We're on v.3.1, just switched to XMLUI, and are also wondering about the first 
two questions:



1) We definitely were able to add files when editing metadata under v.3.1 
JSPUI, and for our workflows it's really useful to be able to do this.

2) Likewise would love to be able to display the number of items in a 
collection again.



Does anyone know about either of these?



For the third question, I went with what I knew and created a javascript 
bookmarklet that hides Archived submissions, makes all the remaining tables 
sortable, and automatically sorts by oldest tasks first: 
https://github.com/LincolnUniLTL/dspace/tree/master/workflowhelper   It's a bit 
of a hack but might be useful as a workaround.

be able to add a file at this point. It looks like it was possible in the v1.8 
JSPUI, so just wanted to check that this is by design and not a bug.
  2.  The old JSPUI displayed (or could be configured to display) the number of 
items in a collection in brackets on collections lists. Is this configurable 
for them in 4.2? I could not find a way to do this, and haven't seen any other 
sites which have.
  3.  They have requested Workflow Tasks come above Archived Submission on the 
Submission page layout. It appears to me that this cannot be done in any XSLT 
files, so wondered if such a change would need to be performed in 
Submissions.java in the XMLUI. I have only changed the XSLs in mirage for

[Dspace-tech] Add first file on Edit Data in Submission

Hi folks


This is similar to a call from the other week.


I have a user who has noticed they COULD add a file at the Edit Data stage when 
taking the task, if there wasn't one there already, on the old jspui (I think 
they were version 1.8). They have noticed through testing that this 
functionality seems to have gone in version 4, and would like to be able to do 
this now. Does anyone know if this functionality has consciously disappeared, 
or is it a bug?

[Dspace-tech] OAI Harvesting Problem in 3.1

Hi folks

I'm quite familiar with the set-up for OAI crosswalks in 1.x, but have hit upon 
some problems with 3.1. If you look at this repo you'll see no matches for 
query for oai_dc, marc or uketd_dc, but everything else works.

I've done nothing to configure oai_dc, presuming that it would all be there by 
default.

However, as with the changes, there is no longer an oaicat.properties file, 
where I would expect to see this:

# List the supported metadataPrefixes along with the class that performs the 
associated crosswalk
Crosswalks.oai_dc=org.dspace.app.oai.OAIDCCrosswalk

...and I see the DC stuff is now in SimpleDCDisseminationCrosswalk.java.
  org.dspace.content.crosswalk.SimpleDCDisseminationCrosswalk = DC, \
  org.dspace.content.crosswalk.SimpleDCDisseminationCrosswalk = dc, \

I assume that it uses the config/crosswalks/metadataformats/oai_dc.xsl coming 
from xoai.xml, which mentions oaidc, not oai_dc at the top, but I don't see how 
xoai.xml gets called.

Overall, I suppose what I am not understanding is how it knows  what to do when 
called with oai_dc, which

[Dspace-tech] Multiple derivatives in media-filter

Hi folks

We have an image repository which has got a mixture of large tiffs and small 
jpegs as file types. Some time ago, we applied the relevant updates to allow us 
to create preview thumbnails regardless of type.

There is also an issue around security in this repository, wherein the tiffs 
are not supposed to be accessible without a login. This has resulted in a 
complicated workflow with some human intervention.

We have agreed a better solution, unsurprisingly, would be to keep the preview 
thumbnail, and also have a larger derivative of the same image for viewing at a 
larger size, but not letting them get to the original. I would like to do this 
through media-filter, but I appreciate that


 1.  if a thumbnail has already been created the bitstream will be skipped
 2.  if we put the force parameter onto it, the new derivative will be created, 
but the old one will be overwritten

Is there any way to allow us to get the new one and keep the old? The 
alternative is digging into the assetstore while maintaining a reference to the 
handle, generating in an external application, and then updating the metadata, 
which is a bit complicated!

Yeah, that's the code I'm using. I'm not too surprised if the JPEG work is only 
for images- I would say the PDF thumbnails work is quite an obscure 
requirement. Anyway, if this is not changing, I would be happy to tell the 
users that this is the best they can get for the moment; they may decide not to 
implement, but that's up to them!

Not an immediate answer to the question, but I think the recent work on the 
JPEG filters only applies to images.

The XPDF code that generates thumbnails for PDFS can be found here:

Sorry about the inaccurate first answer.

I see that both the fixed JPEGFilter/BrandedPreviewJPEGFilter and your
XPDF2Thumbnail use the awt libraries to manipulate bitmaps. Therefore
it might be possible to apply the same fixes to XPDF2Thumbnail as were
applied to the JPEG filters. Try asking Jason Sherman
jsher...@usao.edu about it, he's the author of the fixes and might
be willing to do it for PDF, too.

