Exactly right! Some of us seem to be forgetting what "X" in XML stands
for: "eXtensible".

The "XML Standard" does not enforce any particular set of tags for a
particular use - it was *exactly* this limitation/problem in HTML that
XML was designed/intended to avoid. As you mention, is is then the use
of the Schema (and the older DTD stuff) that defines the specifics for
any particular usage or application. This allows *any* XML editor to
read XML from FrameMaker (or other sources) without difficulty.

I have read FrameMaker XML into my other XML "editor" (I happen to use
XMLSpy from Altova for lots of other reasons - designing SOAP
interfaces, for example) without any issues whatsoever.

Same here ... I have not looked much, but, like you, I use FrameMaker 8
and Word 2007 (different purposes) and I definitely prefer FM to Word
for the table handling.

Is there some other product that works better for tables in documents?

I like the Scriptorium book a lot too.

My only regret is that they decided not to publish the "Structured
FrameMaker" version of it ... I hope that this happens sometime. I would

Scriptorium has a FrameMaker 8 book that we bought when we were still
considering the move to FrameMaker. By the time a decision was made, FM
9 was out. However, the book is still very useful as the differences
between 8 and 9 are mostly in the onscreen structure (ie, the "pods").
As far as functionality goes, I have found Scriptorium's book to be an
excellent tool.

I use ImgBurn for making CD's and DVD's ... and I believe it can make
ISO9660 and Joliet format, both of which should be readable on Mac
systems (AFAIK).

I also endorse EZVars ... its ability to allow me search for and convert
existing text to a variable throughout a document makes it great! It is
my second most used FM add-on ... just after BookVars to manage all the

Lief provided the shortcut (Ctrl+0), but I'll second Huntley's
recommendation of EZVars, which gives you a modeless dialog for picking
vars (like the pgf and char catalogs) and other nifty features like
converting existing instances of WeiRdCaPApp3 to a variable. Check it

With help from a respondee on this list, I found and fixed the missing
font problem. Sent out an e-mail about that! :)

Yes. Neither is being properly updated at this point. In my own books, I
have never had the content or the index file fail to get updated - this
is somewhat of a new experience (inspite of years of using FM!),
although I know others have seen it. I've been lucky! :)

1. The Contents .FM file is not updating when changes are made to the
header sections in the main document .FM file.
2. The Index .FM file is not updating from changes to any marker in the

Content) or the page number (in the Index), but clicking does not work
at all - there is no reload to the actual page.
4. Sidebar: clicking on links to web sites *inside* the main document do
cause my browser to be brought up, web site found, etc.

So, the problem appears to be in the Contents and Index files ... not in
the main document. So, I am going to focus on those areas.

Set Up Table of Contents. In the dialog, verify that the Include
Paragraphs Tagged list contains everything it should and note the

TOC setup, a pgf tagged with "heading 1" or "Heading1" won't be included
in the TOC. I'm not sure about "Heading 1 " (with a trailing space).

Index and any other marker type you've used for index entries. Then go
to your chapter files and examine the markers that should be generating
index entries, but aren't. Again, the marker type name must match

Thank you! You are absolutely correct. I found the source of the problem
based on your e-mail.

One of the MIF font structures showed the "FFamily" as Arial, but within
the *same* MIF font element, it listed the "FPostcriptName" as
"ArialMT". In another file, the "FFamily" was "Arial, but the
"FPostcriptName" was garbled.

Changing both those to "Arial" allows me to read the files in without
errors and then do the update.

Of course, now I have the content and index file generation problem, but
I will tackle that tomorrow - got other stuff to do right now.

Exactly! Yes, this is what has me stumped. I opened *all* the .FM files
(only four .FM files - two are the contents and index files that I want
to fix, only one has the missing font problem) that comprise the book,
ack'ing the substitution for two of them and still cannot do the update!

Agreed. In the past, this is where I have found such fonts, so that is
why I went into the MIF files to look for them ...

1. This book that is puzzling me does not have any graphics in any of
the .FM files in it. No PDF, no JPG, no FM graphics, etc.

2. I tried to search for the missing font family (that was reported in
the console) in the MIF output (of each .FM file) without any success.

So far, I am still stumped, but have had to pause for other stuff right
now - will get back to this in the afternoon.

The *real* problem is that I need to regen and fix the Contents and
Index files since they are not being updated when the book is being
updated (that is an issue in itself) - and so far this font problem is
getting in the way of *that* activity. Sigh ...

I vaguely remember that fonts can also be stored in graphic files-in
certain
graphic file formats.  If you have graphic files in your book, that
might be
a clue..

 

I encountered the same problem years earlier before but can't recall how

resolved it. I only remember frustration at looking "everywhere" for the
reference to the font and not finding it.

Hmmm ... now the console is telling me:

The "Arial" Font is not available.

Huhn?!? I know I have Arial, of course ... and if this font were not
available to begin with, how could FM 8 say "will be used in this
session"?

So the above is quite confusing to me now.

A MIF wash did not solve anything, turning off the 'missing font ...' in
the Preferences is not allowing me to come back and re-edit the file
without the error.

What am I doing wrong?

font" message on the console (saying that ArialMT is not available and
Arial will be used in its place - this is after I tell it to read in the
file and substitue).

So, I do so, and then save the file ... but it happens again on the very
next file open! Of course, I am unable to regen the contents and index
pages since "a font is unavailable".

I saved those two files in MIF format and searched for "FFamily" and
only see the following unique entries for font familes:












The MIF file does not even have the ArialMT entry to fix permanently!

What am I overlooking and how do I solve this issue?

pages since "a font is unavailable".

I saved those two files in MIF format and searched for "FFamily" and
only see the following unique entries for font familes:












The MIF file does not even have the ArialMT entry to fix permanently!

What am I overlooking and how do I solve this issue?

How to find "Unavailable Fonts"

Hi, all.

I am getting stumped with something I thought would be simple (has been
so in the past).

A contact sent me a book (in FM 7 format) that I am attempting to read
into FM 8 ... to fix a page numbering and contents/index problem.

Whenever I open two of the files in the book, I get an "Unavailable
font" message on the console (saying that ArialMT is not available and
Arial will be used in its place - this is after I tell it to read in the
file and substitue).

