Re: [OSGeo-Discuss] Local chapter event planning (Ireland)

2017-02-27 Thread Seth G

Thanks Jeff.

The event planning is starting to take shape, with announcement on the
mailing list and wiki page:
https://wiki.osgeo.org/wiki/Ireland/Symposium2017

A further question for any others who have organised local events - is
there an OSGeo recommended software for registering users / taking
payments? There is a well known commercial one (EB), but I thought there
could be one more in keeping with the FOSS model.

Regards,

Seth

Hi Seth,

Great news on a local event by the Irish chapter in May! I haven't
seen any discussions on this within the Ireland chapter mailing list
yet (for those interested, subscribe at

good idea to share that news and call for help there.

Regarding financing, please keep in mind that the OSGeo foundation can
also help if you need backing (you can request help through the OSGeo
Board mailing list).

Regarding editing the wiki, I'll contact you now through IRC.

Thanks for sharing the news about your local event in May, I will
follow along its progress on the Irish mailing list! :)

Hi all,

We are planning our first event for the Irish chapter of OSGeo -
https://wiki.osgeo.org/wiki/Ireland for May this year.

We hope to get around 30 attendees, and will be running some workshops
and discussions. I have found the following links on the OSGeo wiki:

  * https://wiki.osgeo.org/wiki/Event_Management

  * http://wiki.osgeo.org/wiki/Marketing_Material_Samples

A question which is not answered in the above is what other local
chapters do with regards to financing these events. We need to book a
hotel conference suite - do most chapter's create bank accounts? Or do
the organisers pay costs directly?

Also what happens if there is a shortfall in funds (I'm guessing the
event is cancelled or the organisers make up the difference), or
alternatively a surplus?

Finally I have been trying to register to edit the wiki to create an
initial event page at http://wiki.osgeo.org/wiki/ - however it has been
a couple of weeks and I have received no reply/confirmation. Is there
anyway to see what has happened to this application?

Regards,

Seth

Thanks María.

I like the idea to get sponsors to pay for things directly. We will be
funding a guest speaker's flight/hotel, and attendees tea/coffee/lunch.
We will have a small charge, but most attendees with be attending as
part of their organisations (so will be refunded).

On the events I have collaborated in Spain, we usually ask for some
sponsorship or donations. To make sure we all know this is not for
making money, sometimes we make the companies pay directly for some
things instead of having us in the middle. That way we don't have
shortfall or surpluses or even have to worry about bank accounts.

Also, we go for cheap. At least in Spain there are a lot of social
places (public or from other organizations) you can book for free or
for a small fee if you do a public and free event. So we only have to
take care of food and drinks, if any.
