exactly this happens each year again. we say there will be no video at
self scheduled sessions, then there is equipment and thus the expectation
that there will be video…

I really don't get this. We have a talks team, which decides about
talks and workshops and all that. And then we have self-scheduling where
talks and workshops which werent accepted by the content team get
self scheduled?!?

Will those self scheduled event end up in the same rooms as the others,
filing the time tables even more, putting more load on attendees and
video volunteers alike?

Whats the point of this, why doesnt the content team decide on those
talks / slots too?

I'd understand if those self-scheduled events were in a dedicated different
room (which might or might not be videoed) but I dont get why it's useful
to have content team scheduling and self scheduling for the same ressource 
(=room).

oh, eating meat and killing the planet with it is also really really offensive
in my book. and telling people what (not) to eat (is offensive) as well…

I hope you understand what I mean. I do get the intention of the above
sentence, but I do hope you also understand why I think it's too short / missing
the point. Maybe adding a single word could help sufficiently, maybe it will
need more words than just s#offensive behaviour#such offensive behaviour#g…

try viewing it with javascript disabled… no navigation, no images, no
sponsor logos… this is with torbrowser, enabling javascript for the site
didnt help and nor did enabling javascript globally :(

yay, thamks for the clarification! that makes it much more likely I can
free myself and attend!

(btw, (as discussed on irc) - it would be nice if the email login time
for this sandstorm thing could be changed to 60min or 2h instead of the
15min it currently uses. And then, I dont think polling for meeting
dates needs authentication at all. It's not that anyone has ever
disputed a doodle poll yet - they just work surprisingly well despite
being trivial to "hack" :-)

That said, I also agree with madducks point:

[Debconf-team] dc17: visiting the venues in Montreal

Hi,

so in the aftermath of LibrePlanet (in Boston) I'm now in Montreal and
it occured to me that I can and want to visit the potential venues.
Mostly because I'm curious :-)

I'm aware that the local team has had a vote about them already but
Tiago (and Tassia) also told me that they think it would be good if
someone from outside the local team would evaluate the options and
comment.

So, I'm looking for local persons to go there with me, probably best
during the day on any of the three next days (so Wednesday to Friday).
Any volunteers?

so far only 6 people have voted in this dudle poll - so if you haven't please 
vote now.

That said, I'm a bit unsure about the timing, as I think such a meeting needs 
at least 7 days warning in advance, which already invalidates some available 
dates from that poll and will invalidate more every day noone calls for a 
meeting.

So far, February 17th looks like a date I would pick.

quite to the contrary I think both the main orga team as well as the video 
team should have autonomy over (small) misc expense buffers. Else, some 
situations become impossible to handle, or can only be handled like we did it 
in the past: buy/pay this, if we dont get approval in retrospect, I will 
personally cover for these expenses. But we need these things and 
cannot/shouldnt wait.

Obviously those situations should ideally be avoided / minimized but... not 
everything in life is always ideal and so aint running a conference.

so ten days ago I've said these somewhat sad words on IRC, in private:

DebConf(s) for some time, maybe forever. Also, I have been pondering this more 
than once or twice in the last 2y, so this is not a rushed decision by me. 

(Still, seems I didnt want to finish+send this mail so I procastrinated all 
day and now I'm quite tired and this mail is too long and not as coherent as I 
would like it to be. Apologies for this.)

And I'm still not 100% sure if I'd really want to take a break now, or just a 
sabatical (til after dc14? til after dc15?) or if I really just want to quit 
and not be involved anymore. So let's say I quit now and maybe I will come 
back one day. I've been involved in organising since DebConf5 and these we 
were very very great times and I do look forward at having great DebConfs in 
future. Just, at least for now, rather as a regular attendee (and videoteam 
volunteer. At least for now, I don't plan on quitting debconf-video. It's 
simply too much fun! :)

Unsurprisingly I will also stay around, so feel free to ask me anything 
anytime, ignoring requests is usually rather easy ;) Also I won't guarantee I 
will be able to *not* do anything at+during DebConfs itself (as opposed to 
those other 50 weeks a year), but I will try ;-p

