When I attach a document to the source detail, I add a FileID that matches the
file name without the file extension.

My system was presented a few years ago by Geoff. It should be in the Legacy
News archives.

It's the white box near the top of the screen that has a Search button

I'm looking at the Legacy NEWS Archives, not messages.  Someone mentioned a
topic Geoff covered in Legacy News "a few years back" and I thought I'd look for
it.  But it looks like I will have to Subscribe to/thru Feedblitz to get access
to old issues...?

Did you not find what you were looking for when I replied?

Go to the Legacy website www.LegacyFamilyTree.com > News > Daily News
and just below the "Subscribe Me" button on the right is the Search
box.

You can also browse by month and year or by topics - just keep scrolling down.

Re: [LegacyUG] Legacy News Archives----was: Source Name Filing System

2011-09-02 Thread cranberryfrog
I just looked at the page Geoff suggested and I pretty much do the "third
approach" other than I don't give the documents a file number (I haven't
used the ID field in Legacy but that is still an option). I have binders
for the different types of documents and then I file them alphabetically
within the binder. I put labels on the outside of the sheet protector
(upper right corner) with all of the info so that I can easily flip through
and find what I am looking for (trying to strain your eyes on each documents
to find the right one is a bit much, even if they are in alphabetical
order).

2011-09-02 Thread cranberryfrog
Here are a couple examples. I put the year of birth/death to differentiate
between people with the same name. Women are filed under their maiden name.
Marriages are filed under the husband's name.

Simmons, Celia D. [1872-1943]
Death Certificate
Forrest Co, MS
23 Sep 1943

Glaentzer, Peter [1874-1940]
Birth Certificate
Köln, Nordrhein-Westfalen, Germany
14 Jan 1874

Lewis, John [1801-1880]
Will
Columbia Co, GA
20 Jun 1868

Miles, James Edward [1879-1950]
Lewis, Eva Mae [1891-1969]
Marriage License
Columbia Co, GA
24 Dec 1908

Silas Simmons [1794-1856]
Compiled Service Record, War of 1812

Morris, Needham William, Jr. [1859-1949]
Family Bible

[some things don't have locations because they aren’t applicable]

With the labels in the upper right hand corner on the outside of the sheet
protectors, I can flip through a book quickly since they are in alphabetical
order.

You could easily adapt this to the system Geoff described in the Legacy
newsletter by adding a distinct file name to each document like Birth 001
and then you could put that in the file ID field in Legacy which would give
you a cross reference.

Did I forget to say that each TYPE of document goes in a different binder?
I have a 3 inch binders for

Birth Records (birth certificates, newspaper announcements, etc.)
Death Records (death certificates, obits, funeral cards etc.)
Marriage Records (certificates/licenses/bonds, newspaper announcements etc.)
Bible Records (copies of pages and transcriptions)
Military Records (pensions, compiled service records, discharge from draft
etc.)
Education Records (diplomas, reports cards etc.)
Wills and Probate (wills, administrations etc.)
Church Records (member lists, church minutes etc.)
Social Security Records (SS-5 apps)
Land Records (land patents, headright plats, bounty land)
Deeds (NON land transaction deeds)
Court Records (guardianship bonds, jury lists, etc.)

I use A-Z tab dividers to even make it easier to find what I am looking for.
When I get to many to fit into the 3 inch binder, I split them between two
binders A-N, M-Z)

Sherry,
I think I found it.  It says "Search This Site" with a radio button indicating
legacynews.typepad.com

But when I type in something and click "search" I end up on a Google results

Oh, I see... scroll down on the Legacy News page... I will try some of those
"topic" links and see if I can search from there.

Whew! I am nowhere near ready to go straight alphabetical even within document
type, let along that just assign a number to the document approach!  All my
information is family-oriented and that's how I think of my ancestors (family
groups), so I'm going to keep things that way.  Thanks though for all the
details.

Here are a couple examples.  I put the year of birth/death to differentiate
between people with the same name.  Women are filed under their maiden name.
Marriages are filed under the husband's name.

Simmons, Celia D. [1872-1943]
Death Certificate
Forrest Co, MS
23 Sep 1943

Glaentzer, Peter [1874-1940]
Birth Certificate
Köln, Nordrhein-Westfalen, Germany
14 Jan 1874

Lewis, John [1801-1880]
Will
Columbia Co, GA
20 Jun 1868

Miles, James Edward [1879-1950]
Lewis, Eva Mae [1891-1969]
Marriage License
Columbia Co, GA
24 Dec 1908

Silas Simmons [1794-1856]
Compiled Service Record, War of 1812

Morris, Needham William, Jr. [1859-1949]
Family Bible

[some things don't have locations because they aren’t applicable]

With the labels in the upper right hand corner on the outside of the sheet
protectors, I can flip through a book quickly since they are in alphabetical
order.

You could easily adapt this to the system Geoff described in the Legacy
newsletter by adding a distinct file name to each document like Birth 001
and then you could put that in the file ID field in Legacy which would give
you a cross reference.

I started with manila folders by Surname, and that is where my documents still
are. I have 6 four drawer file cabinets. I now have some surnames using over a
dozen manila folders.

Compose your filing system the way you understand best. Don't worry about how
others do it, unless you like the same suggestions they give.

Re: [LegacyUG] Legacy News Archives----was: Source Name Filing System

2011-09-05 Thread Paula Ryburn
Thx, Rich.  That's what I like about this list.  I've received suggestions that
cover the entire spectrum!  I like to work on my research "by family" and I
tend to share information with others "by family line" ... could not imagine
having to pull out almost every binder to show a cousin the relevent original
documents for our common ancestor.

I'm using color-coded binders right now, not manila folders--and six colors
instead of four.  And it's comments like yours that keep my perspective:  When
I'm feeling over-whelmed, I remember that my database size is small compared to
many of you! ;)
