Suggested workflows for single-sourcing with FrameMaker - RoboHelp + P4V
Good day everyone, For the last few years, my company has been working towards single-sourcing the documentation we create (e.g. user manuals and integrated program help) for all of our products. We have one big product and quite a few smaller products, with each one having its own user manual and integrated help. We use Adobe FrameMaker 11 and RoboHelp 10 to create and manage the content for our user manuals and integrated help respectively. We also use Perforce P4V for version control. Content typically is authored in FrameMaker first before being exported into RoboHelp as a .book file, which is then used to build our integrated help system. Currently, half of our smaller products are single-sourced while the rest are curated by hand. We'd eventually like to have all of our products be single-sourced. However, even with the products that are already single-sourced, we're having some issues with how our authoring software interacts with our version-control software. We've also had problems converting back and forth between .FM and .MIF formats. My question here is two-fold. First, what is a good workflow(s) for single-sourcing content using FrameMaker, RoboHelp, and version control software? Second, are there are other tools that we could use for such a workflow? For instance, there's been some consideration about switching from FrameMaker to MadCap Flare. What is MadCap Flare better at doing than FM for single-sourcing? What can be done to convert from using FM to MadCap Flare? What would be potentially lost in doing such a switch? We've also been considering switch to the Adobe Creative Cloud, but before we make a decision one way or another, we'd like to nail these details down. Any and all insight would be greatly appreciated. If further details are required, I'd be happy to give them to the best of my ability. -- Spencer C. If I had to do it, and I'd *strongly *resist because Confluence isn't really built to do this at the level most of us would like... I'd save from Frame to Word or RTF and import the Word file as a Confluence page(s). You could then export the corrected pages to either Word or PDF and bring them back in or input the changes manuall. A step better, but still a PITA, would be to output from Frame to PDF or Word and save those files as attachments to a Confluence page. Getting the comments and changes cut in in Acrobat or Word with Track Changes would be worlds better than using Confluence to track changes. Art Art Campbell art.campb...@gmail.com ... I find Confluence vastly superior to using Word's track changes or PDF comments, though it can't integrate with FrameMaker (or Flare) directly. For our main user manuals and training guides, the PDFs are set up just like a regular book, with odd/even layouts and an even number of pages. I use roman numerals for the front material. As for the odd/even layouts, our design doesn't include a scholar's margin, so it really just affects the headers/footers - and shouldn't affect on-screen viewing to much. We feel that while some users will view these books on-line, many users will print these books and design them accordingly. We also have minor documents that are typically attached to a knowledge base article. Most of these do not have a ToC and are single-file documents. Source control *should not* be relevant to single-sourcing except insofar as you might automate builds with scripts. I've never had a problem using .fm files with source control. If you're converting to .mif on the theory that P4 requires it, that's not true. I did not find RoboHelp 9 at all source-control friendly. It was hard or impossible to identify exactly which files were source that needed to be under control and which were generated that should not be. Just opening and closing a project without making any changes updated a slew of files. Easy source control configuration was a minor benefit of switching from RoboHelp to ePublisher Pro. Basically there was just one file that defined the project plus maybe one other file if you used a certain optional feature. At least with FrameMaker 10 and RoboHelp 9, Adobe had not properly documented how to link FrameMaker source to a RoboHelp project so that you don't need to do anything in RoboHelp except configure the output settings. Hey Tom, At this time, I have not yet re-installed FM10 and still canNOT reinstall Acrobat 9 Pro without getting that damn popup. And remember, after clicking OK on the (Setup has detected ...) popup window, the main Acrobat setup window returns to present only a Finish button and when you click on it, the whole thing closes. No choices are presented at any time as to whether you want to install this or that. And I'm well-aware of what you said about FM pdf printing so that's not an issue. Do you by any chance have Adobe Reader X or Adobe Reader XI installed? Either of these would be detected by the Acrobat 9 installer as a newer Adobe application for reading PDFs, and most likely cause it to bail out of the Acrobat installation. No choices are presented at any time as to whether you want to install this or that. And I'm well-aware of what you said about FM pdf printing so that's not an issue. Now, after the upgrade, I reinstalled FrameMaker 10 (using the 30-day trial button during these tests) and it runs fine. But Acrobat 9 Pro will not install. Instead, right after the opening (splash?) screen, a popup appears with the message, Setup has detected that you already have a more functional product installed. Setup will now terminate and the OK button. I noted that when I open an existing pdf file, it displays in HTML but exactly as a pdf file. So I once more uninstalled FrameMaker 10 and even did a system restart, but with no luck. The same popup appears when I try to install Acrobat 9 and I don't know where to go from here. Is there a registry listing or something that I should edit? And if so, where and how? I understand that if all else fails, I'm looking at doing a total Windows 7 RE-install. Cripe.
