I have found that the best way to get the mail merge to work the way it's supposed to is to do the following
1. Set up the conditional fields as described in the help
2. On the merge document, select: view --> nonprinting characters
3. Make sure that each line in the mail merge ends with the paragraph symbol. A regular line break won't work. OpenOffice requires each line of the merge to be a separate paragraph in order for the hidden paragraph thing to work.
4. Go back afer doing #3 and turn off the nonprinting characters
5. Try to print. It should work

You'll probably have to do some tweaking with your address formatting. I've found that adding the paragraph breaks sometimes screws the format up, and it takes some time to get all the spaces back the way you want them. Make sure you go to tools --> auto correct and turn off the majority of the formatting helpers because they tend to get in the way during a mail merge.

Good Luck,

Vaughn L. Reid III

I'm a new user working in a system that uses Oo writer for a variety of text-based tasks, including mail merge lists.

I am trying to make a client's addresses work in a mail merge on a form letter. One of the address fields is <SuppAddress> entered on the line before <Address>. My understanding is that if I enter a hidden paragraph correctly, it should ignore the SuppAddress line and eliminate the space it would normally occupy.

i. the following mm fields - <FullName>
<HiddenParagraph> <SuppAddress>
<Address>
<CSZ>

will print as below when <suppaddress> is included in item:

John Smith
Apt 12
123 Main St
Town, NY 23310

and should print as below when <suppaddress> is blank in item:

                  Tom Jones
                  345 Oak Ln
                  Town, CA 92331

Instead, I'm getting:

Tom Jones

345 Oak Ln
Town, CA 92331

In setting up Hidden Paragraph, I have gone to Fields / Other / Function and chosen Hidden paragraph and entered the condition "not(SuppAddress)" as my documentation
instructs.

When I print my mailmerge list, the space does not go away when the SuppAddress line is blank (see above).

I'm very frustrated and any help would be greatly appreciated. None of the support books I have explain this process clearly

The threads on the OOo Forums don't address the issue; I've posted the problem there.