So, I do so, and then save the file ... but it happens again on the very
next file open! Of course, I am unable to regen the contents and index

FM indicates the file has been changed when opened ... (was from the thread on how to prevent empty pages in a book)

Indeed, yes! I have noticed this too and eventually figured it out the same as 
you did.

My instinctive reaction tends to be one of "Oops, did I enter a letter or 
keystroke somewhere into the file and now need to go fix?", since I also 
usually type Control-D, Control-M, Control-T, etc., to open up the various 
designer and other windows. With mouse clicks in between each, since the 
designer windows retain the focus when they are opened . I am never sure 
whether my keyboard and keystrokes might not have done the Right Thing™ to the 
file itself. :)

So, When checking older documents for content and text (where changes must NOT 
be made!), I am very careful now to:
(a) *not* save files that I opened for "looking" at, and
(b) when I open documents that I *am* working on, I immediately do a 
save so that I am sure of its state, or
(c) type a few control-Z's to make sure of the state of the document.

Hi, Nancy.

Re-saving a JPEG original as another JPEG can be "further" lossy
(compounding the initial drop in quality) ... you might want to make
sure that the image quality has not degraded too far. Assuming you did
not go back to the original image source material, of course!

You can introduce bits of fluff pixels in places that did not have them
before - particularly in sharp edges or steep color transition points.

Or you can save in another graphics format - like PNG - that is not
lossy.

and saved the file in the same format, and this time FrameMaker imported

Too late to help now, but it is for this *exact* reason that I use a variable 
for the "product name" and other similar "likely-to-change' information inside 
the document.

Then, using the BookVars tool from Leximation, life is greatly automated to 
make these kinds of changes! :)

As a temporary fix (I don't like this, by the way - since it is better to 
change the "golden master"), you could edit the PDF and change it in there 
directly ... headers would be relatively straightforward, but text inside the 
body might be tricky - particularly if you use justification, for example.

Agreed with the comments so far.

*Most* laptops that are more than a year or two old cannot even have
more than 4GB physically installed - the hardware does not allow it, and
a 32-bit OS reduces this to somewhere between 2.8GB and 3.7GB -
depending on the graphics card in there, the add-on hardware elements,
etc.

Even today, when you buy a "new" laptop, to get more than 4GB (most are
8GB max, but there is a 16GB Mobile Workstation laptop at Dell -
expensive), you have to make sure to pick the correct model! Else you
get limited to 4GB installed.

Then, as already mentioned, to take advantage of that extra memory, you
have to run a 64-bit OS. Which is generally okay nowadays, but you need
to make sure that what you use is also compatible, or you have to spend
time figuring things out and configuring applications accordingly
(Windows 7 does make this easier). Old 32-bit drivers are, however, a
problem. If a peripheral or app uses 32-bit drivers, you cannot use it
on a 64-bit OS.

Note that FrameMaker runs fine on a 64-bit OS.

Thank you all for this info!! It's very helpful.
I will return to the IT people and clarify this. They gave me the
impression that no laptop could handle more than 3GB.
I'm really much more efficient with a laptop as I'm also my kids
"chauffeur" so, I'm always on the move and would like/need to have the
most souped up gadget I can, while still in the company's budget.

Fred's correct, but I did notice that things changed slightly with W7.
W7 32 seems to be able to address about 3.6 or so of RAM -- I'd have to
check to get an exact figure, but it was a nicely larger chunk on my 4G
system.

But it should also be noted that only 3GB of memory can be accessed
directly if you are running a 32-bit version of Windows. It is pointless
to have more than 3GB of RAM (even if your system can physically and
electrically accommodate it) unless you are running a 64-bit Windows
version. But going from 2GB to 3GB can make a significant difference in
performance.

Hi, Diane.

I have over 700 variables in one of my documents ... no problem at all!
In case anyone wonders why I have so many: has to do with a set of
numeric values in one of my specs that are refered to in multiple places
- fwiw, it is better to be consistent everywhere, than wrong in even one
place! So, variables is the answer. :)

Anyway, the allowed number is therefore higher than that, I suspect.

I use a commercial "PDF-to-Word" tool and bring it into RTF, because the
Adobe PDF Professional "output as a RTF" is pretty darn useless, IMHO.

Yes, there is still some residual overhead in getting the FrameMaker doc
right, but much better than any other approach that I have found.

For a typical 100+ page document, the process takes me on the order of a
day or two to bring into FrameMaker. Then, life is fine for making
changes to the document - the usual reason for doing this process! :)

BTW, there are a nunmber of such PDF-to-Word tools available ... my
early experience some years ago was with one of the early ones: Nuance
(formerly scansoft) PDF Convertor Pro (www.nuance.com) so I have stuck
with it. YMMV, of course.

MarCom revived some old software...from the last millennium...really.

The only docs I have are in PDF and I need to get the content into
FrameMaker. I'd like to go to FM( with the original formatting and name

and it's a PITA. Word RTF adds all manner of wonkiness to the doc.

The usual Windows 7 User Account Control (UAC) "feature" asking for
permission to do something. It is less obtrusive in Windows 7 compared
to Vista, but ... still a pain sometimes.

If you are sure that Adobe is not messing with your computer when
installing FrameMaker, then the answer to this question should be "Yes".

Richard, you are absolutely correct!

I just tested EZVars as well, and the method works perfectly.

Using EZVars, combined with Sharon's "add the character tag" to a
variable recommendation:

(a) creates the new variable with the required minimum set of
font changes like italic and spread and
(b) properly searches for and substitutes the variable for the
text.

FWIW, my most heavily used plug-in is Leximation's BookVars (by a wide
margin) ... and EZTools's EZVars is next. :)

Sharon was absolutely correct about creating a variable. But there's a
"gotcha" with the Find/Replace strategy for replacing the company name
text with the variable: When you copy the variable (her step 5), you're
copying _that specific instance_ of the variable, including the
formatting of that instance (i.e., the formatting it inherits from the
pgf it's in). 

So if you copy an instance in body text, it works when you paste it into
body text, but when you paste it into a heading, it's the wrong size,
font, weight ... whatever. 

That's why I recommended EZVars from electropubs.com. It lets you
replace the company name text with a _new instance_ of the variable,
just as if you'd selected the text, selected Special > Variable, and
replaced the text with a variable. Give it a trial -- I think you'll
agree it's well worth the modest cost.

