Hi Marc,

Indeed, best practice is to save as MIF and use that to work with Trados.
The Trados S-Tagger filters the MIF to either tagged RTF or STF - where STF
is the most reliable. This file wil be used by the translators and after
translation filtered back to MIF. STF is translated using the Trados Tag
Editor.
The loss of accented characters is a known issue and indicates that your
client (or his translation agency) is not using the correct version of
Trados in combination with the right filters (i.e. compatible with FM 8.0);
The translated files (in RTF) are probably ok, but the filtering back to FM
causes the error. Using RTF for translation indicates thet probably an older
version of Trados is used. They should consult the Trados helpdesk (actually
SDL) to solve the problem.

Easiest way to create a new book from a template (unstructured FM8)

My FM template contains all formats in the book. When I create a new
book I take a chapter file at set it all up from there:
 
Add front page, toc, chapters, glossary index and rear page. All set up
by using specific headings to call the correct master pages. I set up
the page and chapter numbering from the book and set up the Table of
Contents from the Set up Table of Contents menu.
 
Now a Documentation group is going to use my template. They are all new
to Framemaker. Can I set up a dummy book that they just copy to their
working directory? I see that I can rename files from within the book
and get links working but I cannot rename the book file itself.
 
Is there an easy way to get the book file renamed and get the generated
files like TOC, Index and Glossary working without having to set them up
from scratch again?

Do you have any other good ideas on how to optimize a template for group

How can I avoid having to rescale linked screen shots

All my screen shots in Framemaker are linked .png. When I write a new
version of the manual I simply replace all the changed screen shots with
with new ones with the same name and voila all screen shots in the
manual are updated.
 
Alas, when I open Framemaker they often lloks distorted and I have to
reimport or at least rescale them again. Is there a way to avoid this?

I know that I from the menu Graphics, Object properties can set the
scaling to 100% and restart scaling but I hope that there is an easier
way to handle linked graphics.

You should be able to do a File  Save Book As, renaming the book file. This 
should rename your generated files to match the book filename.

Although designed for Frame 5.5, they can be used just as well with more 
up-to-date versions of FrameMaker.

Don't rescale the images in FM. Create the screen shot and rescale it
to the proper size when you capture it, then import it into FM.

In other words, if your images in FM are always 5.25 wide, create the
screen capture with this dimension already

Then, when you import the next version of the image at the same
dimension, it should be a 1:1 replacement.

Why not open the book, select File-Save Book As, and give it a new name?

When you do, the TOC and all other generated files (TOC, IX, etc) will
rename automatically.

I find that I get better results by specifying a larger dpi value rather 
than decreasing the percentage.  For some reason, whenever the

this will solve your problem, but you could give it a try.

When you replace a screen shot with a new one of the same name, are you
making sure that the dimensions of the new one are the same as the
original (e.g., the window you're capturing is 600 x 400 in both cases)?
I believe FM will bring in the replacement at the same dpi setting you
specified when you imported the original, but only if the anchored frame
is big enough to hold it. If your replacement screen shot is wider than
the original and doesn't fit the frame, I think FM scales it to fit.

John is correct: don't rescale images after import. His suggestion of
sizing them before import is one solution. 

Stuart's advice is also important. After import into FM, never change
the size of a graphic by changing its scaling percentage. And never,
ever change its size with the mouse. Always specify a dpi setting. 

FM lets you select one of several standard dpi settings or enter a
custom dpi. It shows you the resulting image dimensions for each
standard dpi, so a little calculating in your head will permit you to
pick a custom dpi setting to achieve the on-page size you desire. (For
printing purposes, it's best to choose settings that are evenly
divisible into your intended printer resolution -- for a 600 dpi
printer, 300, 200, and 150 dpi are better choices than 250, 137, etc.)

So, (1) specify the dpi setting that sizes your screen shots properly
when you import them, (2) don't resize them after import, and (3) make
sure your new screen shots have the (or nearly the same) pixel
dimensions as the ones they're replacing.

Robert, If you set the anchored frame containing the graphic to run 
into Paragraph and alignment left, then the frame will align with the

Distinguishing between Paragraphs and Insets in a Framemaker Doc

Complete FrameScript newbie here!

I wonder if there is a way of using FrameScript to go through a document
taking one course of action if the next object in the document is a
paragraph (Here I wish to add a text inset - and that is all working
fine)) and another course of action if the next object is a text inset
(when I find a particular text inset I want to edit the last previous
paragraph which is Heading1 format. Pseudo-code for the main path
of the script would be something like:-

 

Local lvObject(pvDocVar.FirstObjectInDoc);

 

Loop While(lvObject)

 

If (Object = Paragraph) then

... do something here ...

