why always this negativity? I find it quite frustrating - and knowing

in some countries, followed by the Easter days, that many of us 
celebrate with their families and close beloved ones, especially during

Can I ask you please to not always assume the negative reading of things 
when it comes to TDF? Despite the strong criticism you were raising 
towards us elsewhere, I was sharing your mail with the team earlier this 
week, because I found it quite interesting and asked people to have a 
look. But you need to give the community a bit of time to look into things.

1. to freeze (not delete) the "online" repository at TDF's git, for the 
time being


1b. to switch the https://github.com/libreoffice/online mirror to 
instead mirror the Collabora repo, for the time being, and make sure we 
catch pull requests there, e.g. via the mentoring alias on TDF side


2. to freeze (not delete) the translations for online in Weblate, for 
the time being


The decision will then also be announced and shared with the various 
community mailing lists, to keep all the projects in the loop.


The Board of Directors at the time of voting consists of 7 seat holders 
without deputies. In order to be quorate, the vote needs to have 1/2 of 
the Board of Directors members, which gives 4.


A total of 7 Board of Directors members have participated in the vote.

The vote is quorate.

A quorum could be reached with a simple majority of 4 votes.

Result of vote: 3 approvals, 3 disapprovals, 1 abstain.
One deputy approves, one deputy disapproves.

As the vote is a tied vote, § 9 IV of the statutes come to effect. The 
Chairperson has the deciding vote, and voted +1 to the proposal.

Therefore:

Decision: The request has been accepted.

Hi,

I think a meeting with just one person doesn't make much sense, it 
rather distracts potential contributors, it's not very inviting. :-)


We do have a similar issue with other calls too - the German community 
call is not really frequented a lot. Infra seems to be getting better, 
so does marketing, but I remember also for these it was a big struggle.


I wonder what we can do to improve the situation. For the UX calls, did 
we ever reach out to potential contributors, asking for feedback on the 
calls, like timing and focus? Did we try different approaches?

Reading call minutes with just one participant doesn't look too 
attractive for people who might want to participate.


All IMHO, so other thoughts welcome, of course :-)

a quick update on the situation. Still AFFECTED are:

- the main websites documentfoundation.org and libreoffice.org
- the pad
- OpenGrok
- the downloadarchive
- some Bugzilla tables are affected too, we're trying to reindex these

Infra is working on bringing the services up bit by bit, with the 
priority on the website, and then will analyse the situation to find out 
why the hypervisor rebooted itself.

earlier today, one of our hypervisors rebooted and brought down a couple 
of services.


Infra is currently working on bringing the services back online again.

Amongst services currently AFFECTED are:

- BugZilla: available, but throws error messages for certain write 
operations


- the TDF and LibreOffice website

- the help system

- the pad

- the download archive

NOT affected are e.g. Gerrit, Wiki, AskBot, mailing lists, Jitsi, SSO, 
Redmine and the main download website.


The infra team is available at the #tdf-infra IRC channel on Freenode 
for questions. The status website at 
https://status.documentfoundation.org will be updated as soon as there 
are news.

table - but let's discuss this after both of you had some sleep and the 
last cleanup bits are done.

[libreoffice-projects] post-mortem: unplanned infra outage today 1600-1700 Berlin time

Hello,

we had an unplanned infra outage today from approximately 1600-1700 
Berlin time with about 90% packet loss. No data was lost. E-mail was not 
affected, public mailing lists will deliver mails slightly belated.


The problem very likely was with our provider, as many other sites 
hosted there were affected over the course of time.

no hands-on experience here - for videos, I'm quite happy we don't have 
to provide all the server space and and bandwith ourselves as I can

with using YouTube and other services.


I'd leave the field open if anyone is interested in trying this out, but 
would not spend infra time on it for the moment maybe.

that reminds me of one question I didn't answer yet: Why Telegram. ;-)

Indeed, the possibility to use it on mobile, in browser and as dedicated 
desktop application was one of the main reasons, beyond the fact that 
it's been used by many people. There are several truly free and open 
solutions out there, but sadly, very few users use them - and that's in 
line with what I wrote earlier on about "getting people where they are".


I tried some mobile IRC clients a while ago and was not really 
convinced: no push notification, high battery usage - IRC simply is a 
different tool than a messenger...


I'm not at all against hosting our own web IRC frontend, preferably 
localized - I just think it won't get us the mobile crowd...

and that topic was considered quite a lot before going that route.


