I hope all is well with you. As you may know, I am the chair of the
Libertarian Party of Virginia's convention organizing committee. My
committee teammates and I want to organize a first-rate convention in 2014;
to do so, we want to obtain information about your preferences concerning
various aspects of the convention.
I have enclosed below several statements and questions; your responses
should be helpful to the committee in its planning efforts. Please send
your responses as soon as possible. We would like to finalize details for
the convention by mid October if possible.
While we would appreciate your providing as much information as you can,
any information you send will likely be very helpful to us. Of course, we
shall regard all responses as confidential, unless you specifically
indicate that you don't object to your responses being seen by other
members of the State Central Committee.

1) Are you a member of the Libertarian Party of Virginia? If so, for how
long?
2) Have you attended an LPVA state convention in the past? If so, when? Of
the conventions you attended, did you stay at least one night in a hotel in
the convention city? If a convention you attended took place in a hotel,
did you stay at that hotel?
3) What are the most important aspects of a state convention that would
make you more likely to attend? (List as many as you wish.) Are there any
aspects of a state convention that would make you less likely to attend?
(List as many as you wish.)
4) The 2006, 2008, 2010, and 2012 state conventions used the following
format:
Friday night (evening before convention): Hospitality suite at convention
hotel (frequently sponsored by the local LPVA affiliate organization,
usually open to all LPVA members)
Saturday: Registration opens at 8:30 a.m., morning session begins at 9:30
a.m. and ends at 12:00 p.m. Luncheon (featuring a guest speaker) from 12:00
p.m. until 1:30 p.m. Afternoon session begins at 1:45 p.m. and runs until
4:00 p.m. or 5:00 p.m. In some cases (2010, 2012), the LPVA business
session has taken place during the morning; in other cases (2006, 2008),
the business session has taken place during the afternoon.
Other LPVA conventions (e.g., 2002, 2004) used a different format:
Friday night (evening before convention): Hospitality suite at convention
hotel (frequently sponsored by the local LPVA affiliate organization,
usually open to all LPVA members)
Saturday: Registration opens at 8:30 a.m., morning session begins at 9:30
a.m. and ends at 12:00 p.m. No organized luncheon. Afternoon session begins
at 1:45 p.m. and runs until 4:00 p.m. or 5:00 p.m. Reception from 6:00 p.m.
- 7:00 p.m. (featuring cash bar); banquet (featuring a guest speaker) from
7:00 p.m. - 9:00 p.m.
The first format ("Luncheon") has been chosen for the most recent four
state conventions because it provides greater opportunity for members to
attend the convention as part of a "day trip." That is, the convention is
organized to allow members to drive to the site that morning, participate
in all parts of the convention (including the luncheon if they so choose),
and return home the same day. On the other hand, for a variety of reasons
some LPVA members have expressed a preference for the second format.
Please let us know which of these formats you prefer; if you have a strong
preference for one format, please indicate this. (If you have suggestions
for another format, please offer those suggestions.)
5) Please describe your preferences concerning the location of the 2014
state convention. (An answer of the following type would be helpful to us:
"Will likely attend the convention if it is in northern Virginia. May
attend if the convention is in Richmond or along I-95 corridor, or in
Charlottesville. Won't attend if convention is in Tidewater or south of
Charlottesville.")
6) Please describe your preferences concerning the price of convention
registration packages. For example, all things being equal, what is the
maximum price you are willing to pay for a full package (i.e., all
convention sessions, including the convention meal) or a basic package (all
convention sessions except the convention meal)? All things being equal,
what is the maximum you are willing to pay for a hotel room at the
convention?
7) Please describe your preferences concerning the date of the convention.
Are there any dates on which you will not be able to attend the convention?
(Due to Article V, Section 3 of the LPVA constitution, the 2014 state
convention must be held at least 45 days prior to the 2014 Libertarian
Party national convention, to take place in Columbus, Ohio on June 26-29,
2014. Since our convention will almost certainly take place on a Saturday,
the latest date is effectively Saturday, May 10, 2014.)
8) Are there any special conditions concerning the convention site that you
want the organizing committee to consider? For example, some of our members
will not attend a convention if the site prohibits them from carrying
firearms.
9) Would you like a member of the 2014 convention committee to contact you
to discuss ways to make the 2014 convention a first-rate event? If so,
please list a telephone number and an e-mail address at which you can be
reached; we shall contact you by e-mail to arrange a time to speak by
telephone.
