Keep in mind that in Excel, Date/Time is a NUMBER which is DISPLAYED to look like a date and time. DATE is the number of days since 1/1/1900. TIME is a fractional part of a day. So, today (August 13, 2014) is 41,864 days since 1/1/1900 7:48 AM is .32500 of a day. So, today at 7:48 am is 41864.325 in Excel. This VALUE can be shown in any date/time format you wish. Now, if you want to know how much time passed since yesterday at 9:00 PM, you simply have to realize that August 12, 2014 at 9:00pm is 41863.875 so (13-Aug-2014 7:48 am) - (12-Aug-2014 9:00 pm) = 41864.325 - 41863.875 = .45 days Since there are 24 hours in a day, then .45 * 24 = 10.8 hours So, the date arithmetic is easy. Now comes the difficult part. You have to figure out how you want to convert your values to this format. If the start/end times are on different days, then you'll have to add the DATE to the TIME. (Date, DateValue and Time,TimeValue are functions that may help) Also, you will have to apply some rules. Like: Your "day" shift begins at 8:00am. If someone "clocks in" less than, say 30 minutes before 8:00am, you do not count the "casual" time and round it to 8:00am. The same if they "clock out" less than 30 minutes after 4:30pm. also, if the person "clocks in" after 8:00am, you have to decide if you need to consider time after 4:30 as "making up" the late time. those things like that are dependent upon you and your situation. so, the first step would be to convert your times to Excel time and proceed from there.
