[Framers] Searching multiple PDFs for blacklisted terms

2021-07-06 Thread Martinek, Carla
If you work for a Global company, you may be aware of China's Patent &
Advertising laws. There are certain terms that are blacklisted, and violations
can result in fines and even sanctions against companies.

Is anyone aware of a tool that would allow you to search multiple PDFs and
compare against a list of terms and flag instances?

We want to look at our published PDF files, hundreds of them, and some of which
are quite old, and see if we can find anything that is a potential violation .
Unfortunately, most of these files weren't created in XML/CMS, but in Frame,
InDesign, and even other apps, so searching source files isn't the best option.

Re: [Framers] Anchored Frame in Table Cell is hiding borders

2021-03-08 Thread Martinek, Carla
Rick -

There is 5pt right cell padding. The Table Designer window is shown at the
link, and the table cells have 3pt Top/Bottom, and 5pt Left/Right. I've changed
it to a larger number, with no luck.

The Anchored Frame properties are Below Current Line, Right Alignment.

We are using a defined Object Tag for these frames, and the weird thing is that
this is only happening to some of them, not all.

Carla, can you put a little cell padding on the right of those cells? You
shouldn't need much.

I have an issue where graphics in an anchored frame inside of a table are
running over and hiding the table border to the right. This carries through to
the PDF output. (This is a parts list with descriptions in the next cell).

I've checked multiple object settings - the frame, the table, etc. Nothing I've
tried seems to fix the issue. Does anyone have any recommendations for this?

I've put some images here for reference since I don't think the ones I attach

[Framers] Script for adding variables to FM

2020-02-12 Thread Martinek, Carla
Is anyone aware of a script for adding/creating variables from a list/table?

Ideally, you'd have the variable on one column, and the values on the other.

[Framers] Windows Anti-virus prevents PDF generation in unique graphic setup

2018-05-18 Thread Martinek, Carla
Sharing a problem that has vexed us and our translation vendor for a few days
now. We found the solution after much trial & error, so wanted to share this
here in case someone else runs into it. We tested on two different systems just
to be sure.

Operating System
Windows 10 / Windows 7 Ultimate

Applications
FrameMaker 2017, version: 14.0.4.511
Illustrator CC 2018, version 22.1 (64 bit)
Photoshop CC 2018, version 19.1.4
Distiller DC, Professional Version 18.11.20040281318

Conditions to reproduce the problem
The FrameMaker file contains a link to an .ai file. The linked .ai file
contains a linked .psd file. The .psd file has a clipping mask in Illustrator,
and part of the clipped image that is not visible extends past the artboard
edge in the .ai file.
If Microsoft Security Essentials (Windows 7) or Windows Defender (Windows 10)
real-time protection is turned on, the PostScript file will take much longer to
print than if real-time protection was off. Not tested using other versions of
Windows.
In the FrameMaker book that brought this to our attention, there were 127 pages
and 31 linked .ai files that met the criteria above to reproduce the problem.
Printing to a Postscript file took around 14 hours to complete. Once real-time
file protection was turned off, printing to a PostScript file took around 5
minutes.

Subject: [Framers] Windows XP versus Windows Explorer (Ding!)

Here's an annoyance where two "things" on my computer simply can't get along
and I wonder if anyone here has any suggestions on how to stop this from
happening.

While my two coworkers use Windows 7, my own office platform is still chugging
along nicely with Windows XP. This is because in the past, we had problematic
FrameMaker files that crashed while being opened in Windows 7, but they opened
smoothly on my platform. We all use FrameMaker 11 and all of our files are on a
network drive. (We have never been able to figure out why they opened on my
platform but not the others. And my company refuses to spend the few bucks on
upgrading my operating system, a la "If it ain't broke, don't fix it.")

Anyway, when we create a new FM book based on a previous one, we copy the
pertinent old FM folder (along with its subordinate Insets folder of the
various images) to a new location on our network drive.

Because the default name of the graphics folder is "Insets", and I don't want
the new FM file to reference the old Insets folder, I try to rename that old
one something else ("Insets - Temp" or whatever) until I have successfully
opened the new FM file to correctly reference the new Insets folder at the new
location.

Confused yet? I hope not. Anyway . . .

More often than not, when I try to rename the old Insets folder, I get a pop-up
box stating that no renaming can be done because another program is using this
folder -- but it really ain't.

I will close out every open program, re-open Windows Explorer and then once
more try to rename the old Insets folder, but keep getting that nagging pop-up
about another program using this folder.

