*Position Overview*

 

The RDS Group is searching for a dynamic, high-integrity, entry level

professional to support its busy CEO in a wide range of tasks. These will

range from sales and marketing activities to administrative and

organizational support. In addition, the Special Assistant will generate

leads through market research, emails, and phone contact. Based in our

downtown San Francisco office, this full-time position reports to, and works

directly with, the CEO. The job requires occasional travel (probably three

or four short trips per year) within SADC.

 

This is an outstanding opportunity to gain exposure to a wide range of

business areas and to see how a company is run. We expect to hire a

talented, ambitious individual who will outgrow the position in 18-24

months. At that point the candidate should expect to be promoted within a

career path he/she will have had a chance to explore, probably involving

marketing, sales, project management, analytics/strategy, research/writing,

human resources, or meeting planning.

 

Responsibilities will include, but are not limited to, the following:

 

*Primary Job Functions*

 

*Sales Support (45%)*

 

?         *Supports sales activities for the CEO**.* This will include

booking in-person and phone sales calls/meetings, taking notes during sales

meetings/calls/demos, follow up with clients via phone and e-mail, extensive

research on current and potential clients and developing slides for

presentations and other sales projects.

 

?         *Coordinates sales proposals.* This will involve scheduling

proposal development, coordinating staff to deliver documents on time,

revising and sending proposals to clients.

*Lead Generation (30%)*

 

?         *Generates leads for sales staff.* This involves investigating and

researching potential and current clients. Obtains competitive market

intelligence and contact information during daily contacts and shares

information appropriately.

 

?         *Coordinates leads*. This involves all aspects of managing leads

from multiple sources including web site, sales executives, telephone

inquiries, events and exhibits.

 

?         *Maintains and updates SalesForce.com*. Utilizes this CRM package

with daily activity logs and manage/ensure data quality of all prospecting

activity

*Executive Administration (25%)*

 

?         *Supports the CEO administratively and organizationally**.* This

will involve organizing the CEO?s calendar, booking travel, submitting

timesheets and expenses, handling correspondence, screening incoming calls,

enhancing organizational systems, and driving the CEO to occasional client

meetings.

 

?         *Coordinates executive committee and board activities*. These

include scheduling meetings, arranging travel, contracting with hotels,

preparing slides, and managing meal functions.

 

?         *Supports the company with administrative tasks*. Books all

travel, coordinates logistics for staff retreats, manages office affairs for

the San Francisco office.

 

?         *Other special projects as assigned by the CEO or the management

team.* These may include such tasks as investigating staff training

programs, planning and executing special staff reward systems, personal

support for the CEO and organizing individual meetings with the CEO .

*Requirements*

 

?         Prior professional experience (1+ years)

 

?         Outstanding organizational skills

 

?         Strong service orientation ? willingness to provide support in

whatever way necessary

 

?         Experience booking travel online, maintaining multiple calendars

and scheduling appointments

 

?         Excellent oral and written communication skills

 

?         Customer service orientation with strong telephone skills

 

?         Very strong attention to detail and accuracy

 

?         Experience using Microsoft Outlook software (including calendar

function)

 

?         Intermediate to advanced skill level in Word, Outlook, PowerPoint,

and Excel

 

?         A demonstrated commitment to excellence and ethics

*Other Skills/Abilities*

 

?         Intelligence, with a proven track record of achievement

 

?         Self-confidence and comfort communicating with high-level

executives

 

?         Experience troubleshooting technology a plus

 

?         An interest in healthcare, marketing, education, or meeting

planning also a plus

Candidates will need to manage and prioritize multiple projects in a

fast-paced environment. Flexibility is important, as is the ability to meet

deadlines.
