Instructions for GST India

Has anyone successfully setup GNUcash for GST India?
Since 1 July 2017, we have changed our tax System to an unified Goods and  
Service Tax, having the slabs of 0%, 5%, 12%, 18% and 28% as per the item  
or service.
I have read a few mail list archives of setting up GST for Australia, but  
has anyone done so in India?

If so, could they provide instructions?

Question on multiple layered searches and exporting

I have not used internet chat feeds in 30 years so bear with me as I 
relearn how.  I found partial answers to my questions all over the web 
but; nothing that worked for me using the exported reports in other 
programs.


Anyway questions at hand.  I am using GNUCash 2.16.7 for Windoze 10.  I 
need to to generate some specialized reports that are not supported.


So my questions are:

1)  Is there anyway I can make each search I do output it's results to a 
new tab so I do not have to start all over after getting 5 layers deep 
in a search if I screw up?


2) Is there an easier way to get an editable exported document from any 
of the reports, including searches?  The only way to print them properly 
seems to be convert to HTML then print.  I on occasion need to add them 
to Open Office Documents and I have yet to find a way to do this on 
short notice.  Export to open office file type would be wonderful great 
option in my case.

Recording a stock demerger....

Folks,

I'd like to understand how one goes about recording a stock demerger
transaction in GNU cash.
I'd been owning X shares of a company A, which underwent a demerger, which
resulted in all
shareowners of company A, getting shares in Company B in the ratio of 1:1.
So I end up
with X shares each in both company A and B. The cost of acquisition is to
be taken as 60:40%
of the pre demerger cost of acquisition of company A.

I can not record this as a split, since it involves a new company B.
I can not record this as a transfer, since there is no change in the number
of shares in company A
post the demerger (Its just that the acquisition price changes). How do I
handle this?

recovering accounting system

Help!  My computer crashed and I was forced to clean install windows 10.  I do  
have backups.  I have loaded Gnucash exe back onto my machine.  However, I can 
not locate the previous files I had for my accounting.  Where is the data I 
previously had and how do I “point” my new Gnucash program to this data for 
recovery?  

What are the extensions I am looking for? Where are they likely to be found in 
the system? How do I bring my “new”  Gnucash to that location so that I can 
continue my accounting?

Scheduled transactions for part year

New to gnucash so finding it a bit difficult to get my head round details
Council tax (UK property tax) is paid by 10 regular monthly payments each
year (i.e. 2 months with no payment).  Can this be done with scheduled
transactions and if so how - or would it be simpler to reset it each year?

Hi,

It's good you made backups! That will simplify the recovery quite a bit!

Gnucash data is simply stored in a file, just like you would save a word or 
excel document. The only difference is that gnucash opens the last used file 
automatically.

The way to tell gnucash to open that file again is like with any other 
program:
- either you double-click on the data file and gnucash will open it (and 
remember it for next time)
- you start gnucash, choose File->Open and navigate to your data file 
somewhere on your hard drive.

As to where this file may be, that depends entirely on where you saved it when 
you first created the file. Gnucash doesn't decide this for you. You have been 
asked to the first time where to save it.

If you don't remember, search for files with the '.gnucash' extension on your 
backups, which is the normal extension for your gnucash files.

I don't think there will be a way to export gnucash data directly to open 
office format any time soon. Hower you probably don't need that as you can 
open the html file directly in open office. Sevarl users have reported doing 
this successfully already.

I set it monthly, and put annual reminders in my calendar to delete
the transactions after they have gone in. I have not found a better
way, though that does not mean that there is not a better way.

The good news is that in gnucash 2.8 this will no longer be an issue. The more 
recent webkit2 being used does properly handle page breaks.

The bad news is our Windows version of gnucash 2.8 will stick with webkit1 as 
webkit2 is not available there. So unfortunately on Windows the page breaks 
will continue to be borked. For now there is no solution to this.

No... usually you would search transactions for quick lookups ("warranty
claim... when did I buy the dishwasher?") rather than for regular analysis
which are better done by specialised transaction reports.

FWIW Excel has better handling of dollars and numbers.

Other than the obvious one to not use Windows.
That may sound like a flippant comment, but actually it is not
difficult to move to something like Ubuntu unless you absolutely need
an application that is only available on Windows. I did it some years
ago and have never regretted it. It is great to feel that one is back
in control of one's PC again.

