Hello everyone, this message is for UW students, staff, and faculty; others may ignore. UW folks who do not use ArcGIS Online or who do not plan to use ArcGIS Online may also ignore.

Last year at the Esri user conference, the higher ed folks basically said they had no system in place for regulating ArcGIS Online credits and we should just go ahead and use the system and they'd figure out how to deal with problems on an ad-hoc basis. This happened recently; one of our users followed that (non-)advice, and the use of the service put our account in the red and locked all services for the UW organizational account.

Esri was good to their word, and reinstated the credits plus added a substantial amount of additional credits, so hopefully we will be able to carry on without any lapse in services.

However, as a user of the system you need to be aware that:

Our current ArcGIS Online account uses a pool of credits for services. That means any activity that uses credits pulls from the pool. If a service uses all credits in the pool, it will freeze the entire UW ArcGIS Online account.

If all credits are used, no activity on any part the account will be allowed--even if that activity uses no credits at all.

What this means is that if you are using our ArcGIS Online account, you need to be cognizant about the credits your service/activity will use, and please be judicious since everyone on the account will potentially be affected by your individual use. Some services consume credits and some do not. Some consume large amounts of credits and some consume less.

In the future Esri plans to update the system to allow for per-user quotas; at that time some of us who manage the license will need to get together to decide how we will apportion those. An announcement will be made on this listserv when that time comes.

Esri was very kind in reinstating our account and adding a large number of credits, but they are charged real $ by Amazon for hosting the ArcGIS Online services, so they cannot offer these services to us for free.

Up to now there have been no warnings about this, but from this time onward, if any activity you generate causes the account to go bankrupt, you or your budget will be responsible for paying the real $ to Esri in order to get the account back on good terms.

If you are a current publisher on our account, I have altered your status to "user" and I will be sending you a link to verify that you understand and agree to these terms. Once I get the form from you stating you agree, I will switch your account back to "publisher"status.

Thanks for your understanding and cooperation and apologies for any lapses in service you encountered recently.
