Primary responsibilities/essential functions: • Provides operational support for ongoing planning activities for assigned ITG areas. o Gathers and analyzes information used for annual budget and portfolio planning. o Communicates and validates planning information regularly with ITG, PMO, and Global Finance partners. • Coordinates and supports BMO operational portfolio management functions. o Provides support and maintenance for projects, programs, and assets, including classification and categorization, and alignment with appropriate portfolios. o Assists in creation and maintenance of new assets and projects in the portfolio management tool and maintains asset/project information. o Guides PMs and PM delegates through the governance process for new project and change request approvals, ensuring artifacts and portfolio management tool information is appropriate and meets required standards. o Coordinates and prepares necessary materials for ITG/business governance and portfolio review meetings. o Gathers necessary resources, facilitates meetings, drives discussions to conclusion, resolves action items, and documents minutes and action items. • Supports activities related to resource management for assigned ITG areas. o Partners with Resource Managers to monitor and analyze overall resource supply and demand, and confirm and book resources. o Works with Portfolio and Project Managers to identify resource requirements and appropriate pools. o Engages with appropriate parties to resolve resource conflicts. • Analyzes created or published reports to support portfolio and resource demand needs, track portfolio performance, and identify action items or recommendations. • Develops and maintains strong relationships with both internal and external customers and partners to drive value through portfolio management practices while balancing business needs. • Proactively identifies ongoing improvements to existing processes and opportunities to streamline activities or add value and participates in continuous improvement activities and events. • Participates in various aspects of project lifecycles. May lead small projects or portions of larger projects. o Actively contributes as a subject matter expert in user, project team, status and other related meetings. o Ensures adherence to CG standard project methodology processes. o May be responsible for small projects, including project tracking, communications, and ensuring adherence to schedule and budget. • Supports additional responsibilities as assigned.