The final action is close out everything and do a system restart. That always
works but it's a pain in the ass.

Isn't there a keyboard shortcut or something else I can do to prevent this
waste of my time (which obviously slows my productivity)?

The menu shows only when you have a document file open. It does not show when

And I am using the SP plugins with FM2015 without issue. There is a version

[Framers] ExtendScript - Generating a Catalog of Graphics

2016-02-10 Thread Martinek, Carla
Years and years (and years) ago, I purchased a set of utilities called Caxton
Xtras. Caxton has long since gone away, but the utilities continued to work in
FM for several versions after they were initially released. My source utility
files have a date of December 1998 - I think it was FM5 I was using at the
time. (I go all the way back to using FM2 in 1990... very scary, I know.)

A coworker wanted to generate a list of imported graphics that includes the
image. Xtras had such a utility, but unfortunately it doesn't work with the
last few versions of Frame. The Xtras graphics catalog generated a table with a
thumbnail of the graphic in the first column (about 2 in height, if I remember
correctly), the path in the second column, and the page # in the third column.
It really was quite handy.

Has anyone written a script for recent FrameMaker versions which does something
similar? ExtendScript preferred, but I also have FrameScript. Much as I want to
be involved in scripting, I just haven't been able to dedicate the time to be
able to write my own.

BTW, I'm happy to send a copy of the Caxton files to anyone who wants to look
at the source files if you're curious and have an older version of Frame
(likely FM9 or earlier) . :)

FM 11/RH10 Multiscreen HTML Output - making changes to the default Desktop output

2013-04-24 Thread Martinek, Carla
Ok, I've been trying to find this answer in the RoboHelp and FrameMaker help
all morning, and not having any luck, so I'll throw it out to the group. It's
been a decade-plus since I worked in RoboHelp, so don't remember much. My
source content is in FM11.

I know what I want to do, just not how to make it happen. I want to use one of
the skins that shipped with RH10 in the Multiscreen HTML 5 output (for the
WebHelp/Desktop output). I was able to create an individual WebHelp_Pro layout
using my preferred skin, but cannot for the life of me figure out how/where to
edit the default Multiscreen HTML 5 Desktop output/layout to use that same
skin. How/where do I go in RH to make that change?

Once I know how to change one of the output layouts in the Multiscreen layout,
I can change the other layouts as desired. Once back in FM 11 I can easily
select the correct project template when I want to publish the document from
there.

I know this has to be fairly simply, but its escaping me.

Thx
Carla

RE: FM 11/RH10 Multiscreen HTML Output - making changes to the default Desktop output

2013-04-24 Thread Martinek, Carla
Ok, I realize now I'm probably off base with my question... ugh. HTML5 and the
WebHelp Pro output are not the same. Looked at it in a different way and
figured out where I was going wrong.

So what I need is to create(modify) an HTML 5 desktop screen layout that uses
one of the skins from the gallery... is that possible to define easily, or is
it a major design from scratch issue?

Thanks to grainge.org for clearing up some things for me between the skins and
screen layouts.

Subject: FM 11/RH10 Multiscreen HTML Output - making changes to the default
Desktop output

Thx
Carla

FM 11/RH10 > Multiscreen HTML Output - making changes to the default Desktop output

FM11 - Delay with F8 and F9 applying formats

2013-04-01 Thread Martinek, Carla
Has anyone else noticed a delay when using F8/F9 for apply formats in FM11?

We set up the shortcuts for styles years ago so we only had to 1-3 keys for
applying them. It seems to me in FM11 with the format list popping up, there's
a 1/2 second or longer delay when trying to apply styles.

For example, we use the key combo F8b4ENTER to apply one of our bullet
styles. BUT.. in FM11, I've been ending up with our 1_Heading1 style (since its
first in line of style names) because the system is playing catch up. It's
registering F8, but then has to display the list, so b4 is missed and it just
registers the ENTER, applying the first style in the list.

RE: Where on Adobe is the info/link to renew my maintenance contract for FrameMaker?

2013-04-01 Thread Martinek, Carla
Syed -

I've been using Frame since 1991 (Frame 2.0.)

We've been evaluating MadCap Flare and were ready to switch, but when we looked
at FM11 and the new multi-HTML output that appears to be as easy as Flare, it
made us stop and take another look. We don't know which way we're going yet..
back into evaluation mode.