My personal take on the situation is that the primary and official 
channels are those on TDF premises, i.e. primarily our mailing lists, 
wiki, pad and other resources to create and upload content. We have full 
control over these. My personal order of preference is e-mail (it's an 
asynchronous medium that everyone can use at the time and frequency they 
like), sometimes chat or phone, as the latter ones can help resolving 
topics easier than with lots of mails back and forth.


During the previous LibreOffice Conference, the organizers have setup a 
Telegram group for the attendees. It was considered mostly an experiment 
and planned to be shut down after the conference - the strong 
participation rate and acceptance of it made us rethink and keep it 
running. It was not a decision upfront, but turned out to be a good idea 
(IMHO) over time. So, it was initialized in first place by volunteer 
conference organizers, and has not been pushed by TDF's team, although 
of course they are quite visible.


I agree, though, that we can get better on communication that, indeed. 
There was a blog post at 
https://blog.documentfoundation.org/blog/2016/10/25/presenting-libreoffice-telegram-channel/ 
that also mentions bridging to IRC, but we could have added more details.


The main reason for using all sorts of networks is that we "want to get 
the people where they are". Especially for the younger generations, and 
also for some native language groups, messengers and social networks 
have turned out to be the most effective way. I recall at least one 
community ever since using Google Plus, and another one ever since using 
Facebook, considering mailing lists way too complicated and "old style". 
Being a free software enthusiast, and essentially living in my e-mail 
client, this doesn't make me totally happy; however, IMHO we would be 
wasting lots of opportunities if we expect people to show up on mailing 
lists and IRC, independent what their background is.


This is also the reason why the (few) truly free and open social tools 
do not help in this regard - they are only used by those already 
attracted by our project. If we want to reach out to new possible 
contributors, we need to show up where they are, if we like it or not. 
And looking at my contacts, very few of these use one of the truly free 
tools either; one contact here, another contact there, but nothing 
consistent sadly.


For me, the main rationale is to have as many content creation, 
discussions and votes on official channels as possible. I'd like to 
avoid a situation where decisions take place on some random network only 
a few subscribe to - the primary working place is the mailing list 
still, decision need to be properly communicated and shared and run on 
the official channels.


I'm all open for making access easier, have a better web IRC, and also 
re-investigate video conferencing systems (although I have to admit that 
testing with 10-20 people is quite time-consuming, so I'd prefer a 
real-life experience with such an amount, geographically distributed, on 
various bandwiths). Bridging is another option, and deciding which 
content to post where makes sense as well.


If you have proposals, please share them. We surely can get better, and 
I'm open for any proposals.

Dear community,

the year 2015 is over, and we have achieved a lot of exciting things, 
thanks to your amazing work, dedication, passion and support - thank you 
so much for being part of our community and working with us on the joint 
goal of fostering LibreOffice!


In order to support the community even better, we would like to create a 
better budgetting process, have a concrete plan for 2016 already now, 
with a few "pools" or "buckets" defined, ideally:


1. community events (aimed at getting face-time for community contributors)
2. infrastructure (e.g. compute power/hardware/storage, cloud, VMs),
3. marketing (aimed at representing the project to the outside world)
4. other (anything that does not fit into the above)

The idea is to have a good plan for 2016 already now, while keeping the 
administrative overhead low, and have two authorizers (one of them being 
a board member or deputy, the other one from the wider community) 
responsible for each budget, which means getting receipts, approving and 
tracking expenses, and clarifying questions with Florian or Sophie.


To get a better understanding of your needs, we ask you to send us your 
budget requests within *three weeks* from this e-mail, i.e. by 
2016-03-02 to flo...@documentfoundation.org


While I monitor some of the lists, please always send your 
proposals/requests *directly* to me so they are not lost!


Please let us know your requests for funds *alongside* some items you 
envision to be paid from these funds. The items are not binding, the 
spending in the end is the responsibility of the authorizers, but some 
examples help the board in getting a better understanding of the funds 
required to best match your needs. If possible, please also mention the 
amount of travel costs associated. We'll factor in some margin, but 
concrete numbers and ideas are very much welcome to have a plan for 2016.