Hi Ian,

I also let the SX for council tax run forever, and just "remember" that the 
feb & march transactions are to be deleted once they have been created, then 
edit the template transaction each year when the new bill is issued.

I'm fairly sure, though, that you can set up a SX to be created say 10 times 
only - in the SX editor, try the "Occurrences" section in the "Overview" tab 
for that particular SX.

This seems to show exactly what my report produced :-)

And the attached chart of accounts seems to fit the bill.

Just make sure you assign the correct tax account per multisplit
transaction.

In my updated report you can merge all input tax and output tax columns
into a 'total tax collected' 'total tax paid' column. See Display tab.

Don't forget to double check your bookkeeping with a licensed accountant.

Easy, I do this all the time when preparing quarterly reports for the 
boards of the organizations for which I keep books. For the simple 
reason that there is a lot of editing to be done and that is FAR easier 
to do under the control of a general purpose editor than writing scheme 
(custom reports) within gnucash.


steps:
a) Export the RAW report from gnucash. You know have a file in HTML format.
b) Open that, select all, copy.
c) Paste "unformatted" into your text document under open office, 
libreoffice, whatever.

d) Edit to your heart's content.
 Understand, HERE is where you control where pages break, what 
fonts and sizes you want, what zero amounts to purge from the report or 
what levels of details you might need to reporting purposes but the 
board doesn't want to see, add annotations and footnotes and any 
necessary fixed text.


 As a retired rather senior systems analyst, I could of course have 
learned scheme (I can at least read LISP) but an experienced accountant 
told me "Mike, don't bother. Do the editing OUTSIDE of gnuash. Any 
experienced accountant would choose to do it that way using their 
favorite genera purpose editor."

As a continuation/clarification of Geert's remarks...

If you do end up doing a search for files with the .gnucash extension, you
will likely see many files with names like
mydata.gnucash.20170324180307.gnucash in addition to mydata.gnucash. The
long ones with the timestamp in the name are backups that gnucash
automatically generates, capturing the state of the transactions at that
timestamp. These are useful for data recovery in case you can't read the
root mydata.gnucash file.

For clarification, "mydata" is arbitrary; you would have given it a name
when you created it that's probably more meaningful than "mydata".

I would not recommend opening up the backup files and using them directly
in gnucash without renaming them first. Otherwise, you'll get backup files
with names like
mydata.gnucash.20170324180307.gnucash.20170806153245.gnucash, and who wants
that?

Simple enough. 

Overview tab:
For: 10 occurrences

Frequency tab:
Frequency: monthly
Start date = 2017-04-15
Every: 1 month
On the: 15th except on weekends: use next weekday

Other settings (create in advance etc) to taste.

Each year reset the start date (and amount!).

Other than the obvious one to not use Windows.
That may sound like a flippant comment, but actually it is not
difficult to move to something like Ubuntu unless you absolutely need
an application that is only available on Windows. I did it some years
ago and have never regretted it. It is great to feel that one is back
in control of one's PC again.

smart thing to do, for many reasons.  Unfortunately I am still stuck with
some legacy WidoZe apps for which there are no replacements, yet.  Once I
can find suitable replacements for them I will happily remove the only
legally available computer virus in the world from my computer and go
strictly with a UNIX box.  

You have no idea how happy I was when I discovered GnuCash and it's very
unrelated distant cousin GnuCash for Android.

Since I do not want to take a chance on wiping my windows boot drive just
yet I think I will take your suggestions and try running a copy of Ubuntu in
a VMware box and printing reports from there.  Simple enough to get access
to a copy of my data files.

this happens on my mac too. it's very annoying. i have done the suggestions
others have offered but they are time consuming and a report should break
between lines. i've tried exporting into numbers or excel and then i have
to fiddle with the columns. i've tried shrinking the amount and sometimes
it works and sometimes not.

i haven't loaded the newest version so maybe it's been fixed.if so, many
thanks.

Last several times I tried directly importing a report as HTML I ended up
spending more time reformatting the page than I would have just typing it in
in the first place.  I either did something wrong in the import or I just
got frustrated with the short time frame I had to work in.

Besides you tend to get lazy as you get older.

Mac always has had better printing capability, that is the reason my class
mates always fought over the one and only one available to us when I was
getting my Masters degree, way back in the dark-ages of computers. 

Reducing print size has no effect on the split lines at pagination on
Windoze.  Or my issue of importing into Open Office.

However; You might just be a genius.

