I agree it is a good idea with this kind of examples.

I am still in the process of setting up a lot of structure, so I don't have 
something very illustrative to share yet.

I assume those "roles" you found are inspired by Covey's 7 habits or 
something?

Anyway, there are many "lenses" one can apply on life. It can be good for 
focus to make these kind of "silos" such as work/private or any kind of 
more refined look. 
This helps in most tools, because some sort of zoom/focus/filtering is 
available.

Also, if one has a job with any sort of administrative- or office element 
to it, there will be different (types of) communication lines for action 
items (electronic or physical). E.g. separate mail systems and of course 
separate ways to receive physical messages and particles too.
That speaks a lot for separating work from private. In reality, my 
"private" is overarching everything else. And a particular work/job would 
be a subset of it.
So I might separate them as "parallel" in a task management tool but in 
reality they overlap. For work, the high level strategic planning merges 
with my private career/entrepreneur plans.

Anyway - my view is that no matter what silos or compartments are applied, 
there will always be some level of overlap. And in most cases, it is useful 
to be able to reflect that.
So while an overall folder structure can separate them for "zooming" etc., 
I use contexts with inheritance to signify it also.
This way, if I am doing e.g. a private project with something, I can also 
tag it with something under "Work" if I find it relevant.

The votes are still out on how to do this best with the tool(s) though. The 
most "practical" would be to be able to completely work with "zoomed views" 
into each compartment. But I doubt I can "get away with that" because of 
the overlaps.

My personal structure is not final (I start from the perspective of 
"private" first) - but "Work" will just be one of several "life activity 
areas". Spiritual growth and family/love relationships are just as 
important and will have their own area as well.

I use flags to "cherry pick" from my active actions. They describe the time 
horizon (Today most important; Today; Tomorrow; Week; Weekend; Week_Next 
etc. etc.).
That's my closest equivalent of something where I can jot down and chart 
out my day.

I really appreciate this - didn't get to mention it earlier.
It is a BIG value add for me and I have been looking forward to it ever 
since I noted the plans about it.

I use the flags to control the time horizon of tasks I have initiated / 
committed to. As in, Today (most important); Today; Tomorrow; Week; 
Weekend; Week_Next; Month and the like.
This is a crucial element of making MLO an OPERATIONAL tool for me and not 
just a project planning tool.
It has made it possible to use MLO down to the level of "rubber hits the 
road" and not just planning and overview and prioritizing.

I was never able to just work off the computed scores list for active 
actions - I have way too many things going on. Also, in order to keep 
focus, I need the equivalent of writing a list of the day with the things I 
want to do. To sort of make it firm (but still have it electronic - because 
half of it slides anyway and other things are taking over).

I gave up on MLO first time around, a couple of years ago because I didn't 
find a way to do this. Knowing it was on the way for Android, I set out to 
make it work on desktop and then used a "hack" with Android with a grouped 
by view. This way I could still change flags by drag and drop.
But getting the direct interface is what makes it fully usable now.

(By the way, if we had mutual exclusive contexts, I would have used that 
instead of flags. By that, I mean possibility to set up a group of 
sub-contexts to be mutually exclusive, so that max. one is selected at all 
times. This would still be a great feature for SO many things. In my case I 
have the flags blocked out for this crucial time control but there are 
other uses of this feature as well).

[MLO] Bug report: Android - a context with "&" character is not syncing after renaming

I have a context created on desktop named  which originally synced 
fine to Android.

Then within the last week I renamed it to   on desktop. The renaming is 
not carrying through on Android.

I mention the "&" in particular because I have earlier reported a cosmetic 
bug where the "&" is omitted on the screen in desktop on the picklist when 
right-clicking on context field in the list view.
So I am suspecting this is a factor. I have tested rename on another tag 
without "&" and it syncs fine.

[MLO] Android: possibility to undo a change made via a widget?

Sometimes I have clicked complete or done some other change to a task by 
accident in a widget view (e.g. if the phone is lagging, or some other 
mishap). Without really spotting the task in question (and then it would 
disappear out of the view filter).
I have then opened the app normally, to try and undo the change, whatever 
it was. It seems I would not make this work. (I would then have to sort it 
out by looking through recent completions - first making sure I am in a 
"neutral" workspace without narrow filters).

But isn't the "undo" feature supposed to be able to catch this?
What are the "rules" for what it remembers and how (long)?

You can use one of the other webclippers to any webservice that has 
integration to IFTTT or Zapier, and then use these to generate an email to 
MLO.