If for some reason you can't try EZVars, follow Sharon's instructions,
but in multiple stages. First, create and copy an instance of the
variable in body text and use it to replace all body text occurrences of
the company name. Then create and copy an instance of the variable in
your Heading 1 pgf and use it to replace Heading 1 occurrences of the
company name. Repeat for other pgf formats as necessary. 

Or, since there are probably far fewer replacements needed in headings,
etc., just use Find to select those and then use Special > Variable to
replace the text manually.

Hmmm, I use this feature *all* the time. My emphasis character tag only
applies italics to the selected characters ... and never messes with the
size or font or color!

I use it in titles, footnotes, body text, etc., (with different fonts
and sizes) without any difficulty.

My swag: are you not using the "Update All" button in the Character
Designer window when changing the definition for "emphasis" (after doing
the "Set Window to As Is" from the Command pull-down menu in that
Character Designer window)?

Sidebar: my only minor pet peeve is that I want my "emphasis" to be
selective: when the underlying *default* font is Regular, I want the
emphasis to be italic ... and vice-versa!

No such luck - I asked about this on this forum before and no-one had an
answer! :(

So, I use two character tags - one for paragraphs with Regular default
fonts (to make the emphasized text be italic) and one with paragraphs
with italic default fonts (to make the emphasized text be regular).

Overzealousness at its height, I suspect. Or a novice Administrator.

Installing an application with "allow running for all users" can be done
only as an Administrator if that is what he wants to control. It has
*nothing* to do with giving away Administrator rights or passwords, and
will not cause the user to miraculously gain new abilities to *install*
other software. It is a standard Windows (albeit optional) application
installation capability so that *all* users of a given system can run
programs installed by others (typically Administrators!)

Clearly, some applications (Photoshop in his example ...) select the
"allow run for all users" as their default (and the installer programs
don't ask apparently!) - and this guy is too much of a novice to
understand that, I suppose? Other applications use this optional feature
in Windows installations, (to restrict usage to a singel user for
example), and FrameMaker installation falls into this camp apparently.
Probably because of a different installer program being used by
FrameMaker.

There are probably some white papers, or explanations, of this optional
capability, available on the Microsoft web site I suppose. But this will
take time to research.

I think all he as to do ... as Administrator ... to fix this issue:

1. De-activate FrameMaker.
2. Uninstall FrameMaker.

This does not empower the non-Admin user of that system to do other
installations! Or to violate any security holes. Frankly, Adobe is not

Ok I just got off the phone with this guy. He doesn't like my

He wants to control what gets installed and downloaded on a machine so
he wants to do all installs and downloads as administrator rights. He
doesn't want to give this person administrator rights to run the
software in fear this person will download other things.
He installed photoshop and InDesign under these rules and they will open
up for the user rights. It's just Frame that won't. He wants me to get
with Adobe and have them fix this or get answers to his problem.

He just sent me a log dissertation on why windows administrators must do
what they are doing -- make everything tighter than bark on a tree.

Any other help appreciated.

Argh ... they should re-think this "possibility".

While I had been an early FrameMaker user (1988 ... on a Sun 3/50 mono
system), I stopped using it circa 1991 or so (although I beta-tested FM
5 in Windows - pre Adobe days - some years after that).

In this company (joined in 1996), I used to do everything in Word and it
worked pretty well until my documents started exceeding 50 to 60 to 70
pages each. Then, the frustrations of repeat crashes, lost edits, Word's
insane attempts to "think" for me and apply formats, etc., just got to
me. I switched [back] to FrameMaker for everything larger than 50 pages
some years back - version 6.0 as I recall - and have been a much happier
person since. :)

Now, I still churn out the occasional short document spec in Word -
particular if it starts out that way from the technical person who gave
me the input. But anything that I *know* is going to be long and/or need
proper, consistent formatting, etc., gets done in FrameMaker. Some of
the other folks here also use Word and have problems. Our Marketing
department tech writer also switched to FrameMaker some time back.

The assumption that switching these documents to Word will somehow make
the tasks easier, is seriously flawed logic.

There are lots of people here who have, over the years, experienced
problems with the "Save As PDF ..." method. So, it has become the
"normal" recommendation over time to avoid that.

However, there are some of us who have *not* had problems. In fact, I am
one of those who believes that the "Save As" capability works better and
more reliably for me ... and I have heard from others in the same vein
too!

FWIW, here is an old post from me to this list on the issue:

Hi, Rick.

 

I use "Shadow Protect" from www.storagecraft.com ... works very, very
well for me! Check out their 30 day trial version and you may be hooked.

 

Automatically, I do a weekly drive image on Monday mornings, hourly
backups during the day on every day of the rest of the week onto an
attached USB drive.

 

I can recover any version of a file up to an hour late max. The hourly
backup takes less than a minutes ... usually just a few seconds.

 

I *particular* like the ability to "mount" the backup image as a drive
and then can easily use Windows File Explorer or *any* file access tool
to get to the files I need - quite transparent!

 

The only limitation I have found is that if you try to restore a
complete image of a partition (due to a disk failure or something like
that), the new drive partition has to be as large (or larger) than the
original disk partition you backed up. Yes, there are some partition
"compression" tools available in the bootable CD bootable (for the
restore) to get a "smaller" image, but this only takes you down some
ways - this is a natural result if the original disk is fragmented. L

I have been using SVN/TortoiseSVN for some time now, and curiously
enough, it handles binary files well and seems to keep changes to them
rather than add separate issues of changed files. However SVN has no
knowledge of how to interpret the binary text files into text from
most applications, but with FrameMaker, that is no problem as FM has
its own comparison tool

My ten months experience says four thumbs up. Only take time to
carefully organize your file structure before you begin any serious
work with the SVN.

than a few days now.)

 

Hi, all.

 

I often update specifications and documents (all get a new version
number, etc.). Currently, I maintain these in separate folders for each
version of a given spec. Basically, one folder contains the .book and
all the .fm and image and other files necessary to generate the PDF for
particular version of the document.

 

But this can easily get out of hand ... one of my documents is at
version 22.7 for example, over the years! There are many duplicate image
and .fm files as a result of this - whatever does not change from
version to version.