Else if (Object = TextInset) then

... do something else here ...

Endif

 

Set lvObject = lvTextInset.NextObjectInDoc;

EndLoop;

Unless you are producing something very simple like a four page booklet,
i.e., a single sheet of paper folded in half, your best bet is to create
your document in FrameMaker in terms of logical pages, 1 through n. Then,
create PDF of the FrameMaker document, again in logical page order.

Once you are in Acrobat, there are a two approaches you can take:

(1) Acrobat 9 provides a simple booklet printing capability that you
can invoke from the print menu. This should work fine as long as you
don't need to do particularly sophisticated things such as supporting
multiple signatures.

(2) There are several commercially available imposition plug-ins
available for Acrobat that provide the ability to take a PDF file in
logical page order and generate a new PDF file setup for direct printing
of booklets, books, etc. One such set of plug-in packages, available for
both Windows and Macintosh, is Quite Imposing and Quite Imposing Plus
by Quite Software. I have personally used these packages and most strongly
recommend them (Quite Imposing Plus has a number of advanced imposition
controls beyond those of Quite Imposing). See http://www.quite.com.

Also, be aware that most reliable printing companies will perform page
imposition as part of their standard service when printing, either offset
of digital. In many cases, the printer has to imposition anyway to take
proper and best advantage of their print process.

The technical term for this is imposition; the best way to do this is to 
create a PDF from your FrameMaker file and use imposition sofware with the 
PDF file. General, your printer will do this at the pre-press stage.

And just as a postscript to Dov's and Rick's posts:

Unless you're doing something that you alone have total control over,
don't bother.

* If you think a customer will print the booklet, remember that
customer's printers are more likely than not to use one of the
thousands of possible paper handling mechanisms in use that will mess
up an imposition scheme that you think up.

* No commercial printer will thank you for trying to force an
imposition scheme on them. They all have their own equipment and a
workflow that they've developed to give them the best results in the
shortest time. Having to correct an imposition dreamed up by a
customer doesn't make life easier and is likely to increase the cost
of your job.

In my experience (limited, I admit), resizing a bitmap can have a
negative effect on quality ranging from slight to very great indeed. I
suspect the former comes from an even numeric rescaling (e.g., 80% or
120%), while the latter is the consequence of repeated arbitrary
resizings with the mouse. 

I don't know if resizing/rescaling causes pixels to be added/discarded,
but it sure seems that way. When you specify a dpi setting, the pixels
in the bitmap remain unchanged, only their spacing changes.

Table won't roll to next page

Hi All!

FM 8.0, Windows 3.1.

Just kidding -- Windows XP.

I'm having a problem with the table on the last page of my file.  I
add 10 more rows, and the rows disapper on the page -- they don't
force a new page.  I've seen this before and I seem to remember it's a
simple fix, but for the life of me I can't remember what to do!

I've gone into pagination and changed the setting from Make Page
Count Even to Make Page Count Odd, but that hasn't done anything.

Any thoughts?

It could be either a bad page pagination setting that breaks the
autoconnection of the flow or the table containing too few good break
points. It's more likely to be the table. Try a couple of these:

* Select some of the problem rows, right-click and check the row
format properties to see if you have keep with set. Also make sure
that Start Anywhere is selected. You can also select a single row and
force a Top Of Page start point, but that may become a problem later
if you add or delete text.
* If the rows contain a lot of text, break the cells up to create more
break points by adding rows and cutting-and-pasting text so that the
text is in smaller chunks. Turn off the ruling so the multiple cells
appear to be a continuous block.
* Do the same thing as the previous step, but add a blank row where
you think a break should occur.

Thanks everyone for your help.  I copied the table to a new blank
document and the table rolled over just fine, so it appears that my
problem is with the master pages.

My document starts on page 10004. I have three pages of figures, then
three pages of table, then three pages of figures and two more pages
of table.  It's the last page of the last table that is causing me
grief.

The table in the middle of the document is working just fine. The
table at the end of the document won't roll to a new page, so 10 or so
rows are disappearing.

I've doubled checked the master page usage.  For the first table, the
page are Custom Right, Custom Left, Custom Right.  For the second
table, the pages are Custom Right, Custom Left.  So as far as the
table will go, it is using the same master pages as the previous
table.