Sorry about the inaccurate first answer.

I see that both the fixed JPEGFilter/BrandedPreviewJPEGFilter and your
XPDF2Thumbnail use the awt libraries to manipulate bitmaps. Therefore
it might be possible to apply the same fixes to XPDF2Thumbnail as were
applied to the JPEG filters. Try asking Jason Sherman
jsher...@usao.edu about it, he's the author of the fixes and might
be willing to do it for PDF, too.

[Dspace-tech] Reordering Metadata

Hi folks

I have had a request from a user to reorder the metadata in full item view 
(i.e. they want dc.date.accessioned and dc.date.available at the bottom of the 
record). I'm not aware of how to do this, but thought I would check to see if 
anyone had tried and succeeded!

I'm trying to generate PDF thumbnails for a repository, and I have followed the 
instructions at

I've built on a Mac, incorporating the java advanced imaging jars, and 
uploaded, including the XPDF tools to a Linux box. The error I get from

Hi Scott,

I had the same problem some days ago. It happened because I forgot the
-Pxpdf-mediafilter-support when running Maven. As a consequence the
ImageIO JARs weren't included and the read() call returned null. Check
for the following JARs in [dspace]/lib/ in case they are missing for
some reason:

jai_core-1.1.2_01.jar
jai_imageio-1.0_01.jar

[Dspace-tech] No Emails?

Hi folks

I've had a question from a user who has forgotten their password, but is not 
receiving an e-mail to allow them to reset it. I've since tried myself, and it 
would appear that the whole repository is failing to send.

I notice in dspace.cfg the following is commented out
# Recipient for new user registration emails
# registration.notify = email-address-here

But this has always been like this, and we've been able to use this 
functionality easily in the past. I don't believe I've changed anything else- 
does anyone have any ideas?

Did you try to harvest yourself your own repository ?

I haven't done anything other than the default here- the harvester will only 
serve 100 records at a time, and I notice from looking at the first, the 
resumption token appears to be generated. I admit I've not done anything with 
them before though- all previous harvests from our repositories have been small 
(say 300 records), and haven't caused any problems, but I shouldn't assume that 
would mean everything would be fine!

If anyone has any ideas what I can do to fix this, I'd be very grateful.

[Dspace-tech] User Privileges

Hi folks

I have a user who I've set up as admin for her collection (no 4). I've checked 
the policies against the collection, and it says that the COLLECTION_4_ADMIN 
has ADMIN privileges, so I'd expect her to be able to edit metadata and delete 
records (once they have been accepted into the collection), but she can't. I'm 
in as Administrator and can do everything, but I can't give her full privileges 
to the whole repository; neither do I want to have to do all her work for her! 
I've also given her group explicit WRITE and REMOVE privileges, but this made 
no difference. 

User info and Policies are at the end of the mail. If anyone has any advice, 
it'd be gratefully received!

[Dspace-tech] TIFF Thumbnail Preview

Hi folks,

I'm running 1.5.2 and have had a request from a user for TIFFs to have 
thumbnails generated to appear in their lists as previews. I followed the 
instructions in this thread (

getting the dspace.cfg file updated, MIME types updated, and the Java tools 
installed to the server, but I'm not seeing the output of filter-media attempt 
to convert these items. Is there anything else I should be doing?

[Dspace-tech] Upload File Description: Searchable

I've had a user request regarding the file description entered in the file 
upload step: is it in any way searchable?

I assumed not, as this is written to a field on the bitstream table, rather 
than metadatavalue, but thought I'd double check.

[Dspace-tech] A Handle Body Per Community?

Hi folks

I have several communities running on one dspace instance, and OAI harvesting 
set up. One harvester is interested in one community, the other is interested 
in the other- they do not want each other's data (which probably goes slightly 
against the nature of harvesting, but there you go)! However, because there are 
common dublin core elements in each schema, they will pick up bits of each 
other's data.

I'm about to set up the handle server for this instance, but realise that I 
would need multiple handle bodies to filter out (in the crosswalks) the 
unwanted communities from each harvester. Can this be done? We are under the 
impression that the handle is instance-wide. If I can't have multiple handle 
bodies, is there another way to do this that people have tried before?

I am working on a collection which is quite abstract- it's basically a 
'collection of collections'. In some cases, the record is all metadata and 
doesn't specifically have a file to upload with it. Is it possible to bypass 
this step, and if so, how?

[Dspace-tech] Migrating From 'Test' To 'Live'

Hi folks

I have a dspace instance which has been set up as 'test', and I'm putting 
together a 'live' environment. There's quite a lot of data in test, but none of 
it has gone through the workflow to proper submission. Questions:

1) What would be the process for migrating the test assetstore into the live 
environment?
2) Would the non-processed material get migrated, or would it be wise to put it 
through submission first?
3) I notice that the URI for the uploaded item (.pdf or .doc generally) will 
contain the URL of the system. Is there a way to retrospectively change it from 
the test URL to the live, or should I tell the cataloguers they will need to 
re-load their items when we move systems?
4) I have been working off the standard handles (eg 123456789/n), and will 
apply for a proper one now. What's the process for retrospectively applying 
handles once the new one is obtained?