 

It would be good to have a system that maintains the differences for me
and minimizes the number of duplicate files.

 

As it happens, we are considering changing to use Subversion for our
source code control system (see www.collabnet.com
  for more info) in our software development
group ... the earlier RCS stuff did not work well for me for FrameMaker
documents.

 

Hence my questions:

 

1.   Has anyone ever used Subversion for FrameMaker "document
control" (to maintain multiple versions of documents) purposes?

2.   How well does it handle "non-text" FrameMaker binary files
(like .book and .fm files)?

3.   How much did you like or dislike it?

4.   Would you recommend something else (instead of subversion) for
this purpose?

I also got an off-list message to that link. I have downloaded it from there.

Now, I just need to get past the next problem now: the activation did not work 
since I could not de-activate it from the previous system. I had already 
activated it twice due to a faulty drive some time back - which an Adobe person 
helped me with a temporary activation license. This particular FrameMaker 8 
download (says it on the site) *requires* the license key ... without any 30 
day trial period allowed apparently.

So, I have to call Adobe on Monday ... cannot work this weekend to catch up on 
late items. Mixed feelings there! :)

Argh ... the joy of being all legal and still having to jump through licensing 
and activation hoops because of piracy from others. Maddening!

My old laptop is not functioning and I need to migrate to a new one that
is now on my desk.

Unfortunately, I cannot find my FrameMaker 8 disks anywhere (although I
have the license info printed and saved away luckily) ... is there any
place on the Adobe web site that I can use to download the installation
file?

I can only see the FrameMaker 9 file on their site, but since I am not
yet using that ... unfortunately, it will not work.

My experience is the same as well - (FrameMaker 8 and the trial version
only of FrameMaker 9) - on a Windows 7 64-bit system.

The only reason I changed to Windows 7 32-bit (just yesterday) was
because I ran into a few missing driver issues with Windows 7 64-bit ...
and the Vista 64-bit versions of those drivers did not work for some
reason. But this decision was unrelated to FrameMaker in any way.

The occasional problems of being an early adopter ... sigh.

Ummm ... I am running Windows 7 (both 64 bit and 32 bit) on 2GB and 3GB
machines without any difficulty - but have not yet tried 1GB systems.

Faster and less of a load than Vista actually! :)

And, yes, Windows 7 is likely to be an XP killer ... finally! I find it
quicker and cleaner than XP.

have come to grief more than once.

Is there a way to change the variables in the Cover file (the first file in my 
book.fm) and have them carry over into all the remaining book files, without 
having to do anything more?

I know about the plug-in, "BookVars," but  I think someone mentioned a built-in 
capability in Frame along those lines.

Or did I dream that?

I worked at a place (Leading Edge computers, now defunct) a couple of

Did you mean Inconsolata-dk or Incolsolata-dz? I have not seen the
former ... just found the latter and will do some comparisons to my
current favorite (see below).

My fonts for printed technical documentation - these are always sent to
customers in PDF files:

1. Palatino Linotype for all body text. I used to use Palatino and
discovered an unusual spacing problem with copyright, registered and
trademark letters. The space after these characters is insufficient and
they are too close to the first character of the next word. I don't know
if others see it too and it is just a problem with the Palatino font I
have - I can provide a PDF sample if anyone wants.

2. Helvetica for all headers. I used to use Arial, but was clearly shown
(in this list! :)) that Helvetica looks a lot better in larger sizes
(like headers) and in printed form - better curves, etc.

3. Consolas for monospaced code examples, etc. I used to use Courier,
but after I discovered Consolas (in Word 2007) some years ago, I have
not looked back!

Hmmm .. I have not seen that posted before. It is not an issue as far as
I am concerned. I have FrameMaker 8.0 running fine under Vista 64-bit
and now using it on Windows 7 64-bit without any problems either.

Keep in mind that it is not necessarily obvious that the home-brew
system is at fault. It may simply be a matter of re-installing the OS
and applications if it is not too old a machine. What is the system
motherboard, how much memory does it have, what are the drives, how old
is it, what OS ... those may have specific relevance.

If your Mac is Intel-chip based, have you considered running Windows
under MacOS (using one of the programs on the market for this purpose)?
This may allow you to run FrameMaker and Acrobat in Windows on your Mac
hardware.

Separately, most of the Dell and Lenova and HP mid- to high-end desktop
systems will work fine for your needs. Their web-site configurators will
provide you the information. The issue to keep in mind is that a good
mid-range graphics cards will be important, particularly one with dual
DVI connectors, and lots of separate graphics memory (i.e., not using
main memory like the graphics chipsets on the motherboards).

If you get an Intel Core 2 Duo (or Core 2 Quad) system, running at
2.6GHz or higher, with 4GB of DDR2 RAM and 7200rpm drives (RAID 0 might
be a bit of overkill but easy enough to do), Windows Vista Business
64-bit, and something like an nVidia 9600GT card or better, you will
have *more* than enough power to run FrameMaker with excellent
performance. This should cost under $1000 or so ... depending on the
other options you want on it.

If you want more performance than pick one of the Intel i7 systems, (the
920 or 940 based).

As a Mac diehard, I resisted buying a Windows machine for a very long  
time. And then I bought a machine cobbled together by a neighbor, a  
self-described "computer expert." Bad idea. I have serious  
intermittent problems creating PDFs from within FrameMaker. About  
half the time, FM crashes when it hits a particular page. The page in  
question changes from day to day, sometimes from minute to minute. It  
isn't FM or the files -- they work fine on other machines. So it must  
be my "custom" computer. Time to get a real Windows box.

I'm looking for a desktop machine, not a laptop. Must be able to  
accommodate two 22" monitors. Can you recommend anything?

This is my practice as well, although I don't go to a complete text file. What 
I do is read the RTF into Frame and then "copy/paste-special" paragraphs and 
text into a new document, applying proper paragraph formats as I go.

Using my approach minimizes (but does not eliminate) overlooking formatting 
items (like emphasis in italics or bolding, underlining, , etc.) that were in 
the original Word document.

Word manual and moving to FrameMaker 9).

As a long time, highly skilled Word user, I know from experience that there is 
a mountain of invisible crap in the Word doc - so my best advice is to not 
import the Word document at all!