When I try to change the pagination from Make Page Count Even to Make
Page Count Odd, I get this message:

The new column layout in DOCNAME.fm seems to overlap other objects on
some body pages.

Are you sure you want to do this?

Number of pages affected: 5.  First page: 10008.

Page 10008 is the first page of the first table.

Any idea what that might mean?

I'd make a guess that you have another text frame on that page,
probably one that's not auto-connected to anything.

Try poking around with the pointer tool, or maybe do a Select All on
the page. Either one would let you select or unselect objects, or move
them around so you can see if anything is there but hidden.

It galls me to admit this, but I really appreciate the ability to see 
all the hidden markers in a Word file. It enables me to see all the 
Index markers, for example, and quickly correct inconsistencies.

Is there any clever way of doing this in Frame? Or in a MIF file?

For example, I think a chapter of my book is skimpy on markers. I can 
generate a List of Markers and look at the page numbers; then I can go 
to the document and look at the pages that don't have any markers to see 
if they should.

How delightful it would be to simply page through the document, noting 
the absence of markers once all markers (or, better yet, just Index 
markers) had been displayed?

Has anyone made my daydream a reality?

Take a look at our cost analysis -- it's a little dusty but the basic 
numbers still work reasonably well.

The tool can pay for itself rather quickly - a matter of a few days 
(or less) in many situations. This can be particularly useful if 
you're billing on a project basis rather than hourly basis.

Best of luck with your freelancing. In another life I found that 
things got busier in down times -- not so many companies wanted to 
commit to staff, but still needed work done and liked the on/off 
ability they got with freelancers.

My preferred indexing tool is IXGen, which -- as Frank Stearns noted --
has lots of other useful functions for indexing and for working with
other kinds of markers as well. 

But for a much cheaper approach that may suit your needs, check out
Index Tools Pro from SiliconPrairieSoftware.com.

I second Art's diagnosis.  Ctrl-click near the border of the text frame 
on the troublesome page, and then use Alt with an arrow key to move it a 
small distance.  If you see another text frame at the original position, 
then the one you moved was likely created accidentally at some point and 
is not part of your flow.  Cut your table out of it and paste into the 
real text frame, then delete the errant frame.

I fixed it!

I autoconnected the first page to the second page and the table on the
last page miraculously rolled over to a new page.

I don't know why that worked, but I'm glad it did!

Indeed, best practice is to save as MIF and use that to work with Trados.
The Trados S-Tagger filters the MIF to either tagged RTF or STF - where STF
is the most reliable. This file wil be used by the translators and after
translation filtered back to MIF. STF is translated using the Trados Tag
Editor.
The loss of accented characters is a known issue and indicates that your
client (or his translation agency) is not using the correct version of
Trados in combination with the right filters (i.e. compatible with FM 8.0);
The translated files (in RTF) are probably ok, but the filtering back to FM
causes the error. Using RTF for translation indicates thet probably an older
version of Trados is used. They should consult the Trados helpdesk (actually
SDL) to solve the problem.

My FM template contains all formats in the book. When I create a new
book I take a chapter file at set it all up from there:

Add front page, toc, chapters, glossary index and rear page. All set up
by using specific headings to call the correct master pages. I set up
the page and chapter numbering from the book and set up the Table of
Contents from the "Set up Table of Contents menu".

Now a Documentation group is going to use my template. They are all new
to Framemaker. Can I set up a "dummy book" that they just copy to their
working directory? I see that I can rename files from within the book
and get links working but I cannot rename the book file itself.

Is there an easy way to get the book file renamed and get the generated
files like TOC, Index and Glossary working without having to set them up
from scratch again?

Do you have any other good ideas on how to optimize a template for group
usage.

How can I avoid having to rescale linked screen shots

All my screen shots in Framemaker are linked .png. When I write a new
version of the manual I simply replace all the changed screen shots with
with new ones with the same name and voila all screen shots in the
manual are updated.

Alas, when I open Framemaker they often lloks distorted and I have to
reimport or at least rescale them again. Is there a way to avoid this?

I know that I from the menu Graphics, Object properties can set the
scaling to 100% and restart scaling but I hope that there is an easier
way to handle linked graphics.

Verner,
You should be able to do a File > Save Book As, renaming the book file. This 
should rename your generated files to match the book filename.

Try the Frame Template Packs.

Although designed for Frame 5.5, they can be used just as well with more 
up-to-date versions of FrameMaker.

Don't rescale the images in FM. Create the screen shot and rescale it
to the proper size when you capture it, then import it into FM.