Evernote is obvious, but I use it for so many things - so I currently use 
Wunderlist's clipper to capture a task there in a "MLO Actions" folder. 
Then Zapier picks it up and emails it. So WL's extension is exclusively 
used to capture and forward MLO tasks. I like it because I can also capture 
selected text to go with the URL, and type in a new heading to become the 
task text.

The Onenote webclipper can do the same. I just find Onenote messy and 
confusing to navigate in the web interface.

[MLO] Re: Syncing Views and Workspaces between platforms

I support the feature request of getting sync - since I also tinker a lot 
with views. And I believe all ambitious MLO users do for many months when 
they start using it.

But what I do to alleviate it is to export the views to a subfolder to my 
MLO folder on Windows. (The entire MLO folder is on Gdrive). I also make a 
specific folder for views on my Android. (In my case I chose a subfolder to 
the download folder).
Then I use a sync app to create a sync connection between the two folders. 
(In my case Autosync Google Drive which has served me well for years for 
many 
purposes.

This way, as soon as I change on Windows I can at least quickly get it to 
my Android as well. 
This of course does not help me in the cases where I tinker with views on 
my Android first. But still better than manual transfer / e-mailing to my 
phone.

Yes, it is AWESOME that we finally got this one!

I also use flags for the time framing (not weekdays but something similar 
to manage time horizon) and I shuffle them around.
It's the only way I can stay sane with it. I can't work straight off the 
computed to-do list. Too many options.

But on Android I had to make a hack with a view grouped by flag and then 
dragged them around to change the flag. Not easy.

[MLO] Bug: Android app messes up widgets during install

The last few times I updated the Android app, it messed up all my 1x1 
widgets for MLO.

Both the "view" widgets and the "new task" widgets. They are all converted 
to the "check mark icon" that is used to start the main app, and likewise 
the names are changed to MLO 2.

They still do the intended thing but I can't tell them apart (and can't 
rename them again). So I have to start all over setting them up.

This is highly inconvenient as I have 8-10 of them (and intend to set up 
even more) that I use for different profiles (2 or 3) and different 
workspaces.

Besides task management I use MLO for shopping list, recurring tasks / 
routines / chores, relation/people management and so on. Each in quite 
different profiles/workspaces/settings. Widgets are by far the fastest way 
to switch around.


I sincerely hope this will be fixed with the next update or very soon, 
thank you. (As I reckon it is a small bug).

P.S. I use a Samsung with Android 4.2.2.

Good point - just a short answer for now:
As Dwight said, don't expect to find a full methodology explained. MLO is a 
swiss knife that can fit many things.
Even people who follow GTD (probably one of the concepts described / 
discussed most in detail "out there" - on the net, in books and around 
tools) tweak it in different directions.

I do agree that the learning curve for the tool would be easier if there 
were more complete examples or templates of various kinds of use. The 
included templates show a little bit (e.g. a couple of GTD flavors, some 
Covey stuff and so on), but not much.

I am back to MLO a few months ago, after 1½ years break. Before that, I 
tried it but didn't make it through the learning curve to an actual working 
system. Since then, I've become more determined and have a more clear idea 
about by own "system". AND not the least, the tool has evolved. Especially 
the Android app lacked some stuff back then - but is now closer to covering 
the main/crucial bases for me.

Just to keep it short, I am experimenting with, or planning to do most of 
what you are mentioning above.

Besides the main task handling of to-do actions and projects, I am also 
toying with managing recurring actions in some separate views. Chores and 
so on. I also have e.g. a morning routine and a bedtime routine in a 
recurring action with subtasks. All is still experimental - I haven't found 
the best form.
But I want to keep these subtasks out of my normal to-do list, or it would 
be clogged all the time with repetitive stuff, obfuscating the rest.

I also have a "framework" to place tasks that are in the "active funnel" in 
a specific time frame. I use flags exclusively to coordinate this. E.g. 
TODAY (Most important), TODAY, TOMORROW, WEEK, WEEK_NEXT, MONTH.
I can't work straight off the automated to-do list. I have way too many 
projects going.
I am using this as the equivalent of making a "daily plan" on paper with my 
decisions for the day.

A couple of weeks ago I got tired of crappy shopping list apps and also 
made my own prototype in MLO. In a separate file from my main file. (I 
would definitely recommend that).

I am also toying with how to manage checklists in a good way. Ie. copying a 
"template task" to use as checklist for "standard procedures". (It would be 
great if MLO had a more nifty way to find these and copy paste them).

Certain recurring things, like paying recurring bills on time, I seldom put 
in there. (Only when I mess up and have to do it urgently).
I have a sub-calendar in google with financial-related deadlines. Separate 
but shown in the overview. I then see the notice on my calendar view on my 
phone etc. also.