Instead, save the Word doc as a text file, open the text file in something like 
Notepad, then copy in the plain text and completely reformat the Frame doc from 
scratch. This may be more work in the short term, but you'll create a better 
template and avoid any hassles that importing Word files could cause down the 
road.

Yes, this means you have to deal with everything (graphics, master pages, etc) 
from scratch. But it also gives you the chance to begin your Frame career with 
a "best practices for FrameMaker" approach rather than a "I have to live with 
Word-defined stuff even though I'm now working in Frame" approach. 

I have no doubt this is taking me longer, but I am more confident about the 
results.

The procedures and best practices for importing Word files are still
the same as for earlier versions of Frame...
Usually, the best results are obtained by saving s RTF in Word and
opening that file... Graphics, if they're embedded in the Word file,
can be recreated by saving the Word as HTML, then they can be imported
by reference in Frame.

Probably the most important thing she needs to master quickly is the
idea of using a book to manage more smaller files...

I use PDF Convertor Pro for PDF->Word conversions ... works reasonably
well, but still needs a lot of cleaning up after the work is done.

Might be easier to use Mif2Go to wrote the RTF for Word, from FrameMaker

doc but it really looks awful and puts the text in weird chunks --
useable but not pretty. (Yes, we could use a real content management
system--we've already asked, and the answer has been an emphatic No.)

I started looking for applications that can create a good Word version
of a PDF, but thought I might ask here in case anyone is already using
one that they can highly recommend (something not expensive).

Folks, I have to ask if this is categorically true for everybody ...
because, my experience with "Save as PDF" to Acrobat has been just fine
over the years.

I have used all versions of FM 6, 7, and 8 (for FM 9, evaluation only
for a few weeks) with the various *similar* Acrobat generations
available at those times (including FM 7.2 with Acrobat 8) and have not
had any major difficulties with the "Save as PDF" from within FM.

(Other than the issue with having to change the paragraph tag settings -
one time for any given document - for the PDF generation back and forth
a few times till I get the sequence right and prevent the now-expected
FM crash. But that is a one-time frustration - albeit silly and
aggravating and I wish Adobe would fix it - with any given document and
any given version change of FM or Acrobat. After making the changes to
the settings for a document, when using a new version of FM, the "Save
as PDF" works perfectly for me from then on.)

In fact, having tried both "Save as PDF" and "Print to PDF" (only a few
times though), with "Save as PDF" I'd say I get better results, since it
gives me the heading markers and window automatically ... which I was
not able to figure out afterwards with "Print to PDF", so I gave up on
that fairly quickly.

Is this perhaps a case of "YMMV" rather than a clear problem for
*everybody*?

For this same reason, I leave my Windows default printer set to Adobe
PDF - no issues at all then. :)

As mentioned above, I leave my Windows default printer to Adobe PDF.
Then, I don't need to worry about FrameMaker settings.

Then, it depends on the purpose to print those few or more pages.

If it is to see/review what the end look/feel result will be, then it is
best to generate the few pages in PDF and print from within Acrobat -
shows the likely printed outcome eventually when the recipient of the
document will get it.

If it is just to proof the text (or some local purpose like an internal
review), then I just select the actual printer at that point and print
those pages and not worry about the look/feel till much later.

I was aware of the character format capability (I use them in numbering
for headings and text in the sidehead), but not the ability to select
them in equations. My experience with the equations editor is extremely
low - no reasons to use them till now! :)

I will try all this out as well.

I've got a vague recollection of a DOS command that would list all of
the files in a directory and it's subdirectories and pipe them to a txt
file, but its been err, well, a bit longer than a week or two since I've
used that command. 

I'm thinking it's something like 


Dir *.*  >list.txt 

That command would do a directory of everything in the folder and it's
subdirectories and pipe them to a txt file. 

Can someone help me with the correct syntax for the DOS command or an
easier way to do this with the magic of Windows (XP and Office 2003 in
case that makes a difference)? 

Plz reply directly as I'm on digest and kind of need to get crackin on
this today if at all possible.

Uh ... if you are showing a binary number above, this is not quite
right. The bits *within* the byte do not change their order in the two
common ENDIAN types. It is the *order* of the bytes within memory that
the processor accesses.

And, depending on whether you are accessing the memory in 16 bit words
or 32 bit words (and presumably nowadays, in 64 bit words) the outcome
is different.

Two final comments:

1. In my documents, I call it "byte order" rather than endianness. Much
simpler and cleaner. KISS applies!

2. The term comes from Gulliver's Travels in Lilliput. The two countries
could not agree on which "end" of the egg to crack first - the big or
the little. Hence two camps ... same as in the computing world! :)

I've implemented Alfresco Community Network 2.1.0 as a "Customer Portal"
for this very purpose.  This version is no longer available for
download, however, I suspect the latest version of Alfresco will perform
just as well. If you want to stick with 2.1.0 I can email you the
tarball I used.  With respect to Alfresco Community 2.1.0.

Once the Alfresco application is installed and running, you will need to
add user accounts for each internal employee and external customer. Then
you'll want to configure each user's "space" (aka directory, or folder)
with the appropriate access control rights.  At a minimum you'll
probably want to remove the group "EVERYONE" from having "consumer"
(read-only) access.

After that, you'll then need to create one or more content rules to
email the appropriate users.  The rule will execute based on one or more
conditions.  Based on the context of your email, I suspect you'll want
to use the "Inbound" condition as the trigger to email one ore more
users.  Once the rule is in place, it can be modified, disabled, or
deleted. 

So, in short, it's pretty simple to configure Alfresco to perform the
tasks you desire.   On the other hand, depending on your IT
infrastructure, there may be considerable effort to install and maintain
the Alfresco application.  Here are a few things you'll need to address
during your installation: access to your email SMTP server,  web-site
firewall rules, CPU and memory allocation for the Apache Tomcat Server
used by Alfresco,  port conflicts with existing website, database type,
and hard disk storage capacity for your content.

Sorry for the off-topic, but sorta-related question.

Does anyone have experience with the Alfresco system (www.alfresco.com)
for use with distribution of documents? If so, can you comment on that
(or other competitive products, etc.)?

