   Silicon Prairie Software,

   And although you didn't ask about variables, I've always found that if
   I'm managing character and paragraph formats, I always need to manage
   variables, too. And for that, I highly recommend the BookVars plugin
   from Leximation: [2]https://leximation.com/tools/info/bookvars.php.

From an old job, this is the documented procedure for creating a new book.
This is probably overkill for your question but it covers the TOC issue.

1. In Perforce, do a Get Latest Revision on the Shared directory.

2. Create an appropriate directory (e.g. Install or OnlineHelp) under the
\Documentation\\ directory.

3. Copy MyCompanyStyles.fm (body) and MyCompanyFrontMatter.fm from
\Documentationo\Shared\to the new directory.

4. Select both copies, right-click, select Properties, uncheck Read-only,
and click OK.

5. Rename the copies appropriately, for example, ProductUserGuide.fm and
ProductUserGuideFrontMatter.fm. (Do not use spaces or slashes in FrameMaker
file names.)
6. Open the body file, select all text, and delete.

7. Type the name of the first chapter (usually “Welcome to ”
for a user guide, or “System Requirements” for an installation guide)
followed by two returns.
8. Format the chapter title with the ChapterTitle paragraph tag.

9. Place the cursor at the end of the file, select File > Import > File,
make sure Import By Reference is selected, navigate to the
\Documentation\Shared directory, double-click the file
AdditionalResourcesAndSupportInfo.fm, make sure the settings are as shown
at right, and click OK.
10. Save the body file.

11. Select File > New > Book, click Yes to add the body file, and save the
book with an appropriate name, for example, Product.book.

12. Close the body file, leaving the book open.

13. Select Add > Files, find the front-matter file, and double-click it.

14. Select Add > Table of Contents, double-click ChapterTitle, Heading1,
and Heading2 to move them to the left column, click Add, and click Update.

15. In the error log window that appears, click the Unresolved Text Inset
link and click OK.

16. The front-matter file will open. Scroll to the second page, click the
copyright boilerplate, select File > Import > File, make sure Import By
Reference is selected, navigate to the \Documentation\Shared directory,
double-click MyCompanyLegal.fm, make sure the settings are as shown at
right, and click OK.

NOTE:. The gray box at the top of the first page is an EPS drawing of the
company logo. Framemaker can’t render it, hence the gray box, but it will
appear correctly when you generate a PDF.
17. Scroll back up to the top of the document, double-click
BookNameVariable, and click Edit Definition.

18. In the Definition field, enter the book's title (for example, “Product
User Guide”), click Done, and click Replace.

19. Save and close the front-matter file.

20. Close the Book Error Log window.

21. Restore the TOC file window (minimized at the bottom of the FramemMaker
workspace).

22. At the top of the page, type “Table of Contents” followed by a return,
format it with the ~TOCTitle paragraph tag, then save and close the file.

23. If this is a user guide or some other document long enough to require
an index (installation guides typically do not), select Add > Standard
Index, click Add, and click Update.

24. Restore the minimized IX file window.

25. At the top of the page, type “Index” followed by a return, format it
with the ~IndexTitle paragraph tag, then save and close the file.

26. Drag the file entries in the book up or down to put them in the proper
order (front matter, TOC, body, index).

27. Open the front-matter file

28. With the front-matter file open, return to the book file, select all
the other files, and select File > Import > Formats.

29. From the Import from Document drop-down, select the front-matter file.

30. Click Deselect All, select Variable Definitions, and click Import.
(Remember to do this again any time you edit the BookNameVariable to change
the title of the book.)

31. Close the front-matter file.

32. Select all files in the book, right-click, and select Numbering.

33. Select the Chapter tab and select Continue Numbering from Previous Page
in Book.

34. Select the Page tab, select Continue Numbering from Previous Page in
Book, and click Set.

35. Select Edit > Update Book, check Apply Master Pages, click Update, and
click OK.

36. Save the book.

I start with a blank document.  I create the format, then save it in a
folder reserve for formats.  I name the file based on the format name, and
I append a (p) or (c) to the filename to remind me whether it's a paragraph
format or a character format.

Later, when I need to import the format into a document, I just open the
template file and use the File > Import > Formats function.

Is there a reason others don't do it this way?

I am getting ready to set up a page for my 2020 Ride for Roswell, which
raises money for cancer research at Roswell Park in Buffalo. I am going to

I often use MIF snippets.


   1. Save the file with the formats you want in it as a MIF.
   2. Open the file in a text editor.
   3. Delete everything except the definitions for the tags you want.
   4. Save the file (make sure the extension stays MIF).
   5. In FM, open the MIF file and the file you want those specific formats
   in.
   6. Import paragraph (or character, or whatever) formats from the MIF
   file to the FM file.

Alternatively, you can create a new, clean file, import the tags from the
file that has the formats you want into it, and then just go through each
catalog and delete the formats you DON'T want from it. Save, then open the
file you need those new formats in and import from the clean file.

I use a clean template approach for doing such imports, making sure there is no 
chance that I am importing something else even if I select the wrong options.

Note: A truly 'clean' template would removed all formatting definitions in the 
template and not just char, para, table, master page and reference page 
definitions (i.e. Colors, Doc Properties, X-Ref definitions,  etc.). Having 
such a template archived for use under these circumstances is something every 
FrameMaker template designer should do. I would bet Rick has one stashed away 
somewhere. It's amazing to me that Adobe doesn't provide a template barren of 
formats to use for this purpose.

1 - Create a 'clean' template for this purpose. That means, delete all char and 
para formats. Delete all text boxes from the master pages. If using a single 
sided document, make sure to set it to double-sided temporarily so you can 
delete the text boxes on the Left master page. Delete all Reference pages. 
Delete all table formats since table formats contain default para formats as 
part of the table definition. A Create and Apply Formats should only result in 
the creation of the Body tag which will exist in the text box override on the 
Body page. If others appear you will have to seek them out and remove them. 
Delete the Body paratag from the catalog again.

2 - Create the char and para formats you want to import, designed as you want. 
To create them you need a paragraph on the Body page. Use that Body paragraph 
(which should now appear as an override) as the place to start creating your 
new tags. Only the new paratags and chartags should exist on the body page. 
Another Create and Apply formats should not create any extraneous paratags or 
chartags.

3 - Import just your new char and para formats across your files or books from 
the clean template file you created, selecting Paragraph Formats and Character 
Formats only. You can also check the While Updating Remove: Other Format/Layout 
Overrides if you want the new definitions to correct overrides of the your new 
Para and Char formats that might exist in the target files.

[Framers] Best way to import/add select paragraph formats?

Hello,

More and more, the tech writing team I'm on needs to important just 
specific Character Formats and Paragraph Formats into a file or set of 
files.


Searching through the archives, I found the method below suggested by 
Fred Ritter. 
 
Is this still the best way to accomplish this goal, or does anyone know 
of a better method or tool that's been discovered or developed in the 
meantime?

Fred Ridder's technique:

1) Copy any paragraph of the desired format from the source file.
2) Paste it into the target file.
3) Use the Paragraph Designer to add the paragraph format to the current 
file's catalog.

4) Delete the pasted paragraph.