That said, MadCap being a smaller company is, in general, much more responsive
in regards to feature requests. Much like Frame Technologies (and DataLogics)
were in the early days with Frame. Their Platinum support plan is worth its
cost when you are first using it, and Flare imports Framemaker files directly.
However, my recent talk with an Adobe sales mgr letting them know we were
*seriously* evaluating a competitor seems to have gotten me better response
regarding some of the issues I've been having - more so than I've seen in
years.

Cost-wise, it may be worth it to you to look at the Adobe cloud-based
subscription model. That is supposed to include the latest versions whenever
released, but I haven't evaluated the overall cost on a yearly basis yet.

Hi, Kapil.

Okay, I just got off the phone with somebody in the FrameMaker team. Her
statement to me was that the Update Plan for FrameMaker is indeed either dead,
or essentially not available anymore to anybody who has less than 10,000 points
in the Adobe systems.

The bottom line: all users with few licenses are essentially shut out.

So, it seems that I did *not* get wrong information from the Adobe sales rep I
spoke to before!

For me, this means that FrameMaker 11 is the _last_ version I will ever use
(after having been on the FrameMaker wagon since 1988).

Because the version upgrade pricing has gotten way out of hand - from my
perspective, _most_ (almost all) of what I paid for with the FM 10 and FM 11
upgrades were bug-fixes for version 9 really!

At $399 for the last upgrade, this is simply not acceptable anymore. Even my
purchase of the 2 year update plan was for naught (based on my sign-up date for
the Update plan, I had to pay for the FM 11 version upgrade _separately_
anyway), since I have not seen FrameMaker 12 come out in that time.

I have already begun looking for alternatives and will make do without
FrameMaker as soon as we can finish this project - I suspect that my last
purchase of any FrameMaker-related product will be for Mif2Go to get all
current FrameMaker documents into some other tool.

Yes, I would like to get information - the last time, I bought a 2 year Update

Please do let me know who I can speak to about this (as an FYI, I did get an

Paragraph Tools is good value for money. You should also use Character
Tools for those pesky unused character styles and formats.

Alan

Although I am happy to recommend other tools, I should point out that my script
($80 and requires FrameScript) handles a lot of format types at once.
Here are the instructions from the script:

/*
This script changes cross-references, paragraphs, tables, user variables,
characters, etc. from one format to another.
You can optionally delete the old format from the document's catalog.

The script requires a batch file containing four columns.
Column 1 lists the type of format to find:
  X for cross-reference
  P for paragraph
  T for table
  V for variable
  C for character format
  CO for condition format
  MP for master page
  M for marker type
  CL for color

Column 2 lists the format to find, column 3 lists the format to change to, and
column 4 contains a Y if you want to delete the old format from the document's
catalog. If the format in column 3 does not exist in the document, the find
format will be renamed to the change format.

The enclosed FindChangeFormatBatch.fm can be used as a batch file.

To simply delete a format from the catalog, put its format type in column one,
its name in column 2, and a Y in column 4. Leave column 3 blank.

Format names are case-sensitive.

The script can be run on a single document, book, or folder (and subfolders).
The results of the script are recorded in a log which is saved in the same
folder as the book, document, or folder. It will have the same name as the book
or document, but with a .log extension. If you run it on a folder, the log will
be in that folder and be called FindChangeFormatsBatch.log.

FM11 output crashing - silentrobohtml.exe appcrash

2013-03-20 Thread Martinek, Carla
Ignore previous email... (responding to Rick's question)

We're looking at TCS4, trying to output one of our manuals using the default
Multiscreen HTML5 output targets.

I did this successfully once... but now with the exact same document, its
crashing with the following error:

RoboHelp command line did not execute successfully.
Details are that its an APPCRASH of silentrobohtml.exe

My coworker is having the same problem.

Any suggestions/solutions?

Need to get my FM11 styles under control

Although I am happy to recommend other tools, I should point out that my script
($80 and requires FrameScript) handles a lot of format types at once.
Here are the instructions from the script:

/*

Importing Variables into files in Groups or Folders

2011-08-12 Thread Martinek, Carla
Could someone else give this issue a try on their machine before I put a bug

Just looking for a third-party validation.

Thanks,

Subject: Importing Variables into files in Groups or Folders

I've got a FM10 book... up until very recently, we avoided using Groups or
Folders in the book file because we needed to use the Archive plugin, which
wasn't compatible. Rick Quatro's new script takes care of that problem, so I
grouped files for my 500+ file programming guide to make life easier.