Here is the the context:

We do most of our Technical documentation in FrameMaker, our Marketing
collateral in Word and Publisher predominantly. All our distribution is
in Acrobat PDF format though, other than the printed collateral.

Our technical documents are uploaded to our web site, in a system that
is password-protected for our customers to get access to the technical
docs. The problem I am attempting to address is: "automatic
notification" to internal company people as well as customers that a new
document is available. We had an experience recently that a Customer was
using an old document and was not aware that a more recent one was
available at our site.

I have been told that Alfresco can solve this and other similar
"problems", but I'd like to get some insight before I spend a lot of
time on this particular product, since it seems overly complex for the
task.

RE: FM9 Buggy UI Behavior

I use a similar, albeit older, laptop - it is a Dell 820 with a nVidia
Quadro 120 graphics card and an external Dell 24" LCD (at 1920 x 1200)
and do not remember seeing these screen artifacts when I trialed FM 9.
Since my trial license has expired, I cannot test again ... L

 

One other thought perhaps: I do have 2GB of memory ... how much does
your laptop have? Since these graphics cards only have 256MB on board,
they have to use some system memory when displaying full-screen stuff
and if you do not have enough memory in your laptop, this may be
swapping to the disk and creating the artifacts you see. This is a SWAG
though!

 

Otherwise, I am at a loss to explain the problems ... sorry!

I did try switching to the single screen mode on the external monitor.
It had no affect. Also, I've noticed that the GUI distortions only occur
when I maximize the FM window and/or change the workspace while the FM
window is maximized. If the FM window isn't fully maximized, then the
GUI distortions do not occur when I change the workspaces.

Here are the specs.

-DVI connector 
-Dell E228WFP LCD Monitor
-Lap top: Dell Latitude D630
-Graphics card: NVIDIA Quadro NVS 135M

If you do end up creating a graphic, then the best tool for this is from
Xara Corporation.

Check out www.xara.com for more information ... their Xara3D 6 will do
this and much more for text stuff - including outstanding and easy
shadow generation (for text and graphical objects).

The price ($29 for the download version) is excellent for what it does,
and they are having some sort of combined product sale right now (as I
recall) too.

What you are talking about is a graphic. Which is bad news. You would 
need to create the graphic for each chapter number.

IF you are lucky you might find a suitable font. But I wouldn't count on

I would start by removing Adobe Type Manager from her system. It is an
old, essentially unsupported Adobe product and was not *really* intended
to be used after Windows NT or Windows 2000 (I forget which). ATM may be
interacting improperly with the built-in font support inside Windows XP.

Frankly, the font control and support inside the newer operating systems
are better than what you can get with ATM, since that has not been
touched in ages by Adobe.

We use FM 7.0 p578 on Win XP, SP 3.
 
My coworker recently had Acrobat 9 Standard installed on her computer,
then the hard drive was cloned into a new box and the operating system
was reinstalled. So we don't really know what caused the problem.
 
For some FM documents, which she has worked on many times before, she
has two different problems, which we don't know to be related, but
started at the same time:
 
1. When she opens the file FM gives a message that it can't find the
font Arial Black, even though we can see it in the Windows font
directory and it shows up in the FM font list as well. She allows the
substitute and moves on.
 
2. If she tries to save the file with the same or a different name
she gets this message "An internal error occurred while writing imported
graphics in this document. The file has been saved, but has lost some
image data. Please report this error to Adobe Technical Support." What
gets saved is a file like "***.814".
 
I can open the same document on my machine, which has the same versions
of FM and Windows, but Acrobat 7 Pro. She has Adobe Type Manager
installed, which I don't.
 
The IT guy is busy reinstalling FM 7.0, which is all we could think of
to try.
 
Are there any ideas or suggestions out there?

I had this happen too ... indeed strange. I did not bother to check to

Other similar possibilities:

1. Print/save the file as a TIF image (all font info disappears) and use
an OCR on that.

2. Try one of the PDF to Word convertors - I have had decent luck with
PDF Converter Professional from Scansoft (now called Nuance, as I
recall). I don't know what it would do on missing/corrupted fonts
though. Roger, if you want me to give this a shot on a small version of
the file, please feel free to e-mail some of the pages (extracted from
the PDF) to me and I will give it a shot.

Adobe does seriously need to fix PDF generation from FrameMaker, IMHO.

Is this still true for FrameMaker 9? (I have not checked this yet for
the trial version that I install a few days onto a Windows 7 system
here).

If still true, *when* should we expect it to happen? Frankly, the
inability to easily and reliably generate PDF from FrameMaker is
something that has been present far too long! And this issue needed to
be addressed *way* sooner than the fancy front-end that has been
released in FrameMaker 9. It is one of my pet peeves with FrameMaker
although I love the *program* otherwise (been using it - off and on -
since 1988 on a Sun 3/50)!

When I went back to using FrameMaker some years back, *every* time I
have done a FrameMaker version upgrade (from 6.0 to my current 8.0 -
every version!), I have had to reset the parameters and options I use
for the PDF generation process with Acrobat (also have all recent
versions). For the *same* set of books - and the settings are different
for each book! This last time, I had to turn Paragraph Tags on for one
large document for the process to work with FrameMaker 8 - the last
time, I had to turn it off for FM 7.2 for the very same document. To
avoid FrameMaker crashes or correctly generate the PDF output (without
missing tables or duplicated pages containing long tables)! I suspect
that I will have to do it again with FrameMaker 9 when I get there. :(

And, even now, with FrameMaker 8 and Acrobat 9, when I generate a PDF
from one of my documents, it still annoys me that I have to open the PDF
output in Acrobat and set properties that I *should* be able to feed
into it from FrameMaker. Better integration of FrameMaker and Acrobat
and/or far more control of the PDF generation from FrameMaker would be a
real blessing! Since I do relatively frequent PDF generation (it is for
specifications that tend to change relatively often, and I send out
review copies in PDF format), this just adds delays and occasional
"oops, forgot to set the property" moments!

So ... the real QUESTION: when do you/Adobe expect the Adobe FrameMaker
software developers to learn how to use the Acrobat SDK, libraries,
etc., and "do it right"? Please feel free to pass the question on to
whoever is in charge of FrameMaker development!