As a sample, a request could look like this:

1000 € for community events
500 € for infrastructure
1500 € for marketing

Expenses we envision are
1. marketing: attendance at XYZ trade show to show LibreOffice to ABC 
user group (700 € booth costs, 300 € for collaterals and 500 € of

2. community: a community weekend to discuss tasks and ideas (600 € 
hotel, 100 € for snacks and 300 € travel, totalling to 1000 €),

[libreoffice-projects] pumbaa downtime

Hello,

seems to be no good week for hard disks - one of the disks in pumbaa 
just got broken (different datacenter, different machine than earlier 
this week).


Disks here are NOT hot-swappable, which means a downtime will occur. 
This will affect


	- internal TDF lists (@lists.documentfoundation.org), but not the 
public mailing liszs

- TDF e-mail (@documentfoundation.org) but not @libreoffice.org
- Redmine

The downtime should be only 10-15 minutes. We will keep you posted. TDF 
infra is also on #tdf-infra at Freenode.

maybe we can have a mixture - TDF staff speaks several languages, so 
think we can at least cover the French, Italian, German and maybe

which would be a good start. For the other communities, at least 
forwarding the message in English can be done as well by TDF staff - if 
we want to have it localized (which would help greatly, for sure!) and a 
point of contact it the native language, we need volunteers capable of 
the specific language.

Dear members,

we are glad to announce we have finally begun publishing our accounting 
ledgers to the general public. As part of our transparency and openness 
principles, TDF is committed to publishing its accounting ledgers on a 
regular basis from now on.


Accounting is done by a professional accountant, and the resulting 
ledgers are slightly anonymized and translated. The style of the ledgers 
is defined by our tax/accounting requirements and changes are possible 
only on a very limited basis. However, TDF is happy to receive feedback 
and comments especially on the translations, so we can incorporate these 
in future ledger translations.


So far, all ledgers from the previous quarter are online, April and May 
will follow very soon, most likely today or tomorrow.

That being said, thank you very much for your ongoing support, your 
valuable contributions and your donations, which make TDF what it is

[libreoffice-projects] conference kit

one of the projects that's been around for a while is the production of 
a marketing/conference kit.


For the US, Robinson has collected that (thanks so much for that!), see

For Europe, Sophie is looking into getting such a box produced. However, 
the feedback so far is that there is no real need for a box to ship 
around. Rather, people have their hardware locally and we can produce 
swag/collaterals when required, which is considered easier than sending 
around a box in Europe.


I understand that, as I also have a box from the German community here, 
and shipping around never worked out so well for me either. :-)


Before we close this ticket, I wanted to reach out to the community 
again to hear if there is any need and what your thoughts are. The basic 
idea behind this budget item is to make organization of local events 
easier, but I appreciate the shipping and transportation problem.

I'd like to inform you that the German community has planned their 
annual meeting at Linuxhotel in Essen, from


Friday, June 19 to Sunday, June 21

As the last years, we will meet and gather with the community, discuss 
about projects carried out in the past, and plan for the future. An 
agenda is yet to be written.


Everyone is invited to join, of course, to get in touch with community 
members, and contribute to the success of LibreOffice. ;-)


There's also a limited number of rooms available, but we have to book 
right now. So if you're sure you want to join already now, please let us 
know in time. Otherwise, there's a couple of other hotels available in 
Essen, and you can still join during the day.


Note that most of the slots will be in German language, but of course 
English speakers are welcome as well - exchanging thoughts and ideas 
across countries is usually quite constructive!

[libreoffice-projects] infra analysis and status quo

Hello,

the infra team has met to review the past issues, and would like to make 
its analysis public to the community:



I. introduction

We have three big servers running, called dauntless, excelsior and 
falco. The first two were put online in October, the last one in 
December. The planned platform was oVirt with Gluster, with CentOS as 
the base system. All servers are comparable in their hardware setup, 
with 256 GB of RAM, one internal and one external Gbit networking card, 
server-grade mainboard with IPMI, several HDDs, and 64 core CPU. All 
three hosts were connected internally via a Gbit link, with oVirt 
managing all of them, and Gluster being the underlying network file system.



II. before going productive

Extensive tests were carried out before going live with the platform. 
The concrete CentOS, oVirt and Gluster version used for production was 
tested twice, on separate and on the actual hardware, with the IPMI and 
BIOS versions used later; that included two desaster simulations, where 
one host was disconnected unannounced and oVirt behaved exactly as 
expected - running the VMs on the other host without interruption.


