Well, it's been a long time since I've done more than browse the
messages from the Framerslist.

Hopefully someone might be able to help me though.

When opening xml files with CGM graphics, I keep getting the message
"insufficient memory to import file" in the XML Read Report Log.
Graphics elements are stripped from the document and the document
becomes invalid. Not to mentions this is disastrous if the error is
overlooked and the file is saved. All graphics need to be re-imported.

FrameMaker 7.1, Windows XP Professional SP3,  4Gb RAM

Acrobat / FrameMaker conflicts during install

I think the question that remains, is when will the two applications
become more aware of each other so that you needn't have to worry?

PDF question

Why try to perform something difficult in Acrobat that is so simple
Framemaker?

Either two templates, On-Line and B&W Print, or simpler print one with "Spot
Color as Black/White".

If you don't want to distribute two PDFs, I remember Shlomo at MicroType had
examples of PDFs with different screen and print formatting.

Well, I work with what THEY have. Not with what I have. They work with the
budget they have.

It's one night a week for ten weeks. If you know Frame6, there's nothing
surprising in any other version. If I was an employer, I'd treat the
students the same as those that learned on Frame8. Give them a quick test
with one of my computers.

If the school upgrades, I'll upgrade my materials. But really, it'll just be
screenshots to change. The basics haven't changed one bit.

And in the end, I'm really only doing it as a hobby. Two sessions in (one a
year), and I doubt I'm even half way to minimum wage considering non-class
hours.

IMO, this is an unfortunate failing of FM or simply a missing feature.

FM should be able to produce structured generated files. could be
perhaps accomplished by adding element information to the reference
page building blocks.

It's not too difficult to do using Framescript and I have done it for
a couple of projects in the past.

Out-of-the-box, No.

But, I've already written a FrameScript that assigns variable values based 
on an ini file. It would be relatively simple to work with a database, 
excel, or tab delimited file.

I had started, but have not yet completed, a script to do something 
similar to Word's mail merge, creating a new document for each set of 
defined variables.

With FrameScript, virtually anything is possible.

To address the initial problem:

The only repair I have found that works is to rebuild the files anchored 
frames from the point at which the numbering is broken. To be extra sure, 
rebuild them all.

Save a copy of your file, in the working file delete all anchored frames, 
then with the working file and copy side by side, create a new anchored 
frame for each in the copy. Use the copy only to get the graphic and text 
for the title.

I've identified that it usually breaks when anchored frames containing 
text frames with numbered content are copied and pasted. At some point, 
FrameMaker gets confused as to which text frames to keep out of the 
numbering flow and which to include.

But... Here's some interesting behaviour:

If a disconnected text frame is in an anchored frame, and the paragraph 
format contains the word "figure", it will autonumber. If the paragraph 
format does not, autonumbering is independent.

If you update all the figure title paragraph formats to a new name, the 
currently linked and autonumbered paragraphs stay sequentially numbered as 
do new paragraphs in separate anchored and text frames.

However, you sometimes see bizarre behaviour such as figure titles not 
incrementing or restarting or intermittently having to change the 
numbering for the first item in a legend to  manually or by different 
paragraph tag.

Yeah, but...

You did say that was the short answer, and others have already chimed in 
that setting up applications in each environment is non-trivial.
Thought I might chime in with an example: Define "formatting". For 
procedures, the numbering is important. So how do you perform the 
numbering? Allowing FM to autonumber works beautifully for works in 
progress and for FM output. But how to get the SAME numbering in the IEM? 
How to convey the same numbering to another authoring environment?
Not trivial.

And the most annoying thing is that working 'natively' with XML is a red 
herring. Because the only thing that has changed is that when your 
workflow is to include FrameMaker functionality and strengths until 
delivering xml you name the file FileName.fm and if you want to always 
roundtrip you save the file as FileName.xml.

The only difference is FrameMaker automatically assumes "Save-as" when the 
original file opened was FileName.xml. Big Deal.

complexity and "non-nativeness" of EDDs compare to the development of 
FOSIs and AT display and print engines.

graphical interface is a poor option in terms of efficiency. The mouse has

And would you suggest the stupidity of a graphical only interface and 
touch-screen with  the abomination of a touch-screen pop-up keyboard for 
data and text tasks?