In other words, if your images in FM are always 5.25" wide, create the
screen capture with this dimension already

Then, when you import the next version of the image at the same
dimension, it should be a 1:1 replacement.

Why not open the book, select File->Save Book As, and give it a new name?

When you do, the TOC and all other generated files (TOC, IX, etc) will
rename automatically.

I find that I get better results by specifying a larger dpi value rather 
than decreasing the percentage.  For some reason, whenever the 
percentage is changed, FM reports the dpi as "unknown."  Don't know if 
this will solve your problem, but you could give it a try.

When you replace a screen shot with a new one of the same name, are you
making sure that the dimensions of the new one are the same as the
original (e.g., the window you're capturing is 600 x 400 in both cases)?
I believe FM will bring in the replacement at the same dpi setting you
specified when you imported the original, but only if the anchored frame
is big enough to hold it. If your replacement screen shot is wider than
the original and doesn't fit the frame, I think FM scales it to fit.

John is correct: don't rescale images after import. His suggestion of
sizing them before import is one solution. 

Stuart's advice is also important. After import into FM, never change
the size of a graphic by changing its scaling percentage. And never,
ever change its size with the mouse. Always specify a dpi setting. 

FM lets you select one of several standard dpi settings or enter a
custom dpi. It shows you the resulting image dimensions for each
standard dpi, so a little calculating in your head will permit you to
pick a custom dpi setting to achieve the on-page size you desire. (For
printing purposes, it's best to choose settings that are evenly
divisible into your intended printer resolution -- for a 600 dpi
printer, 300, 200, and 150 dpi are better choices than 250, 137, etc.)

So, (1) specify the dpi setting that sizes your screen shots properly
when you import them, (2) don't resize them after import, and (3) make
sure your new screen shots have the (or nearly the same) pixel
dimensions as the ones they're replacing.

I wonder if there is a way of using FrameScript to go through a document
taking one course of action if the next "object" in the document is a
paragraph (Here I wish to add a text inset - and that is all working
fine)) and another course of action if the next "object" is a text inset
(when I find a particular text inset I want to edit the last previous
paragraph which is "Heading1" format. "Pseudo-code" for the main "path"
of the script would be something like:-



Local lvObject(pvDocVar.FirstObjectInDoc);



Loop While(lvObject)



If (Object = Paragraph) then

... do something here ...

Else if (Object = TextInset) then

... do something else here ...

Endif



Set lvObject = lvTextInset.NextObjectInDoc;

Creating Booklets in Framemaker

Unless you are producing something very simple like a four page booklet,
i.e., a single sheet of paper folded in half, your best bet is to create
your document in FrameMaker in terms of logical pages, 1 through n. Then,
create PDF of the FrameMaker document, again in logical page order.

Once you are in Acrobat, there are a two approaches you can take:

(1) Acrobat 9 provides a simple booklet printing capability that you
can invoke from the print menu. This should work fine as long as you
don't need to do particularly sophisticated things such as supporting
multiple signatures.

(2) There are several commercially available "imposition" plug-ins
available for Acrobat that provide the ability to take a PDF file in
logical page order and generate a new PDF file setup for direct printing
of booklets, books, etc. One such set of plug-in packages, available for
both Windows and Macintosh, is "Quite Imposing" and "Quite Imposing Plus"
by Quite Software. I have personally used these packages and most strongly
recommend them (Quite Imposing Plus has a number of advanced imposition
controls beyond those of Quite Imposing). See .

Also, be aware that most reliable printing companies will perform page
imposition as part of their standard service when printing, either offset
of digital. In many cases, the printer has to imposition anyway to take
proper and best advantage of their print process.

And just as a postscript to Dov's and Rick's posts:

Unless you're doing something that you alone have total control over,
don't bother.

* If you think a customer will print the booklet, remember that
customer's printers are more likely than not to use one of the
thousands of possible paper handling mechanisms in use that will mess
up an imposition scheme that you think up.

* No commercial printer will thank you for trying to force an
imposition scheme on them. They all have their own equipment and a
workflow that they've developed to give them the best results in the
shortest time. Having to correct an imposition dreamed up by a
customer doesn't make life easier and is likely to increase the cost
of your job.

In my experience (limited, I admit), resizing a bitmap can have a
negative effect on quality ranging from slight to very great indeed. I
suspect the former comes from an even numeric rescaling (e.g., 80% or
120%), while the latter is the consequence of repeated arbitrary
resizings with the mouse. 

I don't know if resizing/rescaling causes pixels to be added/discarded,
but it sure seems that way. When you specify a dpi setting, the pixels
in the bitmap remain unchanged, only their spacing changes.