I assume this requires the MLO desktop client / PC running?

The best way in the future to set this up would be via the cloud.
Even better if it could be done with other triggers than due date. Such as 
a task/project getting a certain context or flag.
(Even better would be if the cloud could interact with IFTTT or Zapier but 
at least the triggered emails could help some of the way).

One way I would use it would be to give a project a "Project Support 
Information" marking and then trigger the creation of a folder for that on 
my Google Drive or Dropbox, with the same name as the project.

Like others have mentioned, I also plan to use contexts for this purpose, 
once I get to set up a proper review process. And use "complete" to get 
them out of the way for now.

There are certain tasks I want out of the way - cancelled or suspended one 
way or another but this can be for different reasons. Sometimes I just had 
to rethink it because I got wiser and it becomes a different project or at 
a much later time. Other times, I didn't make it because I procrastinated 
and missed the opportunity. That's another thing I'd want to follow up on.

forgotten to subscribe for email updates.

I'm not familiar with the 7 habits other than by name and brief outline. So 
haven't played with it. (I like your idea of defining roles. Is this from 
the 7 habits concept?).
I think it is helpful to blend in (or top-load) other models that help go 
beyond the very task-driven philosophy of GTD.

Yes, GTD sort of covers it with reviews and the "altitude concept" - but it 
tends to get too little attention because it is not as nuts-and-bolts as 
all the rest. It is not described in detail and it is not as easily rolled 
into a tool that supports it.

I find the goals important for the "altitude concept" or whatever way 
strategic goals are arranged. But since goals on a year-level or more are 
on a strategic level, I don't find it terribly important to have them 
embedded/included in my every-day productivity/action tool. (And I think 
that's another reason Goals don't get a lot of attention in MLO talks or in 
the manual).
It is good to have them handy and to look at them often - if for nothing 
else, simply to keep them top of mind. But I could have them in whatever 
list or document on my phone that is easy to call up. (Perhaps combined 
with various visualization / affirmation / motivation information).

The actual execution on my high level goals would be "bridged" through one 
or more strategic plans (that often involve several goals) and then 
high-level projects ("programs" really) with many projects below them.
For example, if I wanted to change career this might involve several goals 
both for work and private (e.g. moving to a different city). Clever 
strategy and brilliant planning is when one can "merge" goals into these 
kind of strategies that cover all / make the best compromise. In that 
example, I would have to take both my career ambitions, my lifestyle 
preferences and relationship goals into perspective in the plans. A project 
of "survey new place to live" would be referring to all 3 of these in some 
way.

I could of course also put them in MLO but right now I am holding off, as I 
am considering to use those goals for something more "custom" which is not 
(always) tied up on week, month or year. (So I might use the 
week/month/year setting to signify another meaning and keep my yearly goals 
elsewhere).

I support that MLO has goals or some kind of projects/tasks which are kept 
out of the normal to-do centric lists and more of a "review and check off 
periodically" thing. But with an extra option that is not a hard setting 
with week/month/year.
To use this for achievements that are not about specific one-time tasks but 
more about HOW (my policies, habits, ways of doing things - ie. QUALITY you 
might say) and HOW MUCH (as in, quota. E.g. "call 10 new leads" or "send 
out 10 job applications). The HOW I operate can also be used for various 
kinds of habit mastery.

About habits and routines, some of them could be permanent "policy", others 
could be temporary to handle some situation. Such as: "For the next two 
weeks, use 30 minutes daily to sort and clean up that huge box of paper 
mess". (Of course, when it gets that specific, it could be a recurring 
task, I know).

There are many variants of HOW, HOW MUCH or REGULARLY (temporary or 
permanent) and I will be analyzing this further. I find that I often pause 
and ponder when defining work in my projects because part of the solution 
falls under this.

Sorry if this became TL;DR but it is a sort of fishy subject with many 
loose ends. I'd love if it could stimulate others to give their own views 
and ideas.
In short about MLO features it would be nice to have a variance of goals 
that are not forced on a fixed time schedule.

Looks to me the only way to achieve it is to have all views sync to the 
first tab (e.g. an outline) and zoom there.

But yes, I'd also love if it was possible to either
1) have a more "hard" definition for a particular view, OR
2) have an easier way to navigate between several pre-selected zooms (I 
think this is the ambition with the "workspace" setting in the Android app. 
Isn't that right?).

Like others have said, it would have to be an option, not fixed 
functionality.
The way I use flags at the moment, mandatory inheriting would screw it up.

That being said, the reason I use flags is that they are mutually exclusive 
- which contexts are not.
If there was a way to make a group of subcontexts mutually exclusive, I 
would use those instead of flags in my current use case.

