[TCP] Documentation Delivery: Print or CD?

I know that many of us have
been struggling with this question for a while, but I'd like to find
out what people are actually doing.? Some people prefer print, others
like the searchability of CD or other electronic means.? Would you mind
taking a quick survey?? I'll be happy to share results - just leave

What Dan said. Plus... shouldn't this survey be sent to your users? We are
not your users. We don't know whether your product is hardware, software, or
a combination of both. So, ultimately, what WE prefer is pretty much
irrelevant, yes?

Do you not have a core group of users you can survey? Or an advisory
council, group of beta testers, or whatever? They are the ones who likely
will provide more appropriate feedback.

I was in a meet yesterday with directors and other PTB's and the guy who
handles fulfillment said he can't give books away.

 Hi, Sue,

Dan's right, and I've added a question to ask what other people are doing along 
those lines, but this project is limited to print vs CD.? And you're right, too 
- this group can't tell me what is best for my users (that's being handled by 
someone else).?? But I do think that it will be helpful to understand what 
other companies are doing along these lines.?

YMMV. End-user docs are a small subset of what I write, but their
distribution is mandatory. FDA would not look kindly on a medical device
being distributed without its instructions!

Do you mean that he's prevented from distributing books for free, or
that he can't find any takers for books (i.e. that everyone would
prefer CDs)?

I tried to answer the survey, Brenda, but there wasn't a single question
that applied to me. 

I work primarily in the API space, so my audience is mostly programmers, but
I do a little end-user work. That said, the last time I perused blue-lines
on their way to the printer was around 1997. Since then, I have delivered
online help files hooked into the interface, PDFs incorporated into the
product's installation process, PDFs and CHMs over the Web, HTML over the
Web, and wiki pages, but no paper.

(2/2, 11x17) for two companies in the past five years. But the last user's

I develop docs for a SaaS (Software as a Service) company, so there's no choice 
be to deliver docs electronically via the Web. The last time I delivered 
printed docs was around 1999.

I meant 1997!!! TEN years ago!!! I'm looking at my portfolio samples in my
bookcase now. 1997, not 2007.

Although, I did remember something... we also printed a 20 page quick start
guide (B/W saddle stitched), as well as an 11x17 quick start "card" at a
company I worked at 2 years ago. And that 20 page document was printed in
several languages.

I have a background in working in print (from my ad agency days), and
occasionally miss spec'ing out the docs, working with the printer, and so
on. But not that much!!! :)

All of my manuals were officially classified as "vaporware" at some
point a year or two ago, meaning that they exist only electronically
now. For about two years before that, we released in PDF plus provided a
print on demand service for our users. We found that there was no demand
for printed copies--other than from our own tech support people, who
ordered the manuals instead of printing them out themselves.

Every now and then, we'll get a requirement for a printed version of a
quick reference guide for a specific customer. Pretty much everyone else
is happy with PDFs on a user CD.

If you sell your product globally, the translations can really cause a
logistics nightmare if you have to provide printed docs.

1. Many countries, such as Canada, charge PER PAGE for docs that come in
the box.

2. Unless your supply chain is set up to ship specific configurations to
specific countries, you'll have to put every printed language in the
box.  This adds weight, and hence shipping costs.  Also, refer back to
#1.

3. Trying to fit multiple languages into a single doc is a difficult
design task. Try putting 30 languages on a 8.5x14 quick ref page -- very
difficult, but we did it.  I wasn't happy with the final results, but
was constrained to that one page.  It can be done, but to do it well...
let's just say that I've seen very few multi-language docs that worked
well.  I also have a required-to-print 2-page safety guide, which when
translated, is a 60 page booklet in 8pt text. 

To distribute via PDF on a CD, you can design a template for
distribution that will print on either A4 or 8.5x11, which is what we
do.  Or you can have an A4 template for most languages, and 8.5x11 for
North American languages.  It's easily switched if you are using Frame.