When the platform was ready, to not endanger anything, first all 
non-critical VMs were migrated, i.e. mainly testing VMs where a downtime 
is not critical, but that still produce quite some load. Working 
exclusively with these was done over several weeks, with no problems 
detected.


After that, several other VMs were migrated, including Gerrit, and the 
system worked fine for weeks with no I/O issues and no downtime.



III. downtime before FOSDEM

The first issues happened from Wednesday, January 28, around 1440 UTC, 
until Thursday, January 29, early morning. Falco was disconnected for up 
to a couple of minutes. The reason of this is still unclear.


-> The infra team is looking for an oVirt expert who can help us 
parse the logs to better understand what has happened.


At the same time, on an unrelated reason, a file system corruption on 
excelsior was discovered, which is a failure that has been in existence 
since January 5 already.


-> The monitoring scripts, based on snmpd, claimed everything was 
ok. Scripts have already been enhanced to properly report the status.


Each of the errors on their own, if detected in time, would have caused 
no downtime at all.


With that, 2 our of 3 Gluster bricks were down, and the platform was 
stopped. (Gluster is comparable to RAID 5 here.) Gluster detected a 
possible split-brain situation, so a manual recovery was required. The 
actual start of the fix was not complicated, in comparison to other 
networking file systems, and could easily be handled, but the recovery 
took long due to the amount of data already on the platform and the 
internal Gbit connectivity. Depending on the VM, the downtime was 
between 3 and 18 hours. oVirt's database also had issues, which could 
however be fixed. In other words, the reason for most of the downtime 
was not finding a fix, but waiting for it to be completed.


-> Situations like these can be less time-consuming with an 
(expensive) internal 10 Gbit connection, or with a (slower, but more 
redundant and cheaper) internal trunked/bonded x * 1 Gbit connection, 
which we will be looking into.


-> Work in progress currently is an SMS monitoring system where we 
seek for volunteers to be included in the notification. SMS notification 
is to be sent out in case of severe issues and can be combined with 
Android tools like Alarmbox.


-> In the meantime, we have also fine-tuned the alerts and 
thresholds to distinguish messages.


All infra members including several volunteers were working jointly on 
getting the services back together. However, we experienced some issues 
with individual VMs, where it was unclear who is responsible for them, 
and where documentation was partially missing or outdated. It worked out 
in the end, however.


-> Infra will enforce a policy for new and existing services. At 
least 2 responsible maintainers are required per service, including 
proper documentation. That will be announced with a fair deadline. 
Services not fulfilling those requirements will be moved from production 
to test. A concrete policy is still to be drafted with the public.


On a side note, we discovered, although it has worked fine for months, 
and survived two desaster simulations, that oVirt does not support 
Gluster running on the internal interface, and the hosted engine and 
management on the external interface. This fact is undocumented in the 
oVirt documentation and was discovered by Alex during FOSDEM, when he 
attended an oVirt talk, where this was mentioned as a side-note.


-> An option is to look into SAN solutions, which are not only 
faster, but also probably more reliable. We might have some supporting 
offer here that needs looking into.

Hello,

I'd like to send a brief infra status update.

The good news is, all productive VMs are back to normal

We have moved, at least for the moment, to a stock Linux system with 
plain KVM virtualization, without any network file system or complex 
layer in between.


Non-production and test-VMs will be migrated over the next days, some of 
them are already online again. The crashtest machine will be back in 
service soon as well, getting a dedicated machine.


We will have two meetings with the infra team tomorrow and on Monday to 
further analyze the situation.


Shortly after that, we will host an infra call, where everyone is 
invited, to recap the situation and talk about the further plans.

Website and Bugzilla are back, Ask should follow soon. There's still a 
chunk of work left, root of issues to be found, and a major change of 
the setup due, further outages could still occur - but at least for the 
moment it's working. Kudos to the infra staff for an enormously long 
working day and their amazing efforts!

Several sites are back, but some VMs refuse to start, as the 
virtualization platform is unable to determine the status, while 
checking on the console confirms the VMs are not powered on.


We're working on that, with a priority on getting the website back online.

services inaccessible at the moment.

Please bear with us...


a quick update:

Systems are beginning to stabilize. An extremely big thank you to Alex, 
Alin, Cloph and Robert for their immediate availability and their 
support - I am *so* glad to have all of them on board.


It's too early to see what the issue was. Right now it looks like an 
internal network connectivity issue. Gluster healed itself, and one host 
machine rebooted unexpectedly, which killed several VMs and the 
HostedEngine.