I've just discovered that I can't import a user variable setting into any files
that are in a group or folder in the book. I've tried importing from a
top-level file, a file within a folder or group, and even setting a folder to
subscribe to a template file with the correct settings. Variables *will* import
into top-level files in the book without problem. Only files in groups/folders
are affected.

Coworker managed to discover that if the files in the folder/group are *open*
she could import variables, but not if closed. My system would not import
whether they were open or closed.

My system:
FM10 - 10.0.1.402
Win XP
Dell T5400 w/Intel Xeon E5405 @ 2GHz
3GB RAM

Coworker (working remotely)
New Dell engineering laptop (don't have exact specs, but it's at least as good
as my desktop)
Windows 7
FM10 - 10.0.1.402

Am I crazy? I can't believe I'm the first to find this problem, but I don't see
any mention of it in the archives.

Files stored on network drive

In my case, I found that a book file corrupted. I've also had random crashes
and can't think of anything unusual I've done.

I'd done nothing unusual - I tried to open a file within the book, and it
crashed. Repeatedly. I went to a backup of the file, replaced the original
file, and then tried opening it from the book again, and it crashed. I realized
that my book file was corrupted, so I had to create a new one.

My coworker gets random crashes, often when trying to do something with
conditional text. I haven't had to work with conditional text as much, so I'm
not seeing it.

FM 10 also appears to be slow on my system - much more so than FM9. I've run
both FM9 and FM10 on this same system.

If I have a business case, I can request an upgrade to Win7.

Files are legacy files that were updated from FM9 files.
Some files have been MIF-washed in FM10, but not all.

Could you give more details on your environment? Could you give some
details on how much RAM, how much free space; are the FM files and
graphics local or on a server, etc and what exactly do you mean
by simple tasks?

Are the files and books you're working with FM 10 files, or legacy
files that you rolled forward from earlier releases? If they did come
from earlier releases, did you MIF-wash the files in 10?

For the record, on Win 7 32 and 64 systems with 4-8 G RAM, I don't
remember the last time I had a 10 crash.

I and a few others fought this battle during the FM9 beta, and as a result
the SymbolSortingBeforeAlphaNumeric=On/Off parameter was added to the
maker.ini file so you could specify your preferred sort order (in FM8 and
older, symbols sorted before alpha/numeric - in FM9, they had them sorting
afterwards, unless you changed the parameter.)

Might not be a big issue to some people, but when you have shortcuts for the
F8 and F9 keys built into your style names, it plays havoc with what styles
are applied as compared to what you expect to be applied.

Book file crashing on opening

2010-12-16 Thread Martinek, Carla
Happening on multiple books, multiple systems.

Win XP - 32 and 64 bit systems
Frame 9.0p250

Trying to open the book and it crashes.

Error from the 64 bit system is:

Error from the 32 bit system is:
Internal Error: 9004, 5242201, 5220704, 6335918

The 64-bit system user is uninstalling plugins and trying it without, and then
reading slowly to see if any of them are the problem.

Any other ideas?

I stand corrected I was on p250, the 64-bit user is on p255.

So it's on both patches that we had trouble. And yes, the first thing I did was

Error: 9004, 5242025, 5220528, 6335630

Error from the 32 bit system is:
Internal Error: 9004, 5242201, 5220704, 6335918

The 64-bit system user is uninstalling plugins and trying it without, and then
reading slowly to see if any of them are the problem.

Any other ideas?

Book file crashing on opening

2010-12-16 Thread Martinek, Carla
I stand corrected I was on p250, the 64-bit user is on p255.

So it's on both patches that we had trouble. And yes, the first thing I did was
go to the forums.

Temporarily hide graphics?

2010-10-28 Thread Martinek, Carla
I'm paging through a very large, graphics-intense maintenance manual, checking
pagination, headers/footers, etc.

I'm having a brain cramp, and I thought there was a command that allowed you to
"turn off" graphics. This would allow you to page through the FM files quicker
in a doc such as this.

Help? Or am I mis-remembering this and thinking of another application?

PLM Publisher?

2010-06-11 Thread Martinek, Carla
Is anyone on the list familiar with PLM Publisher
(www.sinteg.chhttp://www.sinteg.ch)? I'm looking for feedback of any kind.

