I am thinking it was the admin. We use Notes here, my backups are much
better than 50% of the time, and we have had only 1 quasi-catastrophe
(database format chaged). No info was actually lost, (Notes has an All
Documents folder, very handy for quick searches), just that the folder
structure

I would say to just make a custon recipient with his AOL account -don't
even bother making him a mailbox. If said consultant needs an email
address at your company, I believe you can just add the SMTP addy to the
CR, and it should go to the AOL address as well. I would double check on

If it was with Internet mail, it could be that his POP3 connection crapped
out, and it is leaving the message on the server. And then when it
retries, it downloads it again. You can have him connect to the server
using a POP3 viewer (like Lydia) and viewing the headers without touching
them.
Once you install the Notes client on the machine, there is an add on for
Outlook as well. Last time I tried it, I noticed issues with sending rich
text mail. The mail was basically blank when sent to a Notes users using
the Notes client :(

things into directories, basically. And each is its own database. Good
thing about that is that you can move things easier should you run out of