There is no "hunting or pecking" not "drilling" in either a well designed 
graphical interface or a well designed index if the thing being searched 
for is at the top level (say the engine). But, when searching for 
something more arcane down in the bowels, what is faster and more 
efficient? A bad paper index and a bad on-line index (or ghastly full-text 
search) may both list "hood" or "wrench". But only a good index (hardcopy 
or electronic) will quickly redirect you when you search for "bonnet" or 
"spanner".

Drop the prejudice against indices as a hardcopy only issue and recognise 
that index information is useful metadata, regardless of how it is 
ultimately searched and presented.

You won't like my answer, but it's the only solution I've found to the 
problem you describe.

You need to make a copy of the file, delete all anchored frames, then open 
the copy and working file side by side.
In the copy, use find to locate each anchored frame.
For each anchored frame, create a NEW frame in the working file. Use 
drag-and-drop, to move the illustration/figure, create a NEW text frame, 
use copy paste to copy the caption.
Repeat...

To avoid the problem, you must NEVER copy an anchored frame. When all 
anchored frames are created individually, I have never seem this problem. 
But when anchored frames are copied, from my experience, it's only a 
matter of time until the file corrupts.

Sorry to chime in late.

Here's how I've done it when I needed a documents page count elsewhere. A 
paragraph with a format called PageCount placed on  A REFERENCE PAGE!
Then you just put the page count variable as the only text. You then Xref 
to the last document in a book. No need for blank paragraphs or white text 
(which is selectable in a PDF. Yuck!).

Re: Indexes - a bit off topic

ASI may have an official document out supporting indexes and 
differentiating between indexes and indices, but with all due respect, 
there is nothing wrong with using "indices" in any context. I have seen no 
dictionary or language authority that makes a differentiation in 
definition between the spellings. Secondly playing the grammarian on an 
e-mail list is usually bad netiquette. It's particularly fraught with 
danger when the audience of the list is international. The opinions of the 
ASI may carry little to no weight with the British, Canadian , or other 
equivalent national bodies. Just as the "preferred" spelling in 
dictionaries is more dependant on the nationality/locale of the publisher 
than it is of "correct" usage. Further more, their power over the 
individual is non-existent. As their opinions carry no weight out side 
their own organisations, no matter how they may pretend otherwise.

I won't argue the pluses or minuses of "-exes" or "-ices". Only that I use 
"-ices" and try to spell consistently using "-our" and not simply "-or" 
except when writing for an American audience. When reading, I will flinch 
at neither. As long as the document is consistent in its usage. Just as 
the thread was progressing happily with both accepted and valid spellings 
without complaint.

I also endeavour to teach my children to use kid, calf, gosling, chick, et 
al instead of baby . Same goes for murder, gaggle, and flock. Even if 
one day these usages/terms all fall from "preferred" dictionary status.

Let's go back to discussing FrameMaker please...

Another point to consider. What are the differences between the default 
right/left master pages and the index right/left master pages?

If it is only the number of columns, consider this: have a two column 
layout on the default Left/Right master pages. Then, set all formats in 
the paragraph catalog to be "across all columns" except for those used to 
build the index.

Firstly, you can apply master pages to all left and right pages after the 
index heading. The range indicator can be either Single, Span pages, or 
Until changed.

As for Indices that are part of the flow. Ugh.

Chapter page numbering would eliminate the problem. Multiple indices for a 
book that numbers the pages throughout seems bizarre. If the book must be 
page numbered sequentially throughout, I'd be tempted to build the indices 
by script and formed with Xrefs, not generated files with hyperlinks. At 
least then, once generated, changes to pages would be corrected with one 
update.

Other than that, why are you "importing" the indices? The index files 
should just be included in the master book as well as the individual

Sorry if this isn't relevant. It has been a while since I was in the 
depths of structured documents, DTDs, EDDs, R/W, and the like.

One thing that stumped me for a while was the creation of entities for 
graphics when they shouldn't have been. Turns out that if the userstring 
property (which was being set by a script as a means of tracking) is set 
to any value, FM creates an entity based on the value.

Had to add a script to my workflow that eliminated all userstring values 
from all graphics/graphic elements.

Another tangent: Were either the Illustrator or FrameMaker displayed 
colours IDENTICAL to the printed output? I suspect both were "incorrect" 
in some regard. It's only the final deliverable colour that's important. 
And that's completely dependent on the device producing the output (except 
for the unfortunate content that gets mangled by the OS between colour 
spaces before output).