Their brochure for their FrameMaker product (they also do Quicksilver and
InDesign versions):

http://www.sinteg.ch/index.php?section=media1act=downloadpath=/media/archive1/file=plm_publisher_fm_broschure_en.pdf

PLM Publisher is a document authoring tool for content editing, management and
publication of complex documentations like manuals and catalogs. PLM Publisher
seamlessly binds Adobe FrameMaker with the Product Lifecycle and Document
Management Solution Oracle Agile PLM. It enables a streamlining of editing
processes. Technical writers are provided with a tool that can be used to
efficiently create and manage content modules (compound documents) and compile
them into an information network. A subsequent publishing process allows for
the production of various document types. Throughout all phases of the
documentation creation process, PLM Publisher proves to be a powerful tool that
supports technical writers in their daily work.

We use Agile PLM in our company, and one of the Agile gurus insisted that we
should be using Agile as the CMS to manage our FrameMaker docs. I laughed...
one of my manuals is 1100 pages, made up of 500+ topical files. There was NO
WAY I would be manually checking out that many files myself, and he couldn't
offer any kind of automated check-in/out for that quantity of files, at least
in a way that supported my needs.

However, I found this plug-in in my own searches, and have requested more info
from the company. Their website is shockingly sparse, which does not bode well
IMHO, but we'll see. Hence my request to all of you.

Dinner's on Me

2010-04-27 Thread Martinek, Carla
Seriously. :) If you're interested in helping me out, contact me OFF LIST.

We've been wanting to convert our content to DITA for a couple of years now.
This is one of my spare-time projects - and of course I never have any spare
time because we have three fewer people than we did three years ago, but more
products to document. I've done some webinars and one short seminar, been
through some books, but haven't converted any of my content yet. I've got
theoretical knowledge, but no real practical DITA XML experience.

However... I've just been informed that we will be meeting with Tech Support in
a week or two to work on finally getting all of our content into XML so we can
share it between the groups.

What I'm offering dinner for is someone who is well-versed in DITA and FM and
who is willing to convert some sample pages of our documentation (a few pages
from our programming guide, and a few pages from the user manual) so that I can
see what *my* content looks like as DITA. From that I can figure out my mapping
tables going forward. We don't have the budget to send our content out for
conversion, so I'll be starting with one guide at first and working from there
as we update. It's going to be a FUN year for me!!! (Can you hear the sarcasm?)
My first project will be an 1100-page programming guide. Fortunately, it's
about 500 files, each of which is a command, so it's very repetitive in its
structure. Get one command done, and I have the blueprint for the other 499.

Our source files are in FM9 (but I can provide FM8 if needed), and Structured
FM w/DITA will be our XML environment at this time. We use a LOT of
conditional text because the content is shared across multiple product lines.
We build chapters and books out of topical files, but content is not stored in
a CMS at this time.

Dinner will be in the form of a gift card for your favorite chain dinner place
(Applebee's, Fridays, Red Lobster, etc, you pick what works for you). This is
out of my pocket, not the company's, but it's to make my job easier going
forward.

RE: fonts in Frame9 on Win7

2009-11-17 Thread Martinek, Carla
-Original Message-
First of all, it groups all fonts of the same family together. For example,
all Arial is listed as one font, but if you click on that font, it opens a
window showing all the styles. For some Adobe font families, you might see
thirty-something typefaces that way and others, you might see several
separate groupings.

---

Sounds very much like what I remember on the Mac ages ago. Then again, that
could have been because we used Suitcase to manage fonts back then. (Absolutely
loved that program.)

It's still available, and on both Win and Mac...just wish I had a reason for
some creative font use instead of a rigid corporate template.

Running FM9 (and TCS2) on 64-bit systems

What about XP 64-bit versions? We need to upgrade systems to 64-bit to access

Upgrading the entire department to FM9 if necessary right now isn't an issue,

FrameMaker automatically runs properly in 32-bit mode in Vista 64-bit and
Windows 7
64-bit versions. There is nothing that you need to do to cause this to happen.

I have a problem with my cross references losing their formatting. In my
xrefs to chapters and sections, the chapter or section name has a
character format applied to make it blue. The format looks like this:

Hypertext$paratext, Default ¶ Fonton page\ $chapnum\+$pagenum

The Hypertext format is for blue text.

I am often finding that the xrefs are black text, not blue.
Generating/updating a book does not fix this. I have to open each
chapter and go to Edit - Update References to get the formatting
applied. And it doesn't stick. The next time I open the book or even
after I close the files and then print again, I lose the formatting.

This is a relatively recent phenomenon, so something probably changed,
but I can't imagine what.

I am using Frame 8, structured. If anyone has any ideas for where I
should look for a solution, I'd appreciate hearing from you. Constantly
fixing this stuff in the production cycle is a major pain.

