Structured Books

Following the recent thread on structured books, a quick, (or not so quick) 
review of some functions and quirks might help. 
1. A book must have an EDD, same as a file, for structure to work. It must 
reflect the content file in the book.
2. A book is just pointers to content, like hyperlinks, and does not itself 
hold content.
3. Therefore a book "structure" reflects the Highest Level Elements (HLE), 
including attributes, if any, for each structured file in the book. You cannot 
edit attributes in a book. Change the file and then update the book to see the 
change in the book structure.
4. Unstructured files in the book display a "BOOK COMPONENT" element in the 
structured book. This is a Frame system value that can be changed only by 
removing or structuring the files. Generated files often have this issue 
because they do not have structure when created.
5. If you do not have a "Valid Highest Level" element in your book EDD, with a 
general rule that supports all of the HLE's in the content files, you get the 
"No Name" element because Frame does not know what you want. (If you have a 
book EDD you can change No Name to the Book HLE.
6. You can import an EDD into a book same as a content file. Make sure you have 
only the very top item in the book selected when you do this, or you import the 
book EDD into content files as well, which you will not like.
7. If you select a file in the book and import an EDD into it, you also import 
this EDD into the book. To avoid this, create a junk book for this operation 
and delete it when done, or alternatively you can re-import the book EDD into 
the book (item 6) to fix it after the fact.
8. If you do not import an EDD into the book, it takes on the EDD of the first 
file in the book. Some template masters include all of the book EDD elements in 
the EDD for this first file. I do not do this because it junks up the EDD for 
what is usually the title page.
9. To get a successful update of a book structure, you must TURN OFF every 
check box in the Update dialog box. If you do not, you will not update the HLE 
attributes and other metadata in the book structure, which causes mass 
confusion. (voice of experience)
10. If you have a No Name book, you can fix it by importing the Book EDD. I use 
"Book" as the HLE for the Book. Then select No Name and change it to "Book" 
from the element catalog. If the Book element is "Valid Highest Level" it will 
be valid.
11. A book update will not fix a No Name. You must change it once as in Item 
10. Then it will stick.

data into an online stores system, so that their customers can order their 
products online. Even though customers are ordering online, they still expect 
to receive their 600 color page, 12,000 product catalogue in print.



Marketing Team requirements:

== Must re-use content from their proprietary stores system for the print 
catalogue

== Desire to have the print catalogue produced automatically

== Must be able to produce high quality color PDF's for print publishing



Desktop Publishing Team requirements:

== System must be able to be easy for desktop publishing staff to use.

== Multiple users (normally four) must be able to work on the catalogue at the 
same time during catalogue preparation.

== User may need to tweak content, styles and advertising randomly, just before 
they go to print.

== Must be able to generate accurate Catalogue and Section level TOC's based on 
last second changes.

== Must be able to generate an accurate Parts Index for the entire Catalogue.



Re-using the data that comes out of the stores database, Tammy will demonstrate 
how by converting database fields into useful well-formed XML that allows Adobe 
FrameMaker 11 to do what it does best, produce a robust 600 page catalogue 
ready for print.

Partly due to the advent of XML, many parts of the documentation process can 
now be automated. And one of the keys to accurate "processing" and 
"transforming" of text is metadata. Metadata is data about data. Information 
that describes or classifies information. Even if we've never used the term 
"metadata" before, we've actually know it well. An index is metadata. It helps 
describes the information, but it is not part of the core information itself. 
When we look deeper, we find metadata in document styling, in semantic mark-up, 
in SEO, in translation, in content management systems, and even in file names. 
By improving our knowledge and application of metadata, we can raise the 
quality of our documents.



About the Presenter: Based in Melbourne, Australia, Dr Tony Self (@hyperwrite) 
has over 30 years of experience as a technical communicator. For over 20 years, 
Tony has worked in the areas of online help systems, computer-based training, 
and XML documents. In 1993, he founded HyperWrite, a company providing training 
and consultancy in structured authoring, Help systems, DITA, and technology 
strategy. Tony completed his PhD in semantic mark-up languages in 2011, and his

Variables based on paragraph tags at the book level?

Is there a way to use the 12 built-in Running H/F variables in
FrameMaker to pull in text based on paragraph tags that appear only in
other documents within the book?

For example, it'd be nice if I could define – in the footer of each
chapter in a book – the Running H/F variables to pull in the document
title, product name, and version number based on what appears on the
book's title page (based on paragraph tags that are used only in the
title page file).

Or, is the only way to set up those kinds of book-wide variables to
define our own variables in one file and import them to all the other
files in the book?

GIF is great for screen shots that don't include gradients or photos.

These days I use PNG but with PhotoShop at the highest quality setting
I do not see artifacts in images saved as JPEG. Some other tools don't
do as good a job.

TIF = JPG = not for screen captures period

GIF OK but limited to 256 colors

FWIW, GIF does support transparent backgrounds.  I prefer it over png for 
web-based, non-photo graphics.  I prefer tiff for any ink/paper job.

Agreed! I went ahead and bought it yesterday after I saw your e-mail ... the 
Kindle version is very readable on my Kindle Fire and I don't miss the printed 
one. Not sure how good it would look on the paper-white Kindle's, but it should 
be okay.

