Newer versions of SM will have all the same help files (plus any
relevant updates).  You shouldn't need to copy old help files.  If
you've modified one, possibly take a diff and upgrade the new one by
patching it.  Otherwise, copying the modified help file will probably
work, but be sure to make a backup of the original in the case that
something goes afoul.

As ok so there ARE updates - the problem is that I've modified the help
files so that they are clearer to the specific membership I have (for
example explaining how to use certain plugins etc).

It would be good to have perhaps some system which perhaps creates an
additional section of the help files which are editable and maintainable
by the administrator of SM.

1) Templating is on the plate for a future SM release, which will take
care of this request.
2) In the short term, you can embed the login form in any page you like.
