What I'd like to do to make things simple for the staff is to get either a
wireless printer or a wireless print server with a USB port so that these two
laptops can print to it.
You might want to take a look at the Epson Stylus SX425W [1]. Its a
wireless/usb printer/scanner/copier
As an aside to this - both my machines now only have Ubuntu on them, so
I don't have the GRUB screen when I start up. But what if I want to load
an old kernel (following update problems)? How can I do that?

I installed 10.04 on my revo and I too struggled to get any sound via
HDMI which refused stubbornly to work despite my best efforts. Finally
I gave up and completed the install by activating the nvidia graphics
driver. After a reboot I was surprised to find that sound just started
working

I too had the problem with shutdown warning other uses were logged in,
and prompting for a password. I tracked this down to having installed
mythtv on my laptop. I removed it (I was only testing it out anyway)
and the problem disappeared. It looks like there is a bug reported