A fun read so far (I am about half-way through it), and I cannot see (pun 
intended) how an audio version could possibly work. The visual font examples 
are vital to the book.

By the way, in a different way (not as much fun perhaps :)), the book "Thinking 
with Type" by Ellen Lupton 
(http://www.amazon.com/Thinking-Type-2nd-revised-expanded/dp/1568989695), is 
also a worthwhile read on a similar topic. Not available as a Kindle edition 
though.

shelf as of a few weeks ago. After my experience with Helvetica vs. Arial

PDF p 440 of 615, I added a Sticky Note containing the procedure.

SYMPTOM
In a structured book, in the Structure View window, the program displays the 
top-level element in the book as .

MALFUNCTION
The parent element for the book is not applied to the top-level element.

CORRECTIVE ACTION
1.  After adding structured files to the book, update the book.  In the 
Structure View window, the program displays the name of each top-level element 
in each file.  The program displays the top-level element in the book as 
.

   2.  In the Structure View window, choose .  In the Edit Attributes 
window, on the Elements tab, choose the Options... button.  The Set Available 
Elements window appears.

   3.  In the Set Available Elements window, in the Show Tags For: area, in the 
Valid Elements for Working Start to Finish option button, ensure a dot and 
choose the Set button.  The program sets and displays the available elements.

   4.  On the Elements tab, choose the top-level element for the book.  The 
program changes  to the name of the chosen element.

   5.  In the Structure View, arrange elements to conform.

The Variables Tool from Silicon Prairie generates a Variables Formats 
Used/Variable Formats Not Used list – but it only include user-defined 
Variables.

The Generate Variable Format Report (same tool) lists all System Variables 
(with your edits), but doesn’t say whether or not they are used.

Variables based on paragraph tags at the book level?

Is there a way to use the 12 built-in Running H/F variables in
FrameMaker to pull in text based on paragraph tags that appear only in
other documents within the book?

For example, it'd be nice if I could define ? in the footer of each
chapter in a book ? the Running H/F variables to pull in the document
title, product name, and version number based on what appears on the
book's title page (based on paragraph tags that are used only in the
title page file).

Or, is the only way to set up those kinds of book-wide variables to
define our own variables in one file and import them to all the other
files in the book?

The parent element for the book is not applied to the top-level element.

CORRECTIVE ACTION
1.  After adding structured files to the book, update the book.  In the 
Structure View window, the program displays the name of each top-level element 
in each file.  The program displays the top-level element in the book as 
.

   2.  In the Structure View window, choose .  In the Edit Attributes 
window, on the Elements tab, choose the Options... button.  The Set Available 
Elements window appears.

   3.  In the Set Available Elements window, in the Show Tags For: area, in the 
Valid Elements for Working Start to Finish option button, ensure a dot and 
choose the Set button.  The program sets and displays the available elements.

   4.  On the Elements tab, choose the top-level element for the book.  The 
program changes  to the name of the chosen element.

   5.  In the Structure View, arrange elements to conform.

Hmmm ... I could have sworn that GIF did not support transparent backgrounds - 
I will see if I can find out what specific experience I had that made me think 
this was the case.

Anyway, I have been using PNG for screen captures with excellent output for 
some time now, so will continue with that.

I seldom need to create a structured book, and I first encountered this
problem at least four years ago using (probably version 7.2 or 8).  Only
twice have I succeeded.  I am completely at a loss as to why my success rate
is so low.

FrameMaker help for version 11, as best I can tell, does not even treat the
subject of creating a structured _book_.  Neither does the application
developers guide for 7.2.  These references include information about
structured _files_?- but not structured _books_.  If found nothing in the
FrameUsers archive and using FrameUsers search.

I reverted to consulting version 7 help.  I followed the instructions in it
under "Creating structured book files" and under "Adding files to structured
books."

The files in the book are structured.  They are associated with the correct
structured application.  I have produced a .edd file from the applicable
.dtd file.  I have imported element definitions from the .edd into the files
and into the book file.  (One of the files is problematic in that when I try
to import element definitions into it, FrameMaker crashes.  I "Mif washed"
that file to no good effect.  I do not believe that this problematic file is
related to my inability to create a structured _book_.)

In the book window, the book is as I named it, as I fully expect.  In the
book window, I choose the entry for the book, and I display the Structure
View window.  In the Structure View window, the parent element is ,
and all the entire book is indicated as not valid.

I cannot change the name of , and I cannot get FrameMaker to
recognize it as the parent element.  It seems as though I can "get to square
two or three" but not further.

Help, please.

GIF is great for screen shots that don't include gradients or photos.

These days I use PNG but with PhotoShop at the highest quality setting
I do not see artifacts in images saved as JPEG. Some other tools don't
do as good a job.

TIF = JPG = not for screen captures period

GIF OK but limited to 256 colors

PNG is the way to go.

Yes; thanks for mentioning.  I failed to remember and to mention that when I 
try to update the book, FrameMaker hangs.  It's hanging as I write this.  I 
have to use Task Manager to end process and force FrameMaker out.

So, now, the problematic file becomes a likely suspect.

Yes; thanks for mentioning.  I failed to remember and to mention that when I 
try to update the book, FrameMaker hangs.  It's hanging as I write this.  I 
have to use Task Manager to end process and force FrameMaker out.

So, now, the problematic file becomes a likely suspect.