My main reason is stimply that I'm tired of the headless circus debconf-team 
has become and that I want to spent (way) less time (co-)organizing something 
which is largely self organized and chaotic, and where organizers spent 
countless hours chatting and planning things many of them have never done  
like this before, which then leads to repeative + long + contemporary 
discussions, of which *I* had too many by now...  I've discussed too many 
times too many good and not so good plans how to improve things and how to 
document what, and yet we have done too little, esp. with the flood of 
new+eager new people we thankfully have every year. 

IMHO there haven't been many/enough experienced people in the team who are 
_constantly_ supportive / reacting properly, thus those who are (or try) 
cannot keep up doing so, then get tired and then (again and again) fail to 
document things properly and thus also fail to get more/enough people with 
long term involvement. (Also documenting alone doesnt help, if the structures 
etc aint formally clear and/or are are sometimes informal...)

Despite all of this: each year *at* DebConf we do work very well together to 
make it happen. Again and again.

I'm sorry we as chairs (also) failed at fixing this mess and I'm still proud 
of the things we achieved when I was part of debconf-team, however that was 
defined. 

I'm not really sure what exactly has happened so that DebConf suddenly feels  
as a headless circus, even though it has worked on informal rules for many 
years very well - and I am definitly not interested in pointing fingers, I 
just would like to understand why, so that maybe we can improve for next 
years.

Some of what I think is important to be fixed/changed I've said at 
http://penta.debconf.org/dc13_schedule/events/1089.en.html - I'm really sorry 
that I've lost the energy - at least for now - to discuss and implement the 
changes I would like to see! (I'm really unhappy not being able to finish this 
properly, but it doesn't help - neither me nor DebConf - if cannot let it go 
and yet am unable to hold+handle it at the same time... So: /me waves.)

And then, I've also learned here that many organisational matters (about 
DebConf) don't matter as much as we organizer think they do: as long as 
awesome people come together, awesome things will happen. A nice environment 
will help, but if it's not given / needs improvements, awesome people will 
improve things. And in the end, things will just be

now that we have a zillion^w30 new git repositories, we still only have 3 
alioth repos (-private, -data and -video), so everybody who gets access to the 
debconf-private project on alioth has access to all past debconf private 
repos, correct?

My idea would be to create two more alioth projects: debconf-historic-data and 
debconf-previous-data (or similar names), the first should collect all 
previous DebConf repositories and should only be accessable by long term core 
debconf-team members (committee??), while the previous-data project should 
currently probable be open to dc13+14+15 team members.

How does that sound? Other, better ideas?

Hi,

from a budget point of view, the daytrip can easily be made in a way that it 
doesnt cost the organizers any (additional) money. We've paid bus fares 
ourselves (as attendees) in the past and can do that again and then we just go 
to some nice place in the countryside and have a picknick there, and voila, 
splendid daytip with awesome memories - without a budget, except for food, 
which we would have to pay anyway.

(I'm all for having the conf pay the full daytrip but if thats not possible, 
it's not possible.)

Others have already explained why+how the daytrip is tremendously useful, I 
wont go much into this here, I just want to state that from a videoteam point 
of view it's really nice to have a day off and be able to talk with and not to 
people :-)

 I just heard from one potential sponsor that they would have loved to
 sponsor DC14, but that they finalized their 2014 sponsorships in Nov
 of 2013.

Same as it ever was. This is really no news. And as always it depends on the 
upcoming local/sponsor team to work on this early enough. (=knowing this 
doesnt fix this. It needs dedicated people to address this.)

Also. usually at least the final report from the previous year is not ready, 
but neither this, nor the unavailability of a final sponsorship brochure of 
the upcoming is a showstopper. It just needs to be communicated properly to 
these sponsors, and we do have plenty of brochures and reports of previous 
years. So:

IOW: please go for it!

Sounds good to me too. 