I think that will account for display differences. CS2 applications use 
Adobes CMYK display filters. FrameMaker is stuck using Windows GDI (which 
is RGB).

Analogy: The only important factor is the colour of the paint when it 
dries. NOT the colour when it's in the can, or still wet on the wall. I'll 
admit it is worrying painting cabinets a shockingly bright pink. But they 
dried to the nice dark red we were looking for.

If you want to remove ALL extraneous information, remove the entire 
catalogues from the MIF file using PERL.

I'm not familiar with L10N company processes, but why can't they identify 
what is text and what is formatting? Translating even the used formats is 
pointless and counter-productive unless you're sending source files in a 
new language and want the template to be useable by others.

There's something I don't quite understand here.

Welcome to the (hellish) world of colourmatching. Fussing with the colour 
on screen is virtually meaningless. If the two are supposed to be the 
same, they SHOULD be the same. If they are displaying differently, they 
undoubtedly are different and do need edited in image editing software.

As for what exact colour is shown on screen and what is printed, well it 
depends on the strengths, weaknesses, and settings of each device (whether 
screen or printer). On a printer, the output will be affected by what 
paper and processes are used.

If the colours used are selected using Pantone numbers or other matching 
system, you have the basis for the expectation that the final printed 
output is identical to the Pantone swatch. If the printer and media have 
been correctly colour matched. If the colours are being designed on-screen 
and you want your output to exactly match the on-screen colour, you have 
to colour match and adjust the display before doing colour work, colour 
match the printer, and know what the colour limitations of your devices 
are.

The Symptom certainly seems to point to disconnected text flows.

My guess would go further and suppose that the following items are in fact 
on the same page:
The First Bit
The Second Bit
Chapter Title!

I can't remember it correctly, but i believe that Frame generates for the 
Main Flow of the document first then each subsequent flow on a page.

But, it may have to with the order of creation of the text frames. Try 
rebuilding the master page by creating the disconnected frame for the 
"Chapter Title!" first. Then creating the autoconnected text frame. Might 
work if you want to experiment.

For a simpler fix, connect all the text frames. All you need to do is put 
a frame or sufficient space below the "Chapter Title!" to push all 
following content into the next text frame.

How do you change the paper colour? By changing the paper in the printer. 
VBG!

Except for the suggestion changing windows settings, all the artifices to 
change the background colour have the same danger. If you don't set it up 
with a colour that is set to not print, you'll end up with background 
colour printed on the entire page up to the printer margins.

IMO, don't do it.

Assuming you are not working in a table:

In a nutshell, you'll have to fix your master pages and possibly work on 
making a decent template if you want to have a workable file.

The problem is that you are typing in a text frame that does not 
autoconnect. Now, whether this is because you disconnected the frame, 
modified the text frame properties, or the master page is that way, only 
you can tell.

If you are in a table cell, that is normal behaviour for FrameMaker. Table

Um, if you want text to flow from page to page you want to select the text

The quick and simple answer is that the function you are looking for can 
be found in the Edit menu:
Edit > Copy Special > Paragraph Format
Edit > Copy Special > Character Format

The longer answer, IMO, depends on what you're doing with the function. 
Are you propagating named formats from the catalogue or are you 
propagating formatting overrides? If propagating formatting overrides, you 
simply shouldn't be. If you intent is to have consistent formatting, the 
definitions belong in the Paragraph and Character Catalogues as named 
formats.

Then, there is no need to use Copy Special. Just use the catalogues, the 
formatting bar, or F9 to apply formats in your documents.

Personally, I use the Copy Special mostly when changing paragraphs from 
one named format to another using the Find dialog set to "Find Paragraph 
Tag" and replace set to "By Pasting". But, I will use it to propagate new 
named paragraph formats. Character formatting should NEVER be propagated 
using Copy Special as the formatting from the insertion point is copied 
and not just the character tag formatting.

As I pointed out in my post to John, your guess is wrong. Nothing is 
stripped from a TOC file if it is renamed and included in a new book file. 
The TOC set-up is part of the book component properties.