I need to find a legacy version of Adobe Acrobat reader for Micro$soft and
also find out if GNU Cash locks the PDF exported file.  If the file is not
locked then I might just be able to export the file from Acrobat Reader
intact complete with formatting just as I did with the Beef newsletter from
my local extension office.

The formatting of the newsletter was a lot simpler but; if this works then I
get the text without the mangled formatting of HTML.  Graphics are easy
enough to grab with right click and save if I have to.

It is curious that this form is not in the list.  For tax related accounts
that cannot be assigned to the proper form you could just mark the account
as tax related without the form assignment, and it will be in the report
where you will at least be reminded to include it in your filing.

GnuCash Files names

There is something I don't understand in the file names used by
GnuCash.

I must miss something...:-(
Today I save the file as usual when exiting (today is >2017-07-20< and
the file name used by GnuCash was:)

den.gnucash.20161107142750.gnucash.20161201140745.gnucash.20170208132409.gnucash.20170209101150.gnucash

What is even more strange is the fact that this file name NEVER change. 
It's always the same and not related to the date.

The normal term for this is "a spin-off".

You can use the split assistant for it. Create the new security and account 
first, then do the split in the "parent" stock with the assistant. I don't 
remember off hand whether you can designate a different stock for the new 
shares; if you can't then just create them in the parent stock and edit the 
resulting transaction so that the spun-off shares are in the new account.

You should get a letter from the parent company with the new share prices 
immediately after the spin-off. Go to Tools>Price Editor and create prices for 
the day of the spin-off reflecting those new share prices. Keep the letter 
until n years after you sell both stocks (if you ever do) where n is the 
records retention period required in your tax jurisdiction (7 years in the US).

You probably also have a "den.gnucash", a
"den.gnucash.20161107142750.gnucash", a
"den.gnucash.20161107142750.gnucash.20161201140745.gnucash",
and a

as well.

When you are using GnuCash to work on the file "foo.gnucash", GnuCash will
periodically save a backup file with the name
"foo.gnucash..gnucash". It is easy to get lots of these backup
files with varying timestamps in your data directory.

If you open up the backup file instead of your original data file, so you
are working on "foo.gnucash..gnucash", GnuCash will create
backup files with the name
"foo.gnucash..gnucash..gnucash". If you decide to
use that backup file instead of either your original data file or the first
backup file, you'll get three timestamps in the filename. It appears that
you ended up working on the backup of the backup of the backup of the
backup (for a total of 4 timestamps).

This can be a problem if you have been putting transactions into the
original file after you first started using the backup file instead. In
that case, there are unique transactions in two different files that have
to get (manually) merged.

If you are satisfied that the den.gnucash.20161107142750.gnu
cash.20161201140745.gnucash.20170208132409.gnucash.20170209101150.gnucash
file is complete and accurate, then I would suggest renaming it to
something simpler (like den2.gnucash) and deleting all the other gnucash
files that are confusing things.

There is a setting that controls how often it makes a backup, and how long
it keeps them around.

The US Income Tax reporting and exporting-to-txf capabilities in gnucash
are based on txf codes that have not been maintained for many years. As of
the last report I have of txf codes, dated 2004, no code exists for Form
8825 line 14, while at that time there were codes for the other line items
on that Form, so I couldn't include it in the system. If you are aware of a
txf code for this line, please let me know and I can add it.

I would like at some time to replace the existing tax reporting mechanism
with a more robust and extensible one that can be updated and possibly be
used for other taxing jurisdictions (i.e., other countries). But I am not
going to do that for some time because I have other higher priority items
that I want to work on first.

Meanwhile, you can still set up the accounts to capture the information. It
just won't show up on the tax report or be included in any txf exports you
may feed into TurboTax. You will have to enter those few items directly
into TurboTax via their GUI based on other gnucash reports.

If you have any updated information on the codes TurboTax uses for
interfaces, I would very much appreciate getting it. I don't have access to
a recent copy since I don't personally use it.

to use that backup file instead of either your original data file or 
the first backup file, you'll get three timestamps in the filename. It 
appears that you ended up working on the backup of the backup of the 
backup of the backup (for a total of 4 timestamps).


This can be a problem if you have been putting transactions into the 
original file after you first started using the backup file instead. 
In that case, there are unique transactions in two different files 
that have to get (manually) merged.


