agents hugely helpful with describing local sources, and are very much

[Archivesspace_Users_Group] File Size (Bytes) field

Hi all,

Does anyone have an experience using the File Size (Bytes) field for
Digital Objects, or know of any way to modify it? It looks like a free text
field, but actually requires an integer, so using modifiers like Mb or Gb
isn't an option. Since we have objects with trillions of bytes, the data
entry is potentially a bit onerous.

Interested to hear what anyone else is doing. Thanks!

We do this for the few manuscript collections we hold where we have taken
possession of the individuals' personal library. Typically we call the
series "library" or "personal library," and either enter book titles as
item level records or attach a pdf listing of the books as an external
document at the series level. In some cases, we have digitized versions of
notable individuals' (public domain) books to make annotations available,
and attach these as item level records in Personal Library series that
otherwise do not have item level description.

I'm not sure how well all of this gels with EAD, but our first priority is
making our holdings intelligible for researchers, and this seems intuitive
for our users. I'd be interested to hear any horror stories from other
users about similar setups, though.

[Archivesspace_Users_Group] Agent Records with missing information

Hi all,

I am curious how others treat entering agent records with only very partial
information. We are currently doing item level processing on a significant
collection where many of the subjects and even creators of the records are
only described as "Bro. Smith" or "Sister Jones." Sometimes it is clear the
same person is being referenced in multiple records, but without an
identified first name.

Do you place the humble honorific in the title field? Include a note on the
agent record? Place [unknown] in the rest of name field? I paged through
DACS but didn't find any references to unknown first names.

[Archivesspace_Users_Group] Reorder mode in 3.1.0

Hi all,

Since upgrading to 3.1.0 I've noticed an issue with reorder mode. Records
can be reordered and cut and paste, but when working with resources in a
lower level of hierarchy, attempting to drag (or cut and paste) a resource
kicks that resource up to the higher level. For example, moving the
Dinners, Etc. file here to the General, 1945-1988 and selecting "Add items
before" ends up with the record moved up to the series level.

The file can then be re-added to the series as a child as normal. Nothing
is noted in the logs during this, and it has persisted through both soft
and hard reindexing. Is this a known issue or is there an obvious type of
cause to investigate?

Hi Corinne,

The in-pane browse for containers only returns containers already
associated with that collection. To use it in RDE, you'll need to have
already created or attached it elsewhere in the collection through the
standard edit page. If that doesn't solve the issue, I don't know what to
advise next, but that's the first thing to confirm.

This week we upgraded from 2.7.1 to 3.1.0. Soft reindexing took care of
most apparent issues, but one thing that newly appears is that files with
dates but no utilized name field display with the description "translation
missing: en.inherited" as so:

Thomas,

Having looked into flickr a bit, I don't think it's a usable option, at
least not for the kind of direct hosting we wanted to use it for. They
actively discourage direct linking to the image unless a link to the
photopage on their domain is provided as well, and if they discover that
users are backdooring the process they consider it a violation of the TOS
and may deactivate your account.

I think we'll continue using Omeka, but I wish we had a quicker, messier
option for bulk uploads that don't need metadata associated with the
photos.

[Archivesspace_Users_Group] Image hosting for Aspace

Hey all,

We have a gallery collection that is going to use Aspace to catalog their
display collections.

One thing they need is an embedded thumbnail image of each object. I know
how to use extptr tags in notes to embed images hosted elsewhere, but am
looking for advice on where to easily host images that need to be
referenced but do not need any kind of metadata or description for the
images themselves. They would be used only for illustrative purposes in
Aspace itself. This is work that will be done in repetitive fashion by
iterations of short-term interns, student workers, etc, so it just needs to
be straight forward.

[Archivesspace_Users_Group] Calculate Dates functionality

Hi all,

Recently we have started using the Calculate Dates function. We sometimes
run into situations where every subsidiarity element of a resource has
dates, but Aspace will not calculate dates from that range. When the button
is pressed nothing happens.

Has anyone experienced this or seen documentation explaining the nuts and
bolts of the Calculate functions?

Thanks for following up on this.

1. We are currently running 2.3.2.
2. We are encountering this throughout the application, but only on newly
created records, and only after they are initially created. If I create a
new Resource, the dropdown will work, but after I save a new Resource, the
dropdown ceases working both in the general editing screen and in rapid
data entry.

Have encountered a bug that I can't find described anywhere. The Top
Container autocomplete drop-down no longer returns any results on *new*
accessions/records (but still works in older records). The browse function
can still locate the appropriate container, but this is not an option in
Rapid Data Entry. The Agent Link autocomplete drop down still works as
before.

Has anyone encountered a similar issue?

[Archivesspace_Users_Group] Unprocessed label on processed accessions

Hello all,

For some time we have been using Aspace for cataloging while using a legacy
database for accessioning. We are now in the process of accessioning new
materials in Aspace, but it is not working entirely as we expected.

After an item is accessioned, we spawn one or multiple resources from the
accession record. After the accession is fully cataloged and processed, we
create a "Processed" event on the accession record. But the accession
record still displays the Unprocessed label (see attached) and is
categorized that way in reports. What am I missing?