The good news is, so to speak, is that the self-healing has worked, it 
just took a while, as in the end the systems came back without anything 
we actively did/could do.


About consequences and lessons learned, infra will follow-up later, 
definitely some changes in our approach are due now.

[libreoffice-projects] 2014 annual report

within the next couple of days, I will start the selection of content 
for our annual report, which - for the first time - will be published in 
English and German in parallel, and be shorter than the previous one, to 
have an easy-to-handout document for events, tradeshows and marketing 
purposes.


To have enough time to work on both versions in parallel, I have to 
close down the data collection rather soon, but no later than 
immediately after FOSDEM.


So, in case there's something exciting you want to share from your 2014 
projects, please don't hesitate to add some keywords or even complete 
paragraphs to

I just wanted to share two notes on Redmine:

(1) When replying to a ticket via e-mail, please ensure to use the 
e-mail address associated with your account. Otherwise, to prevent spam, 
messages will be silently discarded.


(2) Note that ONLY the ticketing is supported officially for the 
individual projects. Please do NOT enable other features (discussions, 
files, wiki etc.) without talking to the infra team. For those projects 
already having them enabled, we won't disable them, but I'd like to 
provision for the future. ;-) Rationale is that we don't want to end up 
with five wikis and seven forums per project, spread across a dozen of 
tools.


Besides that - happy to answer questions on Redmine, ideally personally 
on FOSDEM. ;-)

Hopefully you find a good "home"/user for it.


the exchange wasn't that expensive, around 60 € - which seems to be 
rather cheap compared to other offers on the net. :-)

[libreoffice-projects] QA laptop at FOSDEM

Florian Reisinger has no use anymore for the TDF QA laptop. The battery 
was broken as well, and I'm now waiting for the repair to ship to my place.


Before I just put it in the office and wait for some sensible use - is 
there anyone who can make use of a


	Acer TravelMate P253-E-B9604G50Mnks 39,6 cm (15,6 Zoll non Glare) 
Notebook (Intel Pentium B960, 2,2GHz, 4GB RAM, 500GB HDD, Intel HD, DVD,

preferably for QA reasons, as it was paid for by this budget? Note the 
device has a German (QWERTZ) keyboard layout.


I am not sure if it arrives in time, but if so, I could try handing it 
over at FOSDEM. It will stay TDF-owned, but can be borrowed to anyone 
who can make a good use of it for TDF purposes.

[libreoffice-projects] website issues

Hello,

unfortunately, shortly before Christmas, the VM that drives our website 
ran into troubles. As all other VMs and the platform per se are stable, 
chances are we hit some kernel bug wrt. virtualization.


The problem has not been identified yet, but if the website becomes 
unreachable, we have to manually restart the VM.


Sorry for those inconveninces, they come at a rather bad timing. Other 
VMs than the website are *not* affected (which makes debugging the issue 
even harder).

having discussed the topic at the conference, I just wanted to remind 
everyone to give feedback for the extensions and templates website, as 
Andreas pointed out on

TDF needs to make a decision whether to move forward with the current 
approach, or whether to choose a different one. Unless we hear violent 
objections and _concrete_ improvement proposals, we will run the site on 
Andreas' new development in the future (thanks so much for that!).

good news, everyone! :-) I just received an e-mail from Evgeny, whom we 
have contracted for AskBot improvements, and it's now possible to merge 
questions.


Here's what he writes:

"on questions there is a button "merge"
when it's clicked, a modal menu opens where you
enter question id,

this loads preview of the target question
once confirmed, merge occurs.

Question bodies are spliced,
also answers are spliced if one answer per user is allowed.

This means that it will be required to edit the question body and
possibly some answers. This editing is not part of the merging workflow
and the admin will have to do this separately."

[libreoffice-projects] admin weekend mid-July

Hello,

I'm glad to announce that we found a date for the LibreOffice admin 
weekend, which is now scheduled from


Friday, July 18 to Sunday, July 20

A location is still to be determined. Given most contributors so far 
live in southern Germany, it's probably most economical to host it in 
that area, but that's not set in stone yet, depending who else is 
interested to join.


That being said, I'd like to emphasize that the admin weekend is not 
only for existing infra contributors, but also for interested volunteers 
who'd like to join. Location, agenda, wiki page and further details will 
be announced in time on the website list.