Table Footnotes

2009-05-06 Thread Martinek, Carla
I haven't used table footnotes in ages, but I have a need for them in a
current document.

Am I losing my mind, or have they always appeared only at the *end* of
the table, even when it spans pages? Pretty darn inconvenient if you've
got a footnote on the first page of the table and have to go 2 pages
later to find out what it means...

I can't seem to find a setting to change this.

The table footnote separator frame on the reference page controls the
spacing below the table, and the position of the separator line within
the frame.

RE: Any up to date comparisons of Word and Frame

2009-04-09 Thread Martinek, Carla
You need to come up with a matrix of YOUR specific documentation
requirements, and work from that, as every comparison I'm aware of is
woefully out of date. You may want to start here for a list to work
from:

http://www.adobe.com/products/framemaker/comparison.html

Because everyone else in the company uses Word is not a good reason to
switch, but if you have to share files/content with other writers, that
would be a valid reason. (If your content is in XML, Word claims to
handle XML just fine, so that negates the need to switch.)

Just like engineers and programmers, you need the correct tools to do
the job efficiently. Programmers can write code using MS Word, and
engineers can create graphics in MS Word's graphic window, but there are
better ways to do it, and they are provided the proper tools. Emphasize
that you are also a professional with specific requirements to complete
your job.

One thing that seems to have remained consistent with Word is its
...quirky... numbering capabilities. Every Word document I've ever had
to work in eventually has numbering issues (and I've worked in it since
back in the DOS days...) This is a REAL problem in technical
documentation, where you often have complex numbering schemes, such as
substeps, numbering for tables and figures, etc. I can make it work in
Word, but I can guarantee it will take more time as you are continually
fixing things that shouldn't have had issues to start with. I estimate
that Word docs take 25-30% longer just because of the inherent issues.
Maybe the new version is better, but the version we have here at work is
just as annoying as ever.

I remember an anecdotal comment on the list a while back about Microsoft
using FrameMaker to publish their printed Word User Guide... not sure
if that's true, but if it is, that's rather telling in my mind that even
MS recognizes that Word is not suitable for long technical document
publishing.

"fixing" things that shouldn't have had issues to start with. I estimate
that Word docs take 25-30% longer just because of the inherent issues.
Maybe the new version is better, but the version we have here at work is
just as annoying as ever.

I remember an anecdotal comment on the list a while back about Microsoft
using FrameMaker to publish their printed Word User Guide... not sure
if that's true, but if it is, that's rather telling in my mind that even
MS recognizes that Word is not suitable for long technical document
publishing.

Not an option, as far as I know. Instead, I would create two separate

Use of a plugin such as MarkerWorker might help you in maintaining the

This may or may not help you in the future, but when I send files to the
translators, I use the Archive plugin to create a stand-alone copy of
the source files. I don't need to maintain the original directory
structure since I consider the translated guides to be a snapshot of a
particular development point, and will not be working in or editing the
translated guides once I get them back.

The Archive plugin is avialable from Bruce Foster at

I've included the description below.

Archive Plugin Description

Archive is a shareware plugin for FrameMaker that copies a book to an
archive directory and gathers all documents, referenced graphics, and
text insets for that book into the archive directory. All references in
the archived book are relative and point to documents, graphics, and
text insets under the archive directory. Archive does not change
references to documents that are not part of the book, and these
references can be absolute.

Once a book has been archived, you can zip the archive directory to
create a compressed archive of your book. You can also use this Archive
plugin to create a self-contained book, making it easy to move the book
and all necessary files to a new location without breaking references.

Archive will also archive a single document and its referenced objects.

If your documents reference two or more graphic files that have the same
filename but reside in different source directories, Archive will rename
the files when placing them into the archve. Each file with a duplicate
name added to the archive will be renamed from filename.xxx to
filenameNNN.xxx. Documents with identical filenames but different
pathnames and text insets with identical filenames but different
pathnames are treated similarly.

RE: re-use 101

2009-03-11 Thread Martinek, Carla
-Original Message-

I am using Frame 8. I have a set of seven manuals that are close to 100
pages each. Many sections of these manuals are identical, some sections
differ in detail in minor ways, and fewer sections differ in more
substantial ways. Currently they are all Frame books with each chapter
being its own file within the book. There is no re-use of anything at
the moment.

