Hi All,

I'd like to join an upcoming meeting to talk about newcomers initiatives
and social events. I filled out one of the framadate polls, but I'm not
sure which one. Would it be possible to join an upcoming meeting? I'm in
California along with Britt, so anything before 14:00 UTC (7:00 am my time)
would be hard for me to make. I'm happy to add my vote to an upcoming
framadate poll, so just let me know when to do so!

[guadec-list] Checking on our deadlines

We have a deadline fast approaching, our CfP and registration are supposed
to open on March 1st... that's next week!

I've added comments to some of the GitLab tickets
<https://gitlab.gnome.org/Community/Engagement/GUADEC/boards>, but it looks
like we will really  need all hands on deck to meet the deadline for next
week.

Can anyone work on the website text this weekend or early next week? We
will need someone from the local team to help supply information (e.g.
local phone numbers, travel info, etc), so *@Ismael*, do you know who on
the local team can help?

*@Kat and Alexandre*, since we're going with last year's reg software, do
you know next steps on that?

I'm including the deadlines we discussed during our Feb 8th call

Cool. I haven't used meet.jit.si in a while now but when I was using it
before, we had a lot of trouble when more than a few people were joining
the calls, which is why we looked for alternatives. Totally happy to use it
though!

Is there a usual meeting URL that we use for GUADEC meetings? If not, can
someone please create one and send it to this list so we can join on
Thursday at 18:00 UTC?

I made the proposal. The kanban board view is:  https://gitlab.gnome.org/
Community/Engagement/GUADEC/boards just FYI. I migrated a single issue
manually just so that there's something in there.

I just added Kat and Alexandre to the dev board -- feel free to play around
with it. If anyone else wants me to add them, just let me know. Ismael,
Kat, and Alexandre can also add people.

I agree. I've asked for some flat versions.

Besides that, is there any version in there you like best so we can explore

Would you want to do a call as well, Allan? Eh, eh? :) So far nobody has 
offered to lead a high level chat, and I don't feel qualified to hold one on my 
own... though I'd be interested in listening in to what will be discussed.

IIRC, putting them in own cloud makes them only accessible to people who have 
an account / are foundation members. I think there's a setting to make files 
public, but I'm not sure how to do it. I'll try to fiddle around with the 
settings once I have time. 

Once the assets are ready for use, I'll for sure use owncloud. For now, if 
anyone else has time to put these prototypes on owncloud, feel free. 

What I really need is quick feedback on these since the designer is working on 
them some more today. I was going to just embed the images in the email but 
thought the email would be too large.

In particular, is there a better way to handle the attributions for the
pictures I included? Perhaps we add them all at the bottom, or leave them
embedded in the picture metadata as it is now?

I wanted to add a caption to the Cathedral picture so that people wouldn't
think that was the meeting place for the tour -- but once I added that
caption, I thought the others may need one as well.

Anyway, let me know what you think, or feel free to edit it yourself!

We were hoping to do a 20th birthday logo to print on stickers, t-shirts,
and maybe some other merchandise, as well as to post on social media. Here

After looking at Plans A - D on that page, I propose the following:

*Friday:*
- Plan A: games and picnic in the park

*Saturday: *
- 20th Bday Party

*Sunday:*
- Plan B: football game and dinner (could plan football directly after
GUADEC closes, then dinner around 20:00. The women's dinner would be an
option at that time)

AND

- Plan D: pub/drinks at night (could start around 22:00)


 I know there were issues booking venues though. Could you please add any
information about issues we're hitting into the wiki page? Maybe we can
help brainstorm alternatives.

Hi GUADEC team,

I was hoping to help organize the annual women's dinner at GUADEC this year
and wanted to be mindful of some of the feedback we received last year, and
also see if this year's GUADEC team would be able to help us with some
on-the-ground logistics.

I've included some of the feedback we received last year below and have
highlighted some actions to be taken as a result. Does anyone have any
other feedback we should keep in mind as we organize this event?

Looking at Trip Advisor, I found two restaurants that might work for this
event since they seem to be able to accommodate large groups and you can

There are two pieces of feedback from last year that especially come to
mind:

   1. *Announcing the dinner at GUADEC*: It would be great if we could
   include the women's dinner information when we announce other social events
   that will take place at GUADEC. However, we should give other groups an
   opportunity to announce their social events as well.

   *Why:* Last year there was a discussion around the women's group being
   given special preference over other groups to announce their social events.
   Perhaps opening up a time slot to allow other groups to announce their
   social events could help make sure that other groups don't feel
   discriminated against.

   *How:* We could do something like email the engagement and/or foundation
   lists to see if any groups have social events they want announced at
   GUADEC, or something along those lines.

   2. *Inviting people in-person*: We should refrain from inviting people
   to the women's dinner in-person since this can be quite awkward for
   attendees.

   *Why: *Last year, we tried inviting people we thought identified as
   women to the dinner. This put some attendees in an awkward situation.

   *How: *Perhaps we can have a place at the venue that lists the social
   events happening throughout the conference? This would allow other groups
   to give exposure to their events and would also allow people who are new to
   GUADEC/didn't see the announcement about a women's dinner before to sign
   up.

links (linkedin, twitter) at the time of registration so that people can
network a bit more before and after the conference? It was a suggestion
made by one of the new attendees at GUADEC 2016.

Hi team,

How do we make sure that speakers are ok with us recording them at GUADEC?
I've only spoken at GUADEC once and don't remember if there's something
every speaker must agree to, but I assume there is.

If anyone has an example of the language we use handy, it'd be awesome if
you could forward it. We've been talking about a larger photo policy for
events and I'd love to see examples of other places where we address
similar topics.
