 We have the contact details to the right person and organisation
 (FFKP) but the foundation needs to sign the contract with them first.

 The board OKed the contract with FFKP just the other day. Sent the contract
 to Jonas at FFKP to OK the last amendments on his side.
 I'll put the dates for the BOFs/Hackfests (Aug 10-12) on the website.

Can you forward me or connect with the person at FFKP? I need a soft
copy of their letter head and the signing person's name/email/cell to
be prepared in the template.

(FFKP) but the foundation needs to sign the contract with them first.
From my understanding this is something that should happen very soon
(the board may even have taken a decision about it).

Note that on the last local team meetings Visa Letters have been a
standing agenda item so news about Visa Letters is made public when we
publish the meeting notes, which we do on the GUADEC 2015 wiki [3].

The invitation letter situation was a big mess last year and resulted
in https://wiki.gnome.org/Travel/Invitations

I suggest that someone on the local team is nominated to be an
invitation letter coordinator. The letter will either need to be
signed by the Foundation president or by one of the local team
members. Whoever is nominated will need to liaise between the board,
local team and, when needed, the Travel Committee.
