IRC meeting 10/03/2011 – Report

1. Past and future events
 a. Hobby and computers days - Antwerp 26-27/02/2011 - report

Good collaboration with the computer clubs C&T eand HCC Vlaanderen. This event is a major activity that should be a priority in our calendar. Again thanks to the volunteers! A section "Lessons learned: what can we improve?" was added in the wiki page as part of the report: feel free to contribute with your experience.

2. Promotion
a. t-shirts - Update : Wouter ordered another 100 t-shirts and will deliver soon the pre-ordered (and pre-paid) t-shirts.

 b. Flyers 2011
Please look at https://wiki.ubuntu.com/BelgianTeam/PromotionMaterial/ProposalsFlyers2011. New proposals can still be added till 18/03 (next IRC meeting). Then we will organize a poll with a few design, starting on 25/03 for a wekk. The flyers could be ordered in April 2011.

 c. Rollup
New proposals are in the wiki page https://wiki.ubuntu.com/BelgianTeam/PromotionMaterial/ProposalsRollup2011 Please add your comments/preferences in the wiki. Best solution seems a rollup with an Ubuntu-logo, a message with a few pictograms or icons, mention of ubuntu-be.org and no text. It can be related to the flyer's design. This material is expensive: how many items do we need? 1 to 3? Proposal to the LoCo Council for buying promotion material through Canonical will be presented to the IRC LoCo Council meeting on 15/03 at 22.00 hr. (Brussel's time). Meeting is public, everyone may join the meeting in #ubuntu-meeting.

 d. Other goodies (mugs, bags, pens, ... )
A wiki page https://wiki.ubuntu.com/BelgianTeam/PromotionMaterial/ProposalsGoodies2011 is open for designs and details. As warddr (leading the project) is not present, the item is skipped.

3. Update Wiki and Web-site
- Wiki: report from the meeting on 09/03 by Wouter, see his message in the mailing list on 10/03/2011 at 13.45hr. All information about promotion material and related files will be moved in BelgianTeam/Promotion/Material, with links to spreadubuntu and the Canonical brand guidelines. woutervddn will continue the update of the wiki, home page and Index. - Web-site: French translation of the Support point manual (bug #718482) will be worked on. Issue of moving pages from wiki to the website will be discussed with mongolito404.

4. Other questions
 Ubuntu-be needs a structure and an organization
Volunteers willing to be active in promoting ubuntu need support of Ubuntu-be. Other people have questions about the value of ubuntu-be as possible partner. We firstly need an organization with a leading group (a council?) which can coordinate our activities, decide about priorities, take decisions when needed, including about finances and goods/material belonging to Ubuntu-be. The relationship between the leading group and the Belgian Ubuntu community should be guaranteed. As a second step, we need to be recognized as an association and have a legal existence (as nonprofit association), at least in financial, insurance and public relation matters. Starting with the 1st step, the wiki page https://wiki.ubuntu.com/BelgianTeam/TeamOrganization will be used for further brain-storming. The first measure towards the creation of a LoCo Team council is a mission statement and a timing which will both be proposed at the next IRC meeting. Further details about the organization will follow, and, if there is an agreement on the project, an In Real Life meeting could be organized to take decisions in April (?), with all people willing to actively participate to the project. Brussels/Vilvoorde is proposed as location.
Reactions in the mailing list will be welcome.
