J*ob Description – Ensure Alignment to Selected Title*

Maintain, and manage program requirements, plans, timeline, issues, risks
and challenges. Support Managers to drive a program or projects. Work
closely with program/process owners, stakeholders and business partners to
identify business change and drive the consensus necessary to adopt a
manageable change strategy. Manage programs and projects involving multiple
parties/organizations with conflicting agendas and business priorities.
Lead cross-organization project teams towards targeted and scheduled
outcomes. Engage with program/process owners, stakeholders and business
partners as necessary to communicate project objectives, strategy, tactics,
and ongoing progress.

Skills*: 1-2 years of program management or coordination experience,
Bachelor's degree not required. Knowledge of Microsoft's*
products/services/applications preferred. Must possess strong cross
team/group/org collaboration skills; identify potential risks and bring
those to the attention of the program manager and mitigate subsequent
issues. The ideal candidate will have the ability to understand concepts
and situations and pick up new processes/tools quickly. Must have excellent
communication skills to all levels, experience working with external
vendors, strong project management skills, strong leadership skills, and
demonstrated experience managing programs with varying degree of
complexity. Proficiency in Microsoft Office required.

Microsoft Research External Funding Program and the Consulting Researcher
Program. The position will help coordinate and execute the daily
responsibilities for both programs. Execution of payments to academics and
conferences as well as the set up and onboarding of Consulting Researchers
on for the Microsoft Research Organization.



The ideal candidate will be a team contributor, who works with high
efficiency and provides proactive support. Candidate must possess excellent
written and verbal communication skills and be able to adjust direction in
response to shifting priorities. He or she must be able to respond to
senior colleagues and external academic contacts in a professional and
helpful manner, and have the ability to accommodate different working
styles and prioritize their own work.



Key responsibilities include:

Supporting the org's External Funding Program; ensuring our sponsorships,
scholarships and academic funding requests are processed in a timely
fashion and tracked appropriately with attention to detail.

·                     Daily managing and monitoring of the shared mailbox.

·                     Review request to determine best way to proceed
(Purchase Order, One-time payment or Procard)

·                     Work with internal accounts payable department to
troubleshoot any issues through to resolution.

·                     Serve as the contact person for the internal and
external payment contacts, providing frequent updates and clear
communications for what is needed and what to expect.

·                     Prepare necessary documentation or proof of payments,
ship actual physical checks.

·                     Consistently maintain accurate details in CRM
Dynamics database.

·         Coordinate Consulting Researcher (CR) program for Microsoft
Research Redmond

•                     Maintain the CR Database daily

•                     Maintain the CR Guide bi-weekly as updates occur

•                     Monitor and check the Consulting Researcher mail box
2-3 times a day

•                     Respond to initial request from host within 24 hours

•                     Within 2 days of finalizing details with the host and
consultant:

·         Route the contract through DocuSign

·         Authorize travel and connect consultant with travel options

·         Send hire template to RITE if consultant is not a US Citizen

·         Two weeks prior to start date, confirm the office, equipment, and
access account are in order

·         Within 1 day of the CR’s arrival, have them complete the
appropriate tax form and forward it to Prohelp or International Tax office
as appropriate and file

•                     Request the consultant submit their hours and
receipts within 2 day after completing an assignment for short-term CR’s
and 2 weeks prior to their end date for long-term CR’s

·         Also request these submissions 2 weeks prior to the end of each
quarter

•                     Process a batch of checks once every two weeks

•                     Attend weekly check-ins with the CR Program Manager
and quarterly meetings with the virtual CR Team

•                     Provide monthly status reports to the CR Program
Manager

•                     Provide quarterly accrual reports to the CR Program
Manager



Qualifications and Experiences:

·         *3-5 years administrative or project coordination experience in
fast-paced environment*. Ability to interact in a professional manner with
all levels of management; demonstrated ability to change direction in
response to changing work situations. Must be proactive, able to deal with
ambiguity, self-prioritize work resources, and juggle multiple tasks in a
manner transparent to the team. Must have the ability to work independently
to achieve results with a high degree of accuracy. Ability to work
successfully in a team environment and build effective working
relationships inside and outside of the group that involve contact at all
levels of management. Demonstrate a high level of interpersonal skills and
ability to accommodate working styles and perspectives of diverse
individuals. Ability to be entrusted with the knowledge and handling of
confidential information. Should be detail oriented and extremely
organized. Extensive knowledge of and proficiency with MS products
including Outlook, Word, Excel, and web based database tools.

•                     Ability to clearly communicate status of pending
requests

•                     Ad hoc reporting for program manager or those hosting

•                     *Ability to navigate Windows 10 and experience with
internal tools and resources highly desired/recommended: My Order, Prohelp,
Payment Request Program, MS Accounts, MS Invoice, mailing, working with
Cost Centers and Internal Order Numbers*

•                     Strong customer service skills and an ability to
clearly communicate the status of pending requests; requests additional
tasks to support the program managers when bandwidth allows

•                     Experience with file management or organization a plus