This is becoming increasingly burdensome to maintain, as a change to
something that appears in all seven manuals requires me to make that
change manually in all seven files. I would like to get to re-use, or
single-sourcing, but I'm puzzled as to how to get there. Would the best
strategy be:

(a) To use conditional text and generate several versions;

(b) To try and convert everything to XML and sew things together based
on individual XML files;

(c) Something else?
I have zero XML knowledge, and whenever I read about it, my head hurts.
I am willing to learn, but the benefit needs to be commensurate with the
pain involved in learning. I'm looking for the simplest solution that
allows for some common source material using my existing Frame
configuration. Ideas are appreciated.
Joel

Joel -

I'll give you *our* solution, but you need to determine what works for
you.

We have several product lines. Each product line has its own user guide,
maintenance manual, and quick reference guide. Because the products are
similar, they share much of the content. On top of the standard product
line, we have several custom variations of products for OEMs and
high-profile customers.

We broke our manuals apart into topical files (much like you'd do with
XML). In most cases, a topical file break came at the Heading1 level.
Within each topical file, if the content is similar enough, we use
conditional text to handle any small differences between procedures. If
a particular procedure is completely different between printers, then we
create a topical file just for that printer, and name the file
accordingly. (Example: topic1_printer1 and topic1_printer2.)

Use your book file to bring the topical files together. Our book
structure would look like this:

   Cover_page.fm
   Book_toc.fm

   Intro_front_page.fm
   Intro_topic1.fm
   Intro_topic2.fm

Chapter1_front_page.fm (contains chapter heading and intro paragraph,
and a mini-toc indicating what's in the chapter.)
   topic_1.fm
   topic_2.fm
   topic_3.fm
   topic_4_printer1.fm
   topic_5.fm

   Chapter2_front_page.fm
   topic_6.fm
   topic_7.fm

   IX.fm
   Back_cover.fm

This structure allows you to reuse content at the topical level across
multiple books. We have hundreds of topical files, and our conditional
text matrix has 80+ conditional text formats. When it comes to
conditional text, be logical and create your format structure before you
start applying it. In our case, we use a naming convention like this:

UG_printer1
UG_printer2
UG_printer3
(UG indicates the tagged content is for use in the User Guide of the
specific printer)

MM_printer1
MM_printer2
MM_printer3
(MM indicates the tagged content is for use in the Maintenance Manual of
the specific printer.)

We assign a color to a specific product line, and a format to a type of
manual.

Printer 1 is always purple. Printer 2 is always red, and so forth.
User Guide styles are underlined. Maintenance Manual styles are
overlined.

So... purple text with under- and over-lines is for Printer1 and both
the UG and the MM. Red text with underline is for Printer2 user guide
only. If you apply multiple printer conditions, you'll get the standard
magenta override conditional text format, but FM8 and higher allow you
to define custom tag formats for multiple conditional text expressions.
(We aren't doing that yet, but I know its there.)

For our running headers which reflect the Chapter title, we use markers.
The variable for running header/footer 1 references to marker1. You can
insert and conditionalize multiple markers in a single file, so a
topical file could be used in chapter1 of the UG, but chapter 4 of the
Maintenance Manual.

There's a lot of info here, but hopefully you can pull out the basics
and apply it to your situation if you determine that's the way you want
to go.

Our plan is to eventually move to DITA XML. The topical structure we're
using is a good basis for that.

Highlighting specific components in a graphic in a PDF

2009-03-05 Thread Martinek, Carla
Situation:
- Maintenance Manual for a printer.
- Framemaker 8 source files on WinXP.
- 2-D exploded diagram graphics pulled from the CAD system. Each diagram
has parts from multiple kits in it. Files created in CorelDraw and/or
Illustrator.
- Documents distributed via PDFs on a CD, although they are also
formatted for print.
- Currently using Acrobat 8 Pro.

The product manager wants the writer (not me) to draw boxes around the
various parts in the exploded diagram to highlight what's in specific
kits. (Never mind that the components of each kit are called out in
another section, with their own graphics..)

Instead of doing this and crowding up a graphic that already has bunches
of parts and lines, I'm thinking that there is a way to create a graphic
that when we mouse over a legend indicating different kit numbers, the
appropriate parts will highlight in the PDF.

Any suggestions?

Thanks,
Carla

Thanks,
Carla

There's no way to do this directly from your source document.