Hi All!

FM 8.0, Windows 3.1.

Just kidding -- Windows XP.

I'm having a problem with the table on the last page of my file.  I
add 10 more rows, and the rows disapper on the page -- they don't
force a new page.  I've seen this before and I seem to remember it's a
simple fix, but for the life of me I can't remember what to do!

I've gone into pagination and changed the setting from "Make Page
Count Even" to "Make Page Count Odd," but that hasn't done anything.

Any thoughts?

It could be either a bad page pagination setting that breaks the
autoconnection of the flow or the table containing too few good break
points. It's more likely to be the table. Try a couple of these:

* Select some of the problem rows, right-click and check the row
format properties to see if you have "keep with" set. Also make sure
that Start Anywhere is selected. You can also select a single row and
force a Top Of Page start point, but that may become a problem later
if you add or delete text.
* If the rows contain a lot of text, break the cells up to create more
break points by adding rows and cutting-and-pasting text so that the
text is in smaller chunks. Turn off the ruling so the multiple cells
appear to be a continuous block.
* Do the same thing as the previous step, but add a blank row where
you think a break should occur.

the top of my head:
1) One or more columns straddled across rows.
2) Keep With Next Row and/or Keep With Previous Row set
in Table>Row Format
3) A very large value set for Orphan Rows in the Table Designer.

Does the existing last page use the default master page? Or does it
use some special master page? There are probably some circumstances 
where that might also play a role.

Thanks everyone for your help.  I copied the table to a new blank
document and the table rolled over just fine, so it appears that my
problem is with the master pages.

My document starts on page 10004. I have three pages of figures, then
three pages of table, then three pages of figures and two more pages
of table.  It's the last page of the last table that is causing me
grief.

The table in the middle of the document is working just fine. The
table at the end of the document won't roll to a new page, so 10 or so
rows are disappearing.

I've doubled checked the master page usage.  For the first table, the
page are Custom Right, Custom Left, Custom Right.  For the second
table, the pages are Custom Right, Custom Left.  So as far as the
table will go, it is using the same master pages as the previous
table.

When I try to change the pagination from Make Page Count Even to Make
Page Count Odd, I get this message:

The new column layout in DOCNAME.fm seems to overlap other objects on
some body pages.

Are you sure you want to do this?

Number of pages affected: 5.  First page: 10008.

(***end of message***)

Page 10008 is the first page of the first table.

Any idea what that might mean?

I'd make a guess that you have another text frame on that page,
probably one that's not auto-connected to anything.

Try poking around with the pointer tool, or maybe do a Select All on
the page. Either one would let you select or unselect objects, or move
them around so you can see if anything is there but hidden.

It galls me to admit this, but I really appreciate the ability to see 
all the hidden markers in a Word file. It enables me to see all the 
Index markers, for example, and quickly correct inconsistencies.

Is there any clever way of doing this in Frame? Or in a MIF file?

For example, I think a chapter of my book is skimpy on markers. I can 
generate a List of Markers and look at the page numbers; then I can go 
to the document and look at the pages that don't have any markers to see 
if they should.

How delightful it would be to simply page through the document, noting 
the absence of markers once all markers (or, better yet, just Index 
markers) had been displayed?

Has anyone made my daydream a reality?

Take a look at our cost analysis -- it's a little dusty but the basic 
numbers still work reasonably well.

The tool can pay for itself rather quickly - a matter of a few days 
(or less) in many situations. This can be particularly useful if 
you're billing on a project basis rather than hourly basis.

Best of luck with your freelancing. In another life I found that 
things got busier in down times -- not so many companies wanted to 
commit to staff, but still needed work done and liked the "on/off" 
ability they got with freelancers.

My preferred indexing tool is IXGen, which -- as Frank Stearns noted --
has lots of other useful functions for indexing and for working with
other kinds of markers as well. 

But for a much cheaper approach that may suit your needs, check out
Index Tools Pro from SiliconPrairieSoftware.com.

I second Art's diagnosis.  Ctrl-click near the border of the text frame 
on the troublesome page, and then use Alt with an arrow key to move it a 
small distance.  If you see another text frame at the original position, 
then the one you moved was likely created accidentally at some point and 
is not part of your flow.  Cut your table out of it and paste into the 
"real" text frame, then delete the errant frame.

I fixed it!

I autoconnected the first page to the second page and the table on the
last page miraculously rolled over to a new page.

I don't know why that worked, but I'm glad it did!