When generating a file, Frame for each generated file:
1 - looks for a correctly named file.
2 - If not found, creates a new empty file based on the first 
non-generated file in the book. Will also a reference with the required 
definitions.
3 - If found, opens the file and strips out all paragraphs with formats 
with suffixes matching the generated file (*TOC, *IOM, *LOT, *LOF).
4 - Based on the list of paragraphs or elements in the book component, 
Frame then builds the generated file.

Note: Number 3 above makes for interesting observations. The new generated 
content is created in the same place as the deleted paragraphs. I'm not 
sure if it is the location of the first of the last deleted paragraph that 
determines the start point for the generated content, but you can have 
generated files with standard text at the beginning and end which frame 
will always leave alone when generating the file.

Have to say I'm intrigued as to what possible purpose a TOC of a TOC would 
serve.

But, the only way to automatically set-up a generated file would be to use 
FrameScript.

Or

Have a book set up with a TOC and other generated files as you want them, 
then use that "book template" to build new books.

- Copy the template book, and associated generated files templates to a 
new location.
- Open template book.
- Save book with the new desired name.
- Profit from a fully set-up book.

You could even have "placeholder" book components set up correctly. Rename 
the placeholder components in the book to match the "real" files when 
building a new book.

Both the formats to be selected in the TOC setup and the formats actually 
selected are part of the Book component. They are not part of the TOC 
file. So naturally, until you update a book for the first time to gather 
the list of all formats, there is nothing to select. And, if you copy a 
TOC from elsewhere, there are no formats selected.

As long as FrameMaker is limited to OR logic only for show/hide, I doubt 
there is an "ah HAH!" technique. :(

If your number of conditions is limited enough, I've found that in many 
cases it is easier to rewrite and conditionalise paragraphs or at a 
minimum sentences to avoid word level conditions.

But eventually, in my experience, every attempt and conditionalising 
becomes too complex very quickly.

But it is how I would describe, in writing, the construct of nested Ifs:

  If A
{DO THIS}
If B
  {DO THIS}
EndIf
  EndIf
Where there may be any amount of code, waiting or looping before you get 
to the If B and indeed the end of the If A statement.

Or perhaps:

  If A
{Wait for B} -- specified or indeterminate wait time
  EndIf

Or perhaps:

  {Wait for A}
  If B
{DO THIS}
  EndIf 

In either of the above, A could become False at anytime after the test or 
after the wait as the test for B and the execution of the related code is 
not dependant on A.

The second one is simply

If (A) AND (B)

While I won't argue with the underlying point Steve's logic with respect 
to the addition of an AND clause to the sentence, I will pit nits and 
throw another view point into the mix.

Firstly, logically speaking, isn't there a difference between:
- If A, and then B
and
- If A and B

The first implies a wait or sequence between events A and B. It does not 
imply that the events are simultaneous nor that they need to be 
maintained. If A happens, stops, then six months later B happens, the 
first statement is true. The second statement is true only while both 
events are happening (and they could start in any order).

Secondly, Why does the sentence even contain "then" in the first place? 
(You don't even include THEN in If statements in many languages.)

Why not: If , .

Thirdly, as far as using "because we've always done it this way." as a 
reason, there is absolutely nothing wrong with that. The burden of proof 
is on the person suggesting a change. They must prove that their proposed 
change has demonstrable advantages over the old way. If they can prove 
benefit, only then is the old guard's complaint of "we've always done it 
this way." become irrelevant.

It doesn't make you popular, but a simple "Choosing between two 
unsubstantiated choices, we'll stick with the way it's done." or "I 
understand you like it better that way, but we've already made a choice." 
are valid arguments against change.

Here's how I would approach the situation:

What are the design differences between AppendixHeading and the chapter 
heading style?
How are the styles used is each of the books?

It is probable that you can account for the differences with a simple 
format import. Don't differentiate between the two styles in the format 
catalogues. Apply a format with the same name in both cases.

Then, have a template for the chapters and a template for the appendices. 
Or, simply a MIFsnippet with the chapter definition of ChapterHeading and 
another with MIFsnippet with the appendix definition of ChapterHeading.

Before generating/updating, import formats from the chapter template (or 
snippet) into all chapter files and import formats from the appendix 
template (or snippet) into all appendix files.

Re: Generating lists for review

Perhaps a generated alphabetic list of markers could be used. Place a 
marker (choose a type) at the beginning of each topic containing the 
reviewer's name.