If you are satisfied that the 
den.gnucash.20161107142750.gnucash.20161201140745.gnucash.20170208132409.gnucash.20170209101150.gnucash 
file is complete and accurate, then I would suggest renaming it to 
something simpler (like den2.gnucash) and deleting all the other 
gnucash files that are confusing things.


There is a setting that controls how often it makes a backup, and how 
long it keeps them around.

Capital One 360

2017-08-09 Thread Dennis Powless
I just found out that Capital One 360 no longer allows downloading of
transactions, it seems they cited security reasons.

Anyone else come across this with other banks?

Rather than renaming the current working file I suggest using File >
Save As to save it with the new name (make sure you are saving to the
right directory). Then when you open Gnucash the next time it will
automatically re-open that file.

Hi,

IMHO Using the stock split assistant adds no value to this process and just 
wastes your time figuring out what it does. It doesn't allow you to specify 
the new stock you have acquired.

I suggest just setting up the new stock as though you bought it.
If the value of your old stock has reduced but you still have the same no of

shares, you can record the loss of value in a Return of Capital transaction 
(see the manual). The Return of Capital will be correctly handled by the 
Advanced Portfolio Report but will cause the Trial Balance to go out of 
balance.

In my uses of this, the old stock has reduced in value by the same amount as

the value of the new stock, so I've made the other side of both transactions

to a dummy account (either a bank or equity account). I.e. Return of Capital

of old stock to a dummy account, buy the new stock from the dummy account.

While I'd be happy to hear of a better way to do this, I've extensively 
investigated this, so no half-baked suggestions please. :-)

I've been using GnuCash to manage my company's books for almost a year
now.  Recently, my primary customer (whom I have little control over)
started mixing several reimbursements into one check.  So the history of
events goes like this:

15th: Send Invoice for services rendered this month
25th: Receive check for Invoice amount *plus*:
    - Any reimbursable expenses approved before the 9th
    - Any per-diem accrued to date

The kicker is that I have no idea which expenses are going to be
reimbursed this pay period, nor do I know how much per-diem they
calculated I should get (based on travel requests).  So I can't reflect
any of that when I cut the Invoice.

How on Earth do I track this correctly given the lack of information at
Invoice time?

Hi Martijn,

Gnucash is capable of supporting both cash and accrual accounting. The
business features (accounts receivable and accounts payable) are explicitly
accrual accounting based however as they record the income at the time the
invoice is created  normally on the date the service is rendered to the
client. 

The difference is primarily one of the date of the recording of the
transaction. In accrual accounting the timing of reporting the transaction
in your accounts is set primarily by when the transaction is entered into
i.e. when the agreement to perform the transaction is reached whereas cash
accounting is based on when the cash actually changes hands which, as in
your case can frequently, be some time later.

To do cash accounting in Gnucash you would have to not use the business
features and only record the transaction in your accounts when the payment
is received from the medical insurers. This would require a separate system
for recording your invoices to customers. It would be possible to maintain
two sets of books one on a cash basis and the other on an accrual basis but
this would require a lot of extra work.

Whether you can use cash accounting  will normally be determined by the
business and tax legislation in your jurisdiction(country). Some
jurisdictions have a threshold in turnover, below which you can apply to use
cash accounting and some require use of accrual accounting. 

Writing off the balance of the invoice seems like a reasonable approach
after receiving the medical insurance payment if the balance is
uncollectable. Again your local business and tax legislation can impact on
how this should be done and when and it would be a good idea to consult an
accountant locally who is experienced in your industry about how to best
handle this in your jurisdiction.

Have you looked at other reports other than the P&L e.g. Cash Flow to give
you a better idea of money flow particularly from a business management
point of view rather than just the tax perspective.

Your account of the treatment of a business loan is correct with regard to
the tax treatment in most juridictions. The principal component of the loan
repayment is still taxable as income. The principal component is recorded as
a reduction in the liability the loan represents to the business. As this
matches the reduction in assets that the principal component represents, it
does not affect your equ

That's the point of my reply - I believe there is no later TXF spec. It has
been abandoned by it's original creator, Intuit, in favor of a proprietary
solution. That's why we can't do anything.

I'm looking at my Capital One 360 account right now, and there's a
"download" button on the page.

I'm presented with a way to choose the length of time and to choose
among CSV, OFX, and QFX.

I run Gnucash on a Mac, but under VirtualBox with Ubuntu. That way, my data is 
stashed on a virtual disk for security and it’s a cleaner environment.