Good idea. It would aid the review process (I agree with pottster that it 
is one of the most neglected. It also easily slips for me.)  

I'm also thinking if there is an easy way to view all projects that have no 
next action? That would be something I would use a lot, too. (Off-topic to 
the thread but maybe overlapping the user need / usage scenario anyway?).

Yeah - it is very flexible and can thus be adapted to most of the vital 
needs. You may not get it 100% as you like, but the risk of running into a 
blind alley, or hitting the wall, as you say, is fairly low.

The downside is that the learning curve is high.
The challenge is that it is difficult to set up a lot of default settings 
since everyone has different preferences.

Some more examples or "usage scenarios" would be helpful though, to get 
into it.

One other aspect in all this is that most users, when starting out 
(including myself) don't really know what we are doing, in terms of 
productivity setup.
In other words, very few would be able to specify completely what they need 
until they dive in and start challenging their "mental system" by putting 
up a system with tools.

So for most people, besides the learning journey with the tool and its 
possibilities, there is also a learning journey in "How am I actually doing 
things - when I do them properly?" and "Now that I realized that - how 
would I REALLY like to do things".

[MLO] Best Android texting/SMS app for productivity with MLO?

I get an increasing number of action items via texting/messaging. But the 
basic texting apps (as well as other messaging apps e.g. FB Messenger and 
WhatsApp) do not have very good (fast / flexible) ways of managing them or 
distributing them.

The very minimum of features I am looking for are:

1) A way to flag a message or conversation so that I remember to follow up. 
There is a difference between "fluff" social conversations and an action 
item - something I need to revert on or respond to soon. It could be as 
simple as "starring" it like I do with Gmail messages I want to respond on 
soon - but not a big enough deal to make it an action item in MLO. (Or I 
want to flag it so that I DO remember to transfer it to MLO later).

2) An EASY way to forward a single message to MLO as an action item. Yes, I 
can select "forward to" and type in the email address but it is a bit 
tedious in the few apps I have seen. Also, the way my network provider 
handles it, I can't control the title of the mail and so on. Even worse 
when it is MMS length - they forward a link to some webpage where I can 
view the message.
A really fast way to forward to a predefined or easily selected email 
address would be an improvement.
But the best way I can think of, is an app that can SHARE a message to 
other apps on the phone. (To MLO directly - or I have a share-to app that 
can forward all shares to a pre-defined email address. The paid version 
lets me set up a list of these to choose from quickly. This fits other 
purposes than MLO also).

I don't need a big, bloated app (on my crammed up phone) with animations, 
themes etc. etc. - just these basics.
The various descriptions / reviews of the apps do not really emphasize this 
(they focus on the fancy stuff) so that's why I ask in here.

I also believe that any input on this would benefit other "productivity 
people" in here.

I haven't started using them yet (and would also love to hear more about 
the initial philosophy behind). But I see them as a kind of guiding post or 
beacon. The manual says the goals are what the actions should be oriented 
towards.
There are also goals or targets that are not necessarily just tasks on a 
list.
For example, a quota about a certain thing you want to achieve at a certain 
time.
Or something about your policy or way of operating. Something as simple as 
"Be in bed at my proper planned time at least 4 times this week".

I agree with Andrey, the price etc. is off-topic for this thread.
I agree that sync feature is becoming an "everyday thing" as most apps are 
cloud connected today. But I will say that I am happy to ONLY have to pay a 
cheap subscription for this, as opposed to having the full license of MLO 
being subscription based. Something a lot of vendors are moving towards.
Besides, if someone wants to go low budget, there is still the Wifi sync 
option. It was a great way for me to get started. There is a "psychological 
barrier" to signing up for a recurring expense.

about sync configuration.

I reckon auto-sync simply means I don't have to press a button.
But how does it relate to the PUSH thing? Auto-sync with vs. without PUSH - 
what is the difference?

Do I save battery live without PUSH? What do I miss out on without it? Only 
the risk of not getting timely reminders?

I agree. I was also confused and only managed to get through by 
coincidence. I thought my phone was lagging and clicked all over.

It is not obvious that only the cloud and wifi symbols give a response.

Now I just need to find out details about auto-sync and push. I can't work 
out if both are needed and why/how. It seems there is no user guide with a 
concise description of it.

I second that. The ability to keep it simple when needed.
Not only are users different - the need for complexity / automation etc. 
also varies greatly with the AREA of living and working. Volume, complexity 
and frequency/action level are parameters as to the level of bells & 
whistles needed. In really simple areas, these get in the way instead.