Or rethink your production process. Perhaps you should produce files with 
one topic per file and build custom books for each reviewer. Or even not 
create books but manage each file/topic lifecycle individually.

It should be easy to spot disconnected frames. Turn on View>Text Symbols 
and look for end of flow characters.

Well, the text was imported from Word. That explains EVERYTHING. lol :D

Should have thought about disconnected text frames myself.

While autoconnect was selected, it doesn't mean the current frame and next 
similarly tagged frame are connected. Autoconnect will only cause 
FrameMaker to create a new page should content in the current text frame 
overflow.

Next time, you can connect two frames by selecting each frame in turn and 
choosing File>Customize Layout>Connect Text Frames.

Hopefully, the problem is due to numbering series. How is the autonumber 
string defined? What other series are used in the documents? How are the 
captions created?

Unfortunately, I have experienced numbering problems if the caption is a 
text frame within the anchored frame. If the anchored frames are copied, 
and not created from scratch, the numbering sequence eventually breaks.

But for that to happen in ALL your files seems bizarre. Unless all the 
files were started from a common copy... 

Perhaps with more details we can be of more help.

What exactly is a FrameMaker "typesetter"?

And, why the absolute need for on-site availability?

If , as it seems, the job is to apply styles and paginate text in a 
FrameMaker template, anyone anywhere should be able to complete the 
project.

And employees, who value their jobs and take professional pride in their 
work should be able to learn to do something fairly simple like making 
Xrefs. But I understand your concern. Some people just can't 'get' certain 
ways of working. But, IMO, it is the place of management to set the 
minimum expectations and discipline accordingly.

Actually, if your Xrefs were breaking it was probably more to do with the 
setup than the writers. No amount of training will help a Frame user keep 
Xrefs connected if the path includes a drive root. Those will break 
eventually no matter how hard you try.

But, all limitations in that regard can be overcome with either the 
BookUtils plug-in or an in-house script.

It can be as simple as each file having a copy of the nomenclature file 
copied locally so that all links are relative and immediate. The Xrefs 
then simply need to be pointed to the central file for production or 
copies of the central file placed with the working files. However you 
maintain and/or store the target files, maintaining and resolving the 
Xrefs should be quite simple to do.

The text content of a cross-reference is limited by what you can build 
using the Xref building blocks. It may be possible to have a Xref that 
produces multiple paragraphs (Using \R in the def?) but I doubt it would 
be workable.

But to combine multiple paragraphs, you need to have information that's 
consistently tagged and organised. Then, it's only really workable to 
create strings as I have done.

For multiple paras, I'd stick to insets.

Personally, I don't like conditional text. Usually it gets far too complex 
very quickly and you're hobbled by the limitation of OR logic for 
overlapping conditions.

But, are variables the right answer? Why not Xrefs instead?

Perhaps this idea isn't terribly Earth shattering, but it came to me in a 
flash and I've been using it successfully for some time now. The idea 
struck me as more of a 'DUH' kind of realisation when I implemented it, 
but after giving a FrameMaker class, I was amazed at how foreign the idea 
seemed to so many.

The situation was this: hundreds of components, multiple ways of writing 
their descriptions, abbreviations, and specifications which led to an 
unmanageable mass of variables.

So, I turned to cross-references.

A stand-alone document contains a three column table.
Column 1 - CB Number
Column 2 - CB Placard
Column 3 - Complete description

ex:
CB1 LIGHTINGCB1, LIGHTING

Three cross-reference formats are used:
1 - CBNumber
2 - CBPlacard
3 - CBPlacard (Num)

So, depending on the requirements I can include CB1, LIGHTING, or LIGHTING 
(CB1) in my documentation.

If the placard or information changes, I change the source document and 
that's it. A generate update of all books ensures the data is correct.

I've actually begun using the same approach for terms and equipment names. 
Any text that needs to maintain consistency is grouped with like terms in 
a file.

So three HUGE advantages IMO. First, no need to maintain a MIF snippet of 
variables or using a script/plug-in to import user variables only (because 
invariably, one or more of the system variables are defined differently 
for different sections/files). Second, instead of hundreds of variables, I 
have 3 Xref formats. Third, generating and updating is already a step in 
the publishing process. So, the step of importing variables is skipped and 
not there to be forgotten.