[Dspace-tech] Non-DC Schema OAI Exposure

Hi folks,

I'm just doing a POC, but am having difficulty getting ListMetadataFormats to 
show up a non-dc schema which I am trying to expose to harvesting. I was 
wondering if anyone could tell me where I am going wrong!

As per the instructions (thanks Claudia!) I changed the dspace.cfg to add the 
format:

...having uploaded the relevant dissemination xsl and xsd to the server. Should 
this be enough for it to show?

What I haven't done is build the underlying schema or configure the xsl 
perfectly to it- I thought I would see if I could expose it first through the 
.cfg. If this is an essential step, I can do this, although I don't see how 
these tie up- can anyone tell me where the extra schemas built through the 
metadata registry are stored?

I'm having a shot at loading the generic metadata file (as opposed to 
dublin_core.xml) through import. First question- can this be done on 1.5.2, or 
must I upgrade before it becomes an option?

[Dspace-tech] Harvesting Non-DC Items In DSpace

In my DSpace instance, I have the standard dc schema, and an 'overflow' schema 
called 'cld'.

If I test getRecord harvesting using 'metadataPrefix=mets' the dc fields and 
the bitstream come back, but the cld fields do not. If I do the same test using 
'metadataPrefix=cld', here's the error:

[Dspace-tech] Complicated Nested XML Schema

I'm working on a project which intends to harvest metadata using a non-dublin 
core schema (entitled LIDO. This schema is quite involved- the XML is nested 
into chunks of fields; here's a typical wrap of which there are many within 
the overall schema.

I could easily create a schema called LIDO in Dspace which just lists the 
individual fields, but the harvester will want to pick up these wraps and 
sets (typical getRecord request as agreed by the harvester:

 1 identifier). 

Is there any way to create a complex schema in dspace other than the metadata 
registry on the front end, or is there a facility to generated nested schemas 
within the metadata registry which I don't know about?

[Dspace-tech] OAI Harvesting- Problem With ID/NCName

Hi folks

I've got a test repository that I'm checking for harvestability using the OAI 
Repository Explorer at http://re.cs.uct.ac.za/. I get an error for this (and 
any other repository I have access to)- see end of e-mail. It concerns the 
handle value assigned to amdSec and dmdSec ID and NCName.

I'm assuming this problem stops harvesting from taking place (especially as 
it's on GetRecord!). Everything else seems ok.

As the URI is created on-the-fly, I'm unaware of what I can do to prevent this 
error; however the handle it's using is obviously one set up by default on 
dspace, and I have not gone to handle.net to set a 'real one'. Might that solve 
the problem? Or could it be because I am using /oai (which does exist as a 
webapp)/request and my syntax is not quite right?

If anyone's seen it before and has any suggestions, I'd be very grateful.

[Dspace-tech] Bulk Importer, OAI and dc

This is complicated (but thanks, Ricardo B- my thumbnails now work!), so I will 
try and be concise.

I'm using Dspace for a harvestable collection of musical instruments. The 
information is already catalogued, and I have successfully used the bulk 
importer to get the info into Dspace, in dc format.

The problem I have is that the project's main client will not harvest using dc, 
but a schema called 'lido'. Their requests will have this as the prefix, so I 
need to store data in this schema. They do concede though, that they must also 
make data available in dc for other clients.

Questions are:
1) Can I use bulk importer for a schema other than dc, and if so how? If I can 
do this, I will just import data to a dc field AND a corresponding lido field. 
It's not very clean, but it gives them what they need.
2) The cleaner solution would be to do some kind of mapping in the oai webapp 
to copy the dc fields to corresponding lido fields. Is that possible?!

Just wondering if this is an unusual situation; if anyone has come across it 
before, and can suggest a solution, that would be brilliant.

[Dspace-tech] Thumbnail Display

I'm using Dspace to set up an imaging repository, and one of the requirements 
is that items can be browsed with the thumbnail showing.

I think I've carried out the steps, so if anyone can tell me what I'm doing 
wrong, that would be great.

1. Changed dspace.cfg to the relevant settings to show thumbnails

(webui.browse.thumbnail.show = true

2.Ran filter-media (locally, from a cmd window, before I attempt this on the

Is there anything else I need to do? I have a few .jpg items in there, and 
nothing changed when I re-entered Dspace!

I've checked that the relevant directory (dspace/upload) is writable by tomcat