If any document needs *that* many independent counters, then it is
probably too complicated for the audience to follow the numbering
anyway! :)

I think that KISS should be applied. I know that I have paragraph
numbering up the wazoo in my tech specs, but 12 counters have been more
than sufficient for even my most complex docs!

I did do some testing on this a few years back (on FM6), and found that
there are, in fact, a few reserved characters that you *cannot* use. As
I recall, the left angle bracket, the equals sign, the plus sign, and
the colon were among the reserved characters that cannot be used for
series labels. But even if you avoid most of the strange or confusing
punctuation marks and any character pairs that are easily mistaken
(e.g., l and 1, O and 0), you still can define more than 60 independent
numbering series, which should be enough for most uses.

The Microsoft mouse drivers (built into the Intellipoint stuff) from
version 6.0 onwards - currently at version 6.3 - worked very well for me
for the scroll wheel support inside FrameMaker.

With FrameMaker 7.2 and 8.0. on Windows XP SP2, SP3 and I am now on
Windows Vista.

I was going to test FrameMaker 9 on Windows 7 beta next week - will
check mouse scrolling there.

As you noted, the built-in support in Adobe Acrobat has, to write the
PDF in Word format, is pretty darn limited for any serious documents.

I have used PDF Convertor Professional (from www.nuance.com) to read PDF
files into Word with much better results. However, the results STILL
require a LOT of editing to get it to look close to the original.

You are better off (wasting the time perhaps) convincing the client that
they are making a serious mistake. However, if they are willing to pay
you for all this fixup work, then it is their decision, I suppose.

I also *highly* recommend the Microsoft Natural keyboard. I have the
classic fore-arm repetitive motion induced pain problems, and this is
the *only* keyboard that I can use for hours and still be okay with
driving home that evening and being able to grip and turn the steering
wheel!

I recommend "Publishing Fundamentals: Unstructured FrameMaker 8", by
Sarah S. O'Keefe and Sheila A. Loring.

You can get the printed book and the PDF, from www.scriptorium.com. This
is an excellent book, even if you are using FrameMaker 7 and not version
8. Their previous book on 7 called "Publishing Fundamentals: FrameMaker
7" is available too, but might as well get this new one instead, IMHO.

My only strong disappoint is that they decided not to publish the
planned (and announced) companion book on Structured FrameMaker! I hope
this decision gets reversed in the future.

We require the reviewers to be clear in what they want! :)

Separate, but related, all our technical documentation and specs contain
the following paragraph near the beginning:

Key Words

The key words "must", "must not", "required", "shall", "shall
not", "should", "should not", "recommended", "may", and "optional" in
this document are to be interpreted as described in 'Aeris Key Words to
Indicate Requirement Levels'.

And the "Aeris..." document above - as well as these words used in the
specs - is heavily based on RFC 2119 (available here:
http://www.ietf.org/rfc/rfc2119.txt?number=2119). I.e., we follow the
RFC guidelines cleanly.

Then, people doing the document reviews internally here - before release
- have learned to mark their comments accordingly. The use of the word
"must" and "should" are particularly important - people often use
"should" when they mean "must"!

Marketing docs and collateral do not contain the words mentioned above,
of course, but our reviewers know to mark them the same way. :)

Both the Agilent examples are good demonstrations of how to do a
screen-readable PDF. Very nice!

The funniest part of this, though, is that I have the original printed
version (of the AN-91-1 document only, not the second one) before the
concept of PDF formats even existed! :) It was *totally* different in
the look, of course!

Now, I just have to dig it out ... it is hiding somewhere in my garage.
If I get a chance, I will scan it in and put it up somewhere for people
to look as well.

Yup! But you don't have to go all the way to Ultimate 64. Just as an FYI, there 
is a Vista Business 64 available as well - a tiny bit cheaper, and still 
supports 4GB (and more) memory.

 

One of the reasons I asked about 64 bit operation a few weeks/months ago on 
this list. J Unfortunately, due to some other driver reasons, I could not 
install that (I had both 32 and 64 bit Vista Business upgrade disks available). 
But I will see if I can do that in the near future since I will be changing my 
laptop for a faster version in a few months - it is acting a bit flaky and 
locking up on me occasionally.

Hi, Rick.

In the recent past, after I upgraded to Vista, I examined the actual
physical (i.e., not paged to disk) memory being used while I have had
some large FM documents open, and that was not an issue, as far as I
could tell.

However, I was thinking of bumping the memory up anyway, so I will try
that as an option and also see if it has any effect on the issue
described below - the local Fry's Electronics is having a sale on
notebook memory: 4GB for $35 plus tax right now. Not bad at all!

I *think* (not sure though) that FM seems to check *every* time the

that it moves through. So, it slows down even when simply moving along
the same paragraph for example.

This pretty much sums up what I saw with some testing too, but I did not
go to the level of detail that you have done here!

I think that the constant "refresh" of information inside the Para and
Char Designer boxes is what causes the slowdown.

1. If the Paragraph Designer is the only palette open, it takes 8

seconds to scroll.

3. If any of the other palettes are open alone, it takes only 2-seconds
to scroll, which is about what I expect.

Opening palettes in combination slows the scroll rate further. There are
six palettes that I like to have open: the Paragraph Designer, Character
Designer, and Table Designer, and  the Paragraph Catalog, Character
Catalog, and Tool palette. I've discovered that two of these are causing
the issue. Here are some notes:

1. If all six palettes are open, it takes about 13 seconds to scroll
across a 50-character column by holding down the right arrow key. Yikes!
Too slow!

2. If I then close the Paragraph Designer, it only takes about 5 seconds
to scroll across the column.

3. If I also close the Character Designer, it drops to around 2 seconds.
That's about as it should be.

4. Closing any or all of the remaining palettes also results in a
2-second normal scroll rate.

So the slowness problem appears to be linked to having  the Paragraph
Designer and Character Designer palettes. Hopefully, this issue will be
fixed with FrameMaker 9. Yes, I'm an optimist. :)

clobbers
my editing speed. It's repeatable on my machine.
Every computer architecture is different. So I just found a weak spot in

I agree completely! Last December, I bought their suite of three tools
(Xara Extreme 4, Webstyle 4, and Xara 3D 6) for $119 as I recall
(special for the holidays) and it was money well spent, IMHO. I liked it
to the point where I decided not expense it to my company and just
license it myself (so I can keep it eventually!)