What are the downsides? Well, so far nothing. But I have an itch in the 
back of my skull concerning Xrefs and character formatting that I just 
can't shake. Something as to whether character formatting applied in the 
source (all character tagging is done using catalogue formats common to 
source and destination) is kept in the destination or not...

Anyone know what I should be worrying about?

DANGER!

Copying anchored frames may result in numbering madness. Well, in our
case, anchored frames include text frames for the captions. Occasionally,
copying the frames results in a file with broken numbering. Ultimately,
the only fix is to recreate all frames from the scratch from the position
at which the numbering breaks. Saving to MIF doesn't seem to work.

To eliminate the drudgery of inserting frames, try FrameScript

RE: Numbering Systems for Technical Service Manuals

Excellent post Dan. Your post was exactly what I wanted (but was too lazy)
to post as soon as I saw the original post about numbering.

Far too often I see "technical" writers complaining about layout, format,
or organisation because they simply "don't like it" or "it doesn't look
right". And then justifying their whole scale design changes on their
limited exposure to one limited field of techwriting and techwriters.

Anyone who will redesign a document or glibly dismiss existing standards
or traditions simply for what "looks better" without researching the issue
and reasons for the style or getting solid evidence the current usage
either hinders production or user understanding without providing benefits
to at least a subset of users doesn't really deserve the title of
"technical" IMO.

While technical documents need not forgo good design, they should not
forgo function for the sake of design.

Reluctantly submitting to the style guide and complaining it's only
"because the engineers want it that way" is little better. As technical
writers, we owe it to our audiences to understand their needs and
requirements as well as the technical information we are trying to convey.

Sometimes too, it requires the humility to understand that the
system/layout you don't like may have no logical or relevant reason behind
it, but not liking it is just as baseless a decision. In the event of
conflicting arbitrary decisions, continuing with the current standard for
consistency is usually the way to go. So, if you want to make a change,
you need not prove the previous method wrong, but prove the new method
superior.

Too true. If the numbers wouldn't describe structure, even a random number
(the internal help topic number?) that could be made visible would make
referencing, commenting, and updating the system much simpler.

Or, in my experience, the user may be able to stop travelling a circular
path of references a little sooner if the organisational structure of the
help file was more apparent. Perhaps the numbering may even avoid
confusion between two similar yet subtly different topics.

Excellent post Dan. Your post was exactly
what I wanted (but was too lazy) to post as soon as I saw the original
post about numbering.

Far too often I see "technical"
writers complaining about layout, format, or organisation because they
simply "don't like it" or "it doesn't look right".
And then justifying their whole scale design changes on their limited exposure
to one limited field of techwriting and techwriters.

Anyone who will redesign a document
or glibly dismiss existing standards or traditions simply for what "looks
better" without researching the issue and reasons for the style or
getting solid evidence the current usage either hinders production or user

Think outside the box:

Instead, use cross-references.
The document that contains the text (part numbers in this case) can then
be conditionalised.

Personally, I've started using cross-references extensively. Much easier
to maintain a limited number of Xref formats and a document chock full of
referenceable data than it is to manage numerous variables.

Some Table Questions

Well, wouldn't you know it. I have to teach tables in FrameMaker and I end
up looking foolish.

It used to be that the sort function only sorted text and markers were
lost. When was that oversight corrected? Because when I demonstrated the
function, markers stayed with their paragraphs.

Also, for table formatting. Is there any way to copy custom shading and
ruling from one cell to another?

Which is why in my post I included:

The minimal MIF needed for a complete FM document is all that needs to be 
checked into any versioning system.

Removing all Template components, line breaks, unique IDs, and a whole 
slew of other data from the MIF file results in a much smaller and more 
appropriate versioning content.

My beef with FM is that you can't select MIF options when saving. But some 
PERL scripting or XSL and MIFML could take you a long way.

The "but if your XML documents round-trip" that Lynne mentioned can be a 
very big but and might be a pretty big hurdle.

As for MIF, a search of the archives might result in one members analysis 
of the bloat in file size caused by MIF and at what point saving diffs of 
MIF files is advantageous over saving whole binary versions.

Now if you were to save MIF files to a versioning system, it would be a 
good exercise to see how much of the MIF could be eliminated before 
committing to the versioning system.

Not possible to do automatically, but you can do it in a Find/Replace.

Apply the desired conditions to one paragraph, copy special>conditional 
format, and then search for the paragraph tag with replace by pasting 
selected.