On a related note: we should probably also provide an area in the audience 
which shall not be filmed, not all attendees are comfortable with that. The 
problem with this is that this can only happen on a best effort basis... 

(just not filming is much easier and ad-hoc camera operators might not be 
briefed...)

Axel Beckert is responsible for the network setup this year.

I'm not sure how we can use this network appliance for debconf needs: for the 
main gateway/dns/dhcp/proxy server, we probably want something more powerful 
and for other usecases we need a case which can fit some 3.5 harddisc. As I 
see it (and I might very well be wrong) this is not the case with the 
OpenBlock hw, so I dont really see how we could use it for DebConf.

That said, I'm sure there will be developers at Debconf13 who'd be excited to 
try out the hardware and bring it to use cases I cannot forsee now. 

Or maybe we could do a raffle (who fixes the most RC bugs or such) and hand it 
out as a price at Debians 20th birthday party?!

 Given the above, I think the only reasonable request to the DayTrip
 organisers now is to ask them to fit the budget into 50CHF/attendee for

yes, indeed.  Going 40% over the approved budget is not reasonable.

 We would need an approval on Tuesday from the team. Then, we will
 ask the participants to register for the Day Trip and select their
 activities. And then we can finaly book all the transports and the
 activities.

yup, we shall finalize this in tomorrows meeting.

 As you can see the budget for that day is close to CHF 28'000 which is CHF
 111 per person (252 attendees).

wow :-/  Thats a lot of money for a day out in the green. Did we calculate 
that much for in the budget?

thats the same as it was in the middle of the Argentian pampa in 2008 or

we also did tickets before, but it felt really pointless to me. it gives a 
warm cozy feeling and requires some work, but it then still needs common sense 
when applied to the real world.

[Debconf-team] DebianDay, Debians 20th birthday, party! (Re: potential wider audience on weekends, Debian Day)

Hi,

I've just noted the topic DebianDay - cancel? for todays meeting, and while 
anybody could have written this (so maybe thats just a suggestion from a 
slighty negative minded person ;) it prompted me to finally write this mail.

On Friday, August 16th 2013 Debian will turn 20 years and many Debian 
contributors will gather together anyway for this dc13 thing, so I think we 
should definitly met and celebrate this!

And as we have video set up anyway, we should also stream this out in the 
world and ask other Debian parties elsewhere to do the same, thus creating a 
global Debian Day event, with local talks and local parties. (I dont suggest 
streaming beer drinking, but rather talks during the day...)

And, I believe we should ask for help to organize the party. The DebConf team 
during (and before!) DebConf is usually too busy to also organize meanigful 
parties, so I'd suggest to ask for help on debconf-discuss@ and debian-
project@.

I'm aware of the schedules for both the 16th and the 17th (thanks to 
http://people.debian.org/~tiago/dc13/) and think either day would be fine to 
be called DebianDay with some tweaking.

This mail has been written in way too much hurry, as to send it at least a few 
minutes before the meeting. Currently I believe it's best to label the 17th as 
DebianDay, shuffle _a few_ events around and invite the general Debian 
interested public. And have the former formal dinner on the 16th, turning into 
a party.

What do you think?

We still have 30 days to organize celebrating our projects 20th birthday, so 
let's do it!

yup, sounds all good and doable to me. (Like always, on a best effort basis.)

 is the better time for them to attend if just coming for one day.

DebConf (and DebCamp) is for anybody interested in contributing to Debian and 
free software, so I don't understand your question.

Answered differently, yes, we expect non DebConf attendees to attend events on 
the 16th (it's our birthday!) and there are also plans to send out 
invitations, eg on planet or d-d-a and hopefully hangouts as well.

And then I said at the meeting that I'd expect between 20 and 42 extra 
attendees... :-)

what's the status on this? do you plan to publish the list of people receiving 
any sponsorship (be it travel, food and/or accomodation) or just travel 
sponsorship? if so, has this been announced to the people requesting 
sponsorship?
