qualifications
The following listed requirements need to be met at a minimum level to be considered for the job:
3-5 years of Customer Service experience
Experience working with Microsoft Office Suite, proficient in tools such as Excel and Power Point
Attention to detail and very organized
Prioritization and Multi-tasking ability
Bachelors Degree or Associate Degree and equivalent relevant experience in Business, Information Systems/Computer Science, or related discipline.

Primary Needs:

Position will reside within the Pharmaceutical client Business Technology Solutions (BTS) Strategy & Continuous Improvement Team.

BTS is driving and supporting a full business systems integration of a company recently acquired by Allergan Aesthetics/Pharmaceutical client. As part of the integration, there are multiple business processes across the organization that are currently under review to determine integration strategies, and if relevant, collect requirements for integration support from BTS.

This role will work closely with the BTS Deal Lead for Mergers, Acquisitions, Partnerships & Alliances to coordinate and align multiple parallel workstreams.

Current business processes under review to include in these parallel workstreams may include:

o E-Commerce / Ordering

o CRM, Sales Reporting & Sales Training

o IVR & Shared Mailboxes

o Marketing Automation & Promotional Materials

o ERP & Related Reporting

o QMS & Compliance Training

o Document Management System

o Supply Planning & Demand Planning

Executing and Closing Project: Develops and executes a work plan obtaining authorized resources to ensure all activities are performed. Leads team in delivering project scope. Gather lessons learned and obtain final project approval from sponsor and stakeholders.

Project Communication: Communicate project progress by producing project reports to provide timely and accurate project status and decision support information to project teams, business, and IT management. Makes recommendations based on current project status to resolve issues and manage risks.

Resource and Team Management: Coordinate resources to ensure project needs are addressed and effectively assign tasks and deliverables to team members based upon their abilities. Motivates project team to deliver project outcomes.

Quality Management: Responsible for compliance with applicable Corporate and functional policies and procedures.

Decisions: Make decisions that impact project level activities.

Drive Continuous Improvement of Project Process and Governance: Will continually examine Plans/Risks/Issues to identify gaps in project communication or process, and holding project team accountable for improvement, to drive proactive solutions as the project is ongoing. Escalate issues that need Permanent Process changes.

 

Qualifications:
