David, others have already provided, or so I hope, enough information about a technical solution. However, in your specific case, the root problem or part of it is not technical. It is members of an educational organization who (unconsciously, I'm sure) impose to other members a way to use computers which may not be the most compliant with some principles of that same organization. So the real solution is to ask the senders of that document to never use, at least for Scout material, file formats which can create such problems. There are plenty of reasons why Scouts shouldn't.