Create an import_from file using a new blank document. Import the master
pages from your current file into that document. In the import_from doc,
delete all the master pages until you have only the two master pages you
want to import into all the other files. Use this new file as your

FM 9 - Sort Order for Paragraphs, F8/F9 keyboard shortcuts

2009-01-21 Thread Martinek, Carla
One issue that came up during beta testing was the paragraph sort order.
Some of you may have noticed that it changed in one of the FM8 patches.
Many of us created templates that had style names in a particular order
so that we could make easy use of keyboard shortcuts.

Prior to FM8p277, these two styles would sort in this order:

   1_Heading1
   1k_HeadingKit

In FM8p277 and on, they sorted in this order (the underscore came at the
*end* of the sort list, instead of at the beginning):

   1k_HeadingKit
   1_Heading1

In FM9, the catalog sort order can be controlled in two ways through a
flag in maker.ini. The default behavior continues to what was introduced
with 8.0 p277 onwards but the old behavior can be achieved by toggling
this flag.

This can be done by switching the setting using
SymbolSortingBeforeAlphaNumeric=On in the maker.ini file.

===

You will notice that the F8 and F9 shortcuts DO NOT work the same as
previous versions. If you press F8 or F9, and then a letter or number,
you will go to the first style that starts with that character. In the
following example, pressing b would take you to the b1_body style.
However, previously I could press b3 to select the b3_bullet1 style.
Now you either have to press b three times, or press b and then the
down arrow twice to get to the b3 style.

b1_body1
b2_body2
b3_bullet1
b4_bullet2
c1_cellbody1

You may or may not find this inconvenient. In our case, this reduced
functionality has basically rendered the keyboard shortcuts useless for
many styles. To get to the c7 style, I'd have to press c seven times, or
c once and the down arrow six times. I might as well use the mouse at
that point. (If you find this intolerable, please let Adobe know. Now
that the release is out, perhaps they can go back and address this
problem and fix it in a patch release.)

OTHERWISE, I find most of the improvements to be quite nice, and most
Framers will be quite comfortable with the new features in a short time.

cross-file links are activated through a web browser (cross-file links
in a PDF stored in an intranet/internet site) linking

Notice that in some cases, internal links are transformed to cross-file
links, which reference the same file as a target. In such a case, links
within the same file won't work when the PDF is viewed through a web
browser.

As to your file lock/unlock issue...

I don't see a problem here, and experience the same behavior in FM7.2
and FM8.0.
In any case, the locking (view only) state has no implications on PDFs

Links should be tested in PDF, as links that work in FrameMaker may not

work in Acrobat).

RE: FM 9 - Sort Order for Paragraphs, F8/F9 keyboard shortcuts

2009-01-21 Thread Martinek, Carla
-Original Message-
This is really really bad. So what you're saying is that
it only responds to the first letter you press and if you
press the second it then jumps to the style that starts
with that, if there is one?

Exactly. If you type t2 and press enter, the first style starting
with a t will highlight, and then it switches to the first heading
style that starts with the number 2, and enter will select the 2
style.

Sorry, but I have never had any faith in Adobe's desire to listen.
In general our requests for changes have gone unheard/ignored.

We tried to tell them this during beta. According to the developers, FM9
is built on a whole new platform, and they were unable to duplicate
exactly some of the features we've used for years. They finally listened
when we told them that the para sort order was a big issue, and they
provided the option to change it in the last beta build. Several of us
said that the default setting for SymbolSortingBeforeAlphaNumeric in the
maker.ini file should be ON, not OFF, but at least we CAN change it.

I think that may well be a deal breaker for me - all the other good
stuff aside.

Please, file your comments with Adobe. Let them know that YOU find this
a deal-breaker, and why.

Now, all that said, a couple of the beta testers who write FrameScripts
said they could probably come up with a script to solve this issue. I'd
certainly pay for the script if they do.

Exactly. If you type "t2" and press enter, the first style starting
with a "t" will highlight, and then it switches to the first heading
style that starts with the number 2, and enter will select the "2"
style.

We tried to tell them this during beta. According to the developers, FM9
is built on a whole new platform, and they were unable to duplicate
exactly some of the features we've used for years. They finally listened
when we told them that the para sort order was a big issue, and they
provided the option to change it in the last beta build. Several of us
said that the default setting for SymbolSortingBeforeAlphaNumeric in the
maker.ini file should be ON, not OFF, but at least we CAN change it.

stuff aside.

Please, file your comments with Adobe. Let them know that YOU find this
a deal-breaker, and why.

Now, all that said, a couple of the beta testers who write FrameScripts
said they could probably come up with a script to solve this issue. I'd
certainly pay for the script if they do.
