Re: Creating Tasks via workflow question
Janet, Using workflow, you would probably have to push the parent ID and task ID to the Association forms also. The alternate solution to this would be to try a 3rd party product called Abydos Designer which depending on the categorization of the ticket can spawn such tasks. Then, depending on how people answer the "questions" on these tasks, they will spawn other tasks. I don't work for this company or anything but I've used the product and it MAY do what you are asking for. I would definitely have them mock up something for you and see if it fits your needs. ** Janet Maybe similarwe use workflow to automate the creation of a task group. I would imagine that based on values in your custom form you could automate a task group to the related change. Filter 1 action 1 gets next id: $PROCESS$ Application-Generate-GUID TMS action 2 push to tms:taskgrouptemplate modifies the matching record where 'InstanceId' = "TM" Filter 2 action1 push to tms:flowbuilder creates a new request Please contact me directly and I will be happy to explain further. Re: Creating Tasks via workflow question
Kimberly, Thanks for the tips - however, I'm not sure if this will work in our situation. During our onboarding/termination/transfer process, a Change Request is created along with what we call a SAR form (custom form) - the SAR is associated with the CR at this time and sent to the manager. The manager then fills out the SAR form, indicating what applications/services need to be supplied for the employee. It is at this point that they want automation to occur. Right now, our service desk receives notification when the manager submits the completed SAR and they go in and manually attach tasks to the CR. They want us to automate this process - so we will read the SAR form and based on the selections, filters will create tasks attached to the CR. Can I still use a Task Group Template? My understanding was that Task Templates needed to be automated at the time the CR was created. Is it possible to launch this for a CR that already exists? Re: Creating Tasks via workflow question
I did something like this on the Work Order form. I created workflow that: 1) Does a push fields to TMS:ParentApplicationTemplateBuilder, mapping all the fields you would expect for the customer information, as well as setting zTmpInternalCommand to "CREATECHILD", all the RootRequest fields appropriately, and the Parent Template InstanceId with the template ID that is logically selected based on my form in SRM. You could easily just do this when your custom form pushes to the Change Request, as long as you have a field on the Infrastructure Change form to store it since your Filter would be on the Change Request form itself. 2) I do a Set Fields on the Work Order form setting z1D Char01 with $PROCESS$ Application-Query-Delete-Entry "TMS:Flow" 'RootRequestInstanceID' = "$InstanceId$" AND 'ParentID' = "$InstanceId$" AND 'Sequence Mode' = "Yes" AND 'Status' = "Pending". 3) I do a Push Fields to TMS:FlowBuilder, mapping the stuff that makes obvious sense as well as Parent Type as "Root Request" and zTmpInternalCommand as "CREATE". 4) Do a Set Fields on Work Order with CreatedfromParentTemplate = "Yes". I just figured out how to do this by basically looking at the filters that create Tasks from templates for Work Orders, and built my own. I also changed it up a bit because initially I would create the Task Group Template and all the Tasks within it, but my users didn't like that they had to click on the Task Group Template to see the list of Tasks, so instead I just set it up to create the Tasks from the template as individual Tasks. I hope this at least gives you a direction to start in. Realistically, you can do the same thing I did but on the Change form - just add some tasks to a Change Template, and turn on filter logging for when your custom form creates a Change Request with that template and see what happens.