I think the combined software is still available from less than the
total of all three. However, for me, the Webstyle product is not one I
would continue to use, but the others are very useful indeed.

Very, very true!

I am an old school writer and was taught to get the content down *first*
... before spending any time on the look and feel and format!

In this day and age of WYSIWYG editing programs, we have forgotten this
concept. So, writing a document takes much longer ... as we *constantly*
adjust the formatting while entering the content.

The less-or-equal and greater-or-equal symbols only exist in the
Unicode version of Arial (at code points 2264 and 2265), and there 
are a bunch of niggling details (and maybe a few not so niggling ones) 
regarding Unicode that don't yet work properly in FrameMaker 8.0, 
which is the first version that supports Unicode at all.
 
The most reliable approach to incorporating these symbols is the
old-fashioned way, by using the appropriate characters in the 
Symbol font, which occupy code points in the base range. The
easiest approach is to use the Windows shortcut for special 
characters: hold down the Alt key and then type the 4-digit 
character code on the numeric keypad. For the less-or-equal 
symbol the character code is 0163, and for greater-or-equal
the character code is 0179. And of course you have to format 
the character as Symbol rather than Arial (which will produce a 
pound Sterling symbol or a superscript 3 at the specified code 
points).

Years ago, I wrote a little DOS command utility that changes one string to 
another on a large set of files, without having to open each one in an editor.

It is a very limited program (in that you have to be careful to NOT have an 
overlap in the "from" and "to" strings" and you have to be certain that you 
want all the changes everywhere!), but I have used it for this exact purpose on 
a number of occasions (not just on MIF files). If anyone wants a copy, please 
let me know off the list.

Probably the best way is through MIF.
 
You could use a program like TextPad, shareware from www.textpad.com (or $35US 
if you like it), and open all of your MIF files at one time, versus opening and 
closing each MIF in something like Notepad.

Foor book-level variables control, I *strongly* recommend the BookVars
plugin by Leximation! I use this all the time for my documents - it is
the best add-on I have for FrameMaker.

RE: FM 8 upgrade woes: some solutions

Sorry to hear about the problems you have had, but ... I guess everyone
has their own particular experiences that will differ.

On both my older XP system, and now my rebuilt Vista system, FM 8
crashes FAR less frequently than FM 7 (any of the 7.0, 7.1 or 7.2
versions).

I find it to be much more stable and consistent and am glad I upgraded.

Ummm ... I think the "1(a) to 1(c)" is best. The "1(a...c)" is a bit too
unusual looking and *could* lead to confusion. The "1(a)...(c)" is not
bad, but the missing '1' before the 'c' makes it a *bit* less appealing.

BTW, *sometimes*, I have gotten carried away and used, in similar
situations, constructs like "1(a) through 1(c)" or even "1(a) through to
1(c)", but these are both overkill ... particularly when the 'c' is not
too "far away" from 'a', if you know what I mean! :)

Ah! I think I was not clear. I meant, that if a person has already
upgraded to FM8.0 on their system, then I don't get the reason for that
*same* person to keep FM7.2 on their system as well! I.e., why keep
*both* versions on that particular persons system?

Separately, your point about not *needing* to upgrade from 7.2 to 8 is,
of course, well-taken!

Curiosity question: I see a number of people keeping FM7.2 on their
systems. Why? Wouldn't it be simpler to go to FM8 and be done with it? I
don't have a need to send .fm or .book files to people, but if I did, I
could save it in FM7.2 format if needed (as far as I recall) from within

That is what happened to me effectively. I used their licensing approach
to put one copy on my laptop and another on my home PC - where I
occasionally do work on the files (no one else uses either system). This
became a problem when my laptop hard drive became flaky.

I am not sure I understand this exactly. Do you mean that when you did
an FM update (from like version 8 to version 8.0.1 or later) on an
installations, the activation problem is no longer a problem? How?

True. I have been buying FM from them (well, actually Frame Technology
first) since version 3 (on a Sun UNIX platform) way back when,
beta-tested the first Windows release, and have all the license keys
handy to provide if I ever needed to! :)

I do not know about FM 7.2 and Vista - so maybe Dov can comment on that.

 

But, at least, I can now confirm that FrameMaker 8 runs fine on Vista 32
bit. J The look and feel of the windows and pop-ups is a bit different,
but that has to do with Vista being different from XP ... not
FrameMaker.

Just out of curiosity, does Frame 7.2 run on either Vista 32 or or
64-bit? I need a new PC, and will probably have to go to Vista, but my

Thanks for the info! I use Acrobat Pro 9, so that should be okay. But, I
do have to re-install Acrobat next. And, deal with the activation
problem there ... :(

By the way, I loaded FrameMaker 8 and told it not to load its built-in
PDF support ... under the assumption that the subsequent load of Acrobat
Pro 9 would be all that I need to do. Was this the right decision? I
hope to find this out before I call Adobe for the Acrobat activation
issues ...

Also, I ended up *not* loading Vista 64-bit for other reasons yesterday,
but I am glad to know that it would have been fine to do so if I had!
FWIW, I doubt that there would have been any performance improvement
with 64 bit Vista on the typical 100 to 300 page books I working on for,
so I decide not to hassle with it for now.

Actually you should first "deactivate" them and then uninstall them.
Failure to do that will probably cause major issues in terms of
activating them again on your "rebuilt" system.

Understood! I kinda did not have a choice in this matter. The OS was
locking up in reboots, and would not really allow me to bring up
FrameMaker and Acrobat and deactivate them cleanly. Although I did have
one opportunity to do so on Sunday when the system stayed up for a while
... but, I was hoping that the system was okay and did not need a
rebuild.

The joys of "activation", I guess! :(

Luckily, nope. I did a clean install of Vista into a new disk, so there
was no OS loaded there from before.

That ended up being what I had to do to cure the problem ... John Posada
stated the same thing. The Adobe "Live Chat" person was not able to help
me, because FrameMaker somehow got messed up enough that it would not
start up. I had to reboot, deinstall, delete the installation directory
and do a clean install from the CD. Then, I was able to get to a screen
where a live phone call to the activation people got me going again.

Sigh ...
